5 Section I: Overview Introduction You invest in your employees through benefits, compensation and time. With the Benergy Communications portal, you can leverage that investment. Benergy provides a wealth of information for your employees and gives you one place to post and find the latest benefit and HR information. Benergy is an award-winning employee benefits and health management portal used by over two and half million employees and dependents worldwide. This state-of-the-art portal has set new standards in employee communications and has become the system of choice for the nation s best benefit advisors. Benefits Health & Wellness Human Resources Personal Health Record Real Value Statement Finding good talent and achieving higher productivity are not always easy tasks for HR. Thousands of companies have made these goals more attainable with Benergy. This Web-based tool is the most advanced benefits and health management system available to employers no matter the size. 6 Section II - Data Entry Guidelines General Rules Following are portal-specific rules for entering data correctly and retaining it on your company portal. Complete all required fields, which are identified with an asterisk (*). Fill in all necessary checkboxes and radio buttons (e.g., for related fields that are completed). Save entries on each page by selecting the SAVE button at the bottom of the page. Do not use the browser buttons (Back/Forward) while building a portal. Verify the information you ve entered on the employee portal, where you can check via a user access. Avoid the use of currency symbols when entering dollar amounts in data fields. Recognize that entry fields within the template have the following limitations: o they are not case-sensitive (characters can be lower or uppercase) o they do not calculate dates o does not recognize certain characters single quotes ( ) double quotes ( ) o they do not recognize acceptable values phone numbers (i.e., adding parentheses or dashes) zip codes (adding dashes) o there is no spell check on the portal (exception: when using the Editor, spell check is available) Once a user selects a radio button in an optional field, the selection cannot be undone. The radio button can only be changed by selecting another radio button within that field. Exception: Data may intentionally be erased (before advancing to the next page) by pressing the Previous button on the program bar. This will clear all radio buttons and information. NOTE: The Portal Builder/Editor is responsible for the validity of all data entered Ebix, Inc. 6

7 Characters Every keystroke, including a space or punctuation, is read as a character. Pressing the Enter button from the keyboard in an open field may generate a blank value in the output screen if nothing else is entered. The portal is not case-sensitive, which means that it does not matter whether letters of the alphabet are entered in upper or lower case (such as proper names). The word will be read and accepted either way. Required Field Values Some pages will not advance or be saved until the required fields have been completed. Notable required fields are the following: Any field denoted with an asterisk(*) at the end Login Name Logins: Employee User ID and Password / Site Manager ID and Password HR Provider and Plan Type (when adding a new plan) Any field that is dependent on the answer to a previous field, such as a yes/no question. Direct Links The Direct Links appear in the upper right hand area of the portal screen and are always available from inside the portal. They take you to the following area in the portal Ebix, Inc. 7

8 Home, To Central, Help and Support Icons The Home icon will take you back to the Welcome page in the Benergy Control Center. The To Central icon will take you back to the Benergy Central home page. The Help icon directs you to the Communications Help & Training area of the portal. There are many help and training documents, guides and videos to assist in the use and implementation of the portal. Topics include: Understanding the Product, Managing Your Clients, Setup an Organization, Portal Setup, Benefits Setup, Human Resources Setup, Modules/Tools, Admin and Promoting the Product. The Support icon opens the Benergy Support Information with a horizontal menu bar containing four support options. Support Information gives general information on the Benergy Service Center, including their telephone number and operating hours. Case Management Not currently available Live Chat Gives the ability to chat live with a Benergy Client Support Specialist. Us Opens an , ready for you to enter your information to send to the Benergy Service Center at Benergy@adam.com. The Logout icon logs you out of Benergy and takes you to the login screen. Windows and Screens The pages needed to build a portal will advance within the same window when the NEXT button is selected at the bottom right hand side of the page. Some optional pages, however, will appear in a separate pop-up window. This is a single box that has program buttons in the bottom of that window, which only affect the appearance of the window: minimize (underscore); maximize (box); and close (x). Only one pop-up window will appear at a time. An example is the Required Information Wrapper on the Legal Summaries page Ebix, Inc. 8

9 NOTE: A pop-up window will not automatically close when you are done, even if you advance to another page on the portal. Press the Save button at the bottom center of the window to save the information. You can press the Close button at the bottom right of the page if you do not want to save the information. HTML Editor Technical Requirements You must have Microsoft Office installed on your system in order to use the editor. You may also be prompted to insert your Microsoft Office CD or download a program if certain required components are not loaded on your system. Troubleshooting Tips When you try to open the Editor for the first time it might take a few minutes for it to open. Do not copy and paste text or tables from a word document into the Editor. If you do this there will be additional HTML coding and spaces added. You simply need to re-type the document or build a table by selecting table then insert table. If you run into an issue accessing the Editor, the Benergy Service Center at benergy@adam.com. Previous, Next and SAVE Page changes are saved with the use of portal buttons only. The SAVE button and its reminder message appear on all pages that allow for information to be entered. NOTE: If you want to clear data entry fields on a page, press the previous button once and all values will be cleared. Return to the page that is cleared by pressing the Next button. The use of Previous or Next buttons on the bottom right-hand side of each page will move one page forward or backward, except on the entry page of a Benefit setup plan. To enter the plan setup pages, you must use the Add Plan or Edit buttons. Add Plan Edit 2011 Ebix, Inc. 9

10 Pages are automatically Saved as you advance with the Next button at the bottom of each page, even if you do not reach the end of a section when entering information. For example, if a new Benefit plan is entered, but the Benefits Summary or other required page is left incomplete when you log off, that plan and all information entered to the point where you left off will be saved until you return to complete it, as long as you hit the Next or SAVE button at the bottom of the page. When you are offered the choice of overriding a default option (e.g. Homepage General Introduction) or manually entering text, it is necessary to select the SAVE button at the bottom of the Override Text box for the text to be saved. NOTE: If you intentionally abandon a new portal, it is important to delete that information by using the Delete button on the portal entry page or on the Communications Control Center page. Error Messages If you enter invalid data, such as currency notations, the system will highlight the field with the error. Identify and fix the error(s) to move forward. A common mistake is the use of currency notation in a field asking for a dollar amount. If you skip a required field, the portal will highlight the field with the missing required information Ebix, Inc. 10

12 Forgotten or Wrong User ID/Password? A critical concern for most users is their inability to gain access to a portal because of an incorrect User ID/Password. For more information on your User ID and Password, contact the Benergy Service Center at or send an to benergy@adam.com. Gathering Information Benergy provides a site builder checklist to assist you in building a portal. The checklist can be found by selecting etools>implementation from the Benergy Central homepage. Additional plan setup questionnaires will be ed to you by your Implementation Specialist. These questionnaires outline the specific information needed to get started for each program. For example, the Medical Benefits questionnaire will ask you about the plans co-payments, deductibles, eligibility and contributions Ebix, Inc. 12

14 Benergy User Privileges There are three classes of Users to the portal: Site Creator, Site Manager and Employee. Each one has distinct privileges. Site Creator The Site Creator is the Benergy provider/owner of the communications domain. The users with this level of access have the ability to add/edit Communications portals for their clients and have access to all setup capabilities. The site creator can set the limits of the manager s ability to modify the portal. As a site creator, there s no limit to the clients and employees you can empower with Benergy because you hold all the keys. You can: Create a new portal Copy a portal to create a similar portal for a different client Edit or delete a portal Assign different levels of Benergy access to your site managers Sets the level of access for the site manager role Creator Library (control and update elements) Site Manager (All Access) A Site Manager with All Access is the HR owner of one specific Communications portal. They can only edit their portal and cannot add additional Communication portals for other clients. They do not have access to all functions, such as adding User Groups or linking to Enrollment, if activated. As a site manager, you have the power to keep your Benergy communications portal fresh, timely and informative. You will be able to access/update the Organization Section, Portal Setup Section, Benefits Section, Human Resources Section, Modules/Tools Section and Admin Section. On the Organization: Site Manager and User Groups page are two options to limit the Site Manager s ability. The first provides a link to open the screen shown below, serving as a reminder of the Site Manager role capabilities Ebix, Inc. 14

15 Site Manager (Limited Access) A Site Manager with Limited Access is the HR owner of one specific Communications portal. They can only edit their portal and cannot add additional Communications portals for other clients. They do not have access to all areas, such as adding User Groups, Benefit Plans or linking to Enrollment. The All and Limited site manager accesses are similar except for two conditions which are set up on the Site Manager and User Groups page. Mark the two checkboxes on the Organization: Site Manager and User Groups page to set up the Site Manager s abilities for your portal. Disable the Site Manager s ability to add, edit or delete any benefit plans. Disable the Site Manager s ability to access the Design-it-Yourself page. Employee The employee role enables employees to view their benefit information online. You can also add different user groups so that employees will only see the information that applies to them Ebix, Inc. 15

19 New Portal To create a new portal, select the New portal link, which will open a Company Information page ready to have all portal specific information entered including: General Company Information Company Contact Information to HR Greeting and Introduction Activate Enrollment Module (only if enrollment is activated for the group) *Refer to page the initial set up of your portal information Ebix, Inc. 19

20 Edit portal Make changes to an existing portal. Edit Portal is the most frequently used area of the portal. To edit an existing portal, select your portal (it will become highlighted). Then, select Edit portal to the right of the Company Name list. This will open your portal for editing. *Refer to page the initial set up of your portal information Ebix, Inc. 20

21 Edit news Select your portal and select the Edit News icon to see the existing Company News item. This opens the Company News menu, allowing you to Edit, Delete or Assign existing News Items and provides a link to enter additional News Items Ebix, Inc. 21

22 Copy portal To make a copy of an existing portal, select the portal and select Copy Portal. A message from webpage will open confirming copy and reminding you of the specific changes that need to be made to a copied portal. *Refer to page the initial set up of your portal information Ebix, Inc. 22

23 Delete Portal To delete a portal, select the portal and select Delete Portal. It will be necessary to enter a reason. The system has a dropdown list with several reasons already setup for you to select Lost client, Client acquired/merged, Client chose another system, Low utilization, Client dissatisfied, Prospective portal, case not won, Accidentally built, Duplicate portal, Demo portal & Other. NOTE: If Other is the reason selected for deleting a portal, a text window is provided for you to enter a text explanation. A reason must be entered to delete a portal. When deleted, the portal will be removed from the Company Name list in the Control Center. When deleting a portal, you will be prompted for a final confirmation before completing the delete portal process Ebix, Inc. 23

24 NOTE: You will be billed for a live portal until it has been deleted. For more information on your billing, please contact your Benergy provider or CRM. Once deleted, the portal will be posted in red, beneath the Company Name list box Ebix, Inc. 24

25 Organization: Company Information The portal opens on the Company Information page, ready for entering or editing information. The required fields are indicated with an asterisk (*). The Company Information page includes four sections: General Company Information, Company Contact Information, to HR and Greeting and Introduction sections. Enter the information exactly as you want it to appear when employees view the portal, i.e., Benergy Display name, Corporate Website, etc. General Company Information includes: Company Name* Benergy Display name* (50 char. max) Portal Domain* Number of employees* (system provides a link for definition) used for billing, benefits benchmarking and statistics Payroll frequency (dropdown for selection) used for benefits benchmarking Multiple Payroll Cycles (may select by location, division and class) used for benefits benchmarking Corporate Website will be used in Homepage introduction Industry* (dropdown for selection) used for benefits benchmarking Other enter your industry in the Other box provided if it does not exist on the list of Industries provided list above NAICS Industry* - North American Industry Classification System business codes (dropdown for industry code selection) Company Contact Information includes: President/Owner CFO/Controller HR Contact* HR Contact * Address Lines* City* State* Zip* Phone* Fax 2011 Ebix, Inc. 25

27 to HR: In this section, enter your HR Department s address(es). This allows employees to send messages directly to your HR Department from the Benergy portal. A minimum of one HR address is required. However, you can add multiple addresses that can be linked to user groups to improved communications. Click on the Display HR link on Benergy check box to enable, then select the Red Save button in the lower left hand corner of the screen. To add a HR address, enter in the HR field, then select Save. hr@organizeit.net To edit an existing HR address, select Edit. Make correction, then select Update Ebix, Inc. 27

28 To delete an existing HR address, select Delete. A verification window will open to confirm your choice to delete. Greeting and Introduction: The section subtitled Homepage General Introduction Override provides a default text for you to use or choose to override the default introduction and enter your own Homepage greeting and introduction. If you change the greeting to be used, mark the checkbox to override the general introduction and enter your own text. Select the SAVE button when done Ebix, Inc. 28

29 Activate Enrollment Module: The last item on the Company Information page is the Activate Enrollment Module section. If you are using the Enrollment module, the implementation team will complete this section. Please do not make any changes here! Use the Red Save button at the bottom of the screen to save your information Ebix, Inc. 29

30 Organization: Broker Information Set up the Broker Information by selecting the Next button or by utilizing the dropdown menu under Organization on the menu bar at the top of the page and scrolling down to Broker Information. Broker Contact Information Enter broker information, including the Producer s name, Account Manager s name and Benergy Builder s name. Broker EbixBenergy includes your Broker s logo. You can preview the logo and deselect it if you do not want to display it on your portal. Homepage Marquee Displays on the bottom of each page of your portal, includes the information entered in the This website is brought to you by and Website address (URL) fields. These are not required fields Ebix, Inc. 30

31 Organization: Site Manager and User Groups Site Manager Login: The Site Manager login is generally used to allow the HR Manager to make changes to the information on your portal. A minimum of one Site Manager is required. However, you may add multiple Site Managers. The two required fields on the Site Manager Login page are: Site Manager User ID Site Manager Password Setting up Benefit plans and the Design-it-Yourself page are two areas in which you can limit the access of the Site Manager role. The system provides two different checkboxes for you to select separately. They are: Disable ability to add, edit or delete any benefit plans and Disable ability to access the Design-it-Yourself page. If Disable ability to add, edit or delete any benefit plans is checked on the Site Manager and User Groups page, then it disables all Site Manager s ability to add, edit or delete any benefit plans. If Disable ability to access the Design-it-Yourself page is checked on the Site Manager and User Groups page, then it disables all Site Manager s ability to access the Designit-Yourself page, where the look of the portal can be customized. User Group Login: To allow employees to view their benefits information online, you will need to create a minimum of one User Group. You can also add different user groups (i.e., FT vs. PT, hourly vs. salary etc.), so that employees will only see the information that applies specifically to them. In order to allow employees to view the portal, a unique User ID and Password will need to be assigned for each 'User Group' (i.e., distinct employee group) in the organization that will be accessing Benergy. As each individual Benefit plan is built, you can associate the plan with the participating user groups on the eligibility page or by 2011 Ebix, Inc. 31

32 using the button under the Human Resources section. You may also assign individual User IDs and Passwords to employees and associate them with user groups. To take advantage of this feature, it s necessary to personalize the portal. A HR must be assigned to each user group. This is required so that when an employee selects HR on the output portal, a box will display allowing employee to their message to the appropriate HR team or person. NOTE: Each of the User IDs must be unique. For example, you cannot assign the same Site Manager User ID and Employee User ID even if the passwords are different. Be sure to take note of these User IDs and passwords for future reference! To add a User Group, complete the information required and then select Save. Each time a User Group is added, the system automatically adds it to the table. To edit a User Group, select Edit. When a User Group is edited, the system will pull the information to the fields. After information is edited, select Save. The system will save updates and move User Group back to the table. To delete a User Group, select Delete. A verification window will open to confirm your choice to delete the User Group. Once all User ID and Password information is entered, select the Next button to advance to the Employee Personalization page. Delete User Groups by selecting Delete Ebix, Inc. 32

33 Organization: Employee Personalization Personalizing a portal requires a two-step process. Step 1: To initially enter employees into the system, it is recommended to upload a file containing individual information for each employee. The file must be a comma delimited (CSV), pre-formatted Microsoft Excel file which can be downloaded by selecting Download a pre-formatted Microsoft Excel file. This file will contain the fields necessary to gather the employee information you need to enter for your portal. Enter your information, then SAVE the Excel spreadsheet as a CSV file type, to a convenient folder for easy retrieval. If you do not rename the file, it will save as a copy. You may update your file as often as you like with current employee information. Select the standard comma delimited (CSV) link to open the Instructions for creating an upload file, shown below Ebix, Inc. 33

34 NOTE: If the Benergy portal includes the Enrollment Module, employee maintenance can be done in the Enrollment Module Control Center with Bsync turned on to keep Benergy in sync with Enrollment. Employee maintenance may also be done manually in Benergy. Open the file from your computer. When the Excel file opens, most of the column headers will have a red triangle in the upper right hand corner. Move your mouse over any of these red triangles to open a message box which provides a description or format of the information to be entered in that column. NOTE: Fields indicated with an * are required. Action* A Add a new employee D Delete an existing employee U Update an existing employee's information User ID* This ID must be a unique identifier. The User ID can be any format you would like (i.e., first name, last name plus last four digits of SSN or employee #, etc.) Password* Employees will be required to change their passwords the first time they access Benergy and will subsequently be able to change their passwords at any time. You have the option to disable this feature in Step 2 below. User Group ID* User Group IDs were set up on the Organization: Site Manager and User Groups page. If you need to know the User Group IDs setup for this portal, select the User Group ID link on the Employee Personalization page to open a list of Group Names and User IDs Ebix, Inc. 34

35 Employee's last name Recommended so that when employee logs in, they are greeted by their own name. Employee's first name Recommended so that when employee logs in, they are greeted by their own name. Employee's middle name Recommended so that when employee logs in, they are greeted by their own name. Employee's Recommended that you change your password or forgotten password to be the same as your password. Social Security Number (format is ) This field must be used if your group is using FSA and the User ID is not the SSN. Plan(s) enrolled in The system generates a Plan ID for each plan set up. Select the Plan(s) Enrolled In link to find them. The format is 'Plan#####', where '#####' is the plan ID number (e.g.,'plan12345'); you may add as many Plan(s) Enrolled In columns as necessary. Lin Login ID This field contains the Benergy to Lin SSO (single sign on) Login ID, if applicable. To SAVE the Excel file in a CSV format, select Save As. This will open a window where you can choose the folder where you want the file saved. At the bottom of the screen are two entry boxes, File name: and Save as type:. Feel free to use any File name that is easy to remember. For the Save as type, be sure to use the dropdown list and select CSV (Comma delimited) Ebix, Inc. 35

36 Step 2: If you choose to, you can Disable Employee Password Change by selecting box provided here, otherwise employees entered into the system, can change their own password. To upload file, select the Upload an Employee Personalization File link toward the bottom of the screen. The window below will display allowing you to enter a File Name or Browse to the CSV file saved in Step 1 with the employee information you want to load. Select the Browse button to begin a search of your computer to locate the CSV file you want to upload with new employee information and/or employee information changes Ebix, Inc. 36

38 When you locate the file, select the Save button to begin processing. The screen will refresh with a red acknowledgement message about the processing of your file. Your file has been uploaded and will be processed shortly. (see screen print below). When the file has completed the load process, select the View Summary of Last Process File link at the bottom of the page. When the link opens, you can identify which records were rejected and why. You will need to make the necessary changes and re-upload the record. That s all there is to it! Your portal is now personalized with the employee information from your company! 2011 Ebix, Inc. 38

39 Manually Adding an Employee Record To manually add an employee, complete all required fields and SSN and middle name if applicable, then select Save. To view all active employees, select the of the Employee Personalization page. link toward the top A screen will open with a table listing all active employee records. The table includes: Employee Name, User Group, User ID, , Password, SSN, Date Added and Date Modified fields for employees that are active in the system. You can sort the information by selecting any of the column headings. Editing an Employee Record To edit an employee record, select Edit. The fields that can be edited are Last Name, First Name, MI, User Group and . If the User ID, Password or SSN need to be updated, you will have to delete the employee and re-add them Ebix, Inc. 39

40 Deleting an Employee Record To delete an employee record, select Delete. The system will prompt you to confirm the delete. 41 Organization: Design-it-Yourself Design-it-Yourself makes it simple for you to change the branding, colors and images of your Benergy portal, customizing it for your company. For instance, you may choose to: Match the colors of Benergy to your corporate branding standards Replace the Benergy logo with your "product logo" Replace the standard photographic images with your own images You may view the current design by selecting viewing the current design link in step one. You may change the designs by selecting change the designs link in step two or the Change/Approve Designs box in step four located in the lower, middle section of the page. You may preview your changes, by selecting Preview your changes in step three. Select the Change/Approve Designs box will allow you to Change or Save the information before moving to the Next page. View/Preview your portal at any time from the link on the main Design-it-Yourself page or from the links on any of the four step pages while designing the look of your portal. When you choose the Change/Approve Designs button, the system will navigate you through the Design-it-Yourself pages Ebix, Inc. 41

42 Step 1: Design Home Page Design the look of your homepage. Select brands and colors for your webpage that reflect your company s image. 1. Primary Brand the company logo appears in the upper left corner on all pages in your portal 2. Secondary Brand the product logo that appears in the upper right corner on all pages in your portal 3. Icon Color the icon color used in your portal 4. Menu Baseline Color the color used in the menu and baseline in your portal 5. Primary Header Color the color used in the primary header 6. 43 7. Hyperlink Color the color used for the hyperlinks in your portal 8. Home Page Image image used on the login page and the homepage of your portal. The system provides selections for you to choose from or upload a JPG or GIF file of your own. 9. Images by Center images associated with each of the Centers in your portal. Select the Upload button after selecting the file to be used. Benergy will automatically resize the logo to size requirements. For best results, use a horizontal logo. Select the Save button at the bottom of the page to save the selected file. As you make changes, the navigation bar will automatically update so you can view it immediately. If you need to remove an existing image, select the link. Be careful - this is like deleting a file. Selecting a file in any format other than a GIF or JPG format will cause the system to error with the following message. If you select the Upload button without selecting a file for the system to upload, the system will respond with the following error message Ebix, Inc. 44

45 Secondary Brand select or change the product logo that will appear in the upper right corner of all pages of your portal. The Upload functionality works like the Primary Brand s upload feature. For best results, use a horizontal logo. The next several sections allow you to customize the colors used on your portal, 3 Icon Color, 4 Menu/Baseline Color, 5 Primary Header Color, 6 Secondary Header Color and 7 Hyperlink Color. Modify the colors of the heading and links text (It is recommended to leave the links text blue.), then assign background and text colors for the major categories within your Benergy portal. The color of the body text is fixed. Color combinations can sometimes be difficult for viewing, so make sure that the text is legible against the background you choose Ebix, Inc. 45

46 To make your color selections, select the arrow located next to the color box and a color pallet will open for you to choose the desired color you would like to use. The Hex Code will post next to the color you select. In the example below, the color selected here is a red-orange color: its Hex Code is #FF3300. 56 Organization: Special Alerts Special Alerts are short messages that display across the portal homepage and serve as a reminder to employees. Benergy offers Special Alerts already set up that can be previewed on the next few pages. They are the Welcome Alert, Health Newsletter Alert, Personal Health Records (PHR) Alert and Enrollment Alert. Customized special alerts can also be created. Special alerts can be activated for delivery to your employees and assigned to specific User Groups. Once a Special Alert has been set up for your portal it will be displayed in a list at the bottom of the Special Alerts screen (see below). Special Alerts can be edited or deleted at any time after they are set up. Once set up, a Special Alert will display to the employee providing information about the portal. The user can select Do not show again if they do not want the Special Alert to display after initial viewing or they can just close the alert. To add an alert, select the Add a Special Alert link. Determine and select the Start and End dates for the alert. The display dates will determine when the information will be displayed to the employees. Determine if employees should have the capability to turn off the alert after initial viewing. Finally determine and select alert type Ebix, Inc. 56

62 Portal Setup: Benefits Under the Portal Setup dropdown is the Benefits setup page. This is where you will select the type of Benefit programs that you would like to display on your Benergy portal. The programs are broken out into four sections: Health, Income Protection, Financial and Work/Life. On the Benefits page you can include the benefits and the names you would like to display on your portal. Select the checkboxes of the Benefit programs you want included on your portal. You may enter a customized name that you want to display for each Benefit Program. Check the boxes for appropriate Benefit programs or enter your own Benefit program in one of the empty frames at the bottom, then select the Add Program button. If you do not select a program, like in the Income Protection section, then the Income Protection section will not appear on the output of your portal. Setting up your Benefits: Step 1. Enter a customized display name to be used on your employee portal otherwise the default name will display. Step 2. Select/add the Benefit programs that will appear in the portal. 64 Add a Benefit Program In each of the Benefit programs, (Health, Income Protection, Financial or Work/Life), there are blank boxes beneath the list of the existing programs where you can add a benefit program. Check the checkbox to the right of the up and down arrows. Enter the name of the new program as it should appear on your portal. Select the Add Program button to add this program to your portal. Once added, a Delete button will appear for each program added and an additional program entry box will appear, with a screen refresh, for you to add another program if needed. Step 3. Display the Financial Calculators can be provided to assist the users of your portal in determining levels of insurance coverage. Selecting the Calculators checkbox on the portal setup page will allow employees to access a library of Financial Calculators. To see an example, select the Calculators link. Step 4. Glossary can be provided to assist the users of your portal with Benefit terms, abbreviations and their definitions. Choosing to include the Glossary here will make it available from the Quicklinks panel, on the left hand side of the screen, from the benefits section on the user view Ebix, Inc. 64

During open enrollment time, the link will read Enroll in my benefit plans if you supply start and end dates for the enrollment period below. Outside of this period, the link will read Check or change my benefit elections. NOTE: If a checkbox is selected, to activate the link for the external application, the additional fields below the checkbox become required fields. The default for the Synergy Newsletter is selected, if the Health & Wellness Center is included in your portal. If you do not want to include the Synergy Newsletter, simply deselect the checkbox to turn it off. The Personal Health Record (PHR) offers a private, online organizer for your employees to keep track of a variety of important medical facts including family history, office visits, health journal, conditions, immunizations, medications, supplements, procedures, tests, insurance contacts, pharmacies and healthcare providers. Once set up, your employees will have a secure, easily accessible place to store important health information. Use the system generated introduction or override the medical introduction and replace it with your own text below by selecting the checkbox provided. Display plan comparison tool Benergy provides a Plan Comparison Tool for you to display by checking the checkbox. Be careful if you override the Benefits Summary and Contributions templates. 79 Step 3. Manage Plan: Allows you to edit and delete existing plans. You can sort by Display Date, Current Plans, Current & Future Plans or All Plans. The Display Date link opens a window which explains that the display dates control when employees can see a given plan on Benergy. The Display Start Date is the date a plan will begin displaying to employees. The Display End Date is the last date to display this plan to employees. Select Current Plans to see only plans set to display as of today s date. Select Current & Future Plans to see only plans set to display today or on some future date. Select All Plans to see all the plans of this plan type that exist on your Benergy portal regardless of their display date. If you choose to Delete an existing plan, you will be prompted before it is removed from the list. NOTE: Please do not select OK on this message unless you are certain that this plan needs to be deleted. Once a plan is deleted, it cannot be retrieved Ebix, Inc. 79

80 Step 4. Create a Plan: provides a template for adding a new plan. To add a new plan Select a provider: select a provider from the dropdown provider list. Name, if other: if Other is selected as the provider, then a provider name needs to be entered in the freeform textbox. Select a plan type: select a plan type (e.g., HMO, PPO, etc.) from the dropdown list. Select next to Add plan. to complete setup. NOTE: It is very important to choose the correct provider and plan type in the dropdown menus. Each provider and plan type is connected to your creator library content and plan templates. Two sections in this area Physician s office visit and Primary doctor s office allow the choices, if covered, to enter a set co-pay amount, a set percentage or a predetermined text definition of the payment. A freeform textbox is provided to enter a predetermined text definition. After these selections are made you can apply a co-pay amount - $, percentage - % or text in both sections. To apply your copay $, %, or text to sections below, select the button provided. This will open a window explaining your choices and where it will be applied in the following sections. You can choose to accept or cancel this setup. If you accept, you will still have the ability to make changes in any section. Information completed in Benefit Summary is used on the highlights and plan comparison tool pages. NOTE: If the value of an item is zero, you must indicate "0" in the space provided. 90 o Eligibility User Groups set up the eligibility of the plan for all or specific user groups. The system default is all user groups. Employees will only see the content that applies to the user group to which they are assigned. If you do not want to associate the plan with All User Groups, uncheck the All User Groups checkbox and select the individual User Group(s) with which you want the plan to be associated. Eligibility table You also have the option, to override the Eligibility Chart and add/edit your own text. Be careful if you activate the Highlights page or a plan tour Ebix, Inc. 90

91 Build the plan s eligibility table by completing the information requested. If a group is not eligible for coverage, leave the space blank and it will not appear in the employee view. After selecting an employee group, you can enter a definition for the group. Eligible Dependents Mark the checkboxes to select dependent groups and optional eligibility conditions. The two partner groups include: Spouse and Domestic Partner. The two dependent children groups include: Dependent children and Children of domestic partner. 92 When can an employee participate? Select from the dropdown menu or enter the description in the freeform textbox provided. The dropdown menu includes first day of employment, first day of month following employment, first of the month after # days of employment (where # = 30, 60 or 90 days of employment) and other. If other is selected, enter the information to define when an employee can participate in the Benefit program. o Contributions select the tiers to be used and enter the amounts for employee contributions at each tier level and indicate if the contribution is made per pay period or monthly. 95 The Summary Plan Description (SPD) must meet a number of Department of Labor (DOL) requirements including: - deadline to provide the SPD to employees - ways to notify employees - SPD s contents - style and format of the SPD Under the required information wrapper link, the portal provides additional links directly to the DOL website defining these requirements. Not all SPD s and insurance certificates contain all the legally required information necessary for compliance. To help your legal summary comply, you may wrap such information around it in Benergy. If adding a summary plan description or insurance certificate, you have the option to post a required information wrapper containing pre-formatted required information. The sample language in Benergy is not intended to provide legal advice. It should be reviewed and edited by your organization s legal counsel. Uploading a file to the Benergy system The Benergy system allows users to upload files into the system. These files are limited up to 16 MB, prompting the user to select OK or Cancel before continuing to replace the current file. 96 o Frequently Asked Questions (FAQs) Benergy allows you several options to make FAQs available on your portal. The Creator Library, EbixBenergy Library and Custom FAQs are sources of questions and answers that can be selected to include on your portal. Select the FAQs you want to include on your portal, then select the here link if you want to arrange the order in which they will be displayed or if you want to change the order. EbixBenergy Library in the EbixBenergy Library you can select All EbixBenergy Library FAQs or specific FAQs from a list of existing questions in the EbixBenergy Library. The EbixBenergy Library consists of a preset list of FAQs based on template selected Ebix, Inc. 96

97 Creator Library the Creator Library is a compiled list of questions and answers that the site creator has added, based on the needs of your business. You can choose to allow this to display on your portal by selecting the checkbox. Custom FAQs Benergy allows you the option to add your own FAQs. Under the Add FAQs section at the bottom of the page is the add link which opens a blank page for you to add your own questions and answers relevant to your organization. The question area has a 250 character maximum and the answer area has a 5,000 character count maximum. When you select the SAVE button on the Additional FAQs window, the system will add your new FAQ with a screen refresh to the list Ebix, Inc. 97

98 Once on the list, the three links to the right of the newly added item allow you to add it to the Library, Edit or Delete your entry. After you select the Library button, it will be added to your Creator Library and will be moved up to the list with a screen refresh. o Plan Tips include the plan tips you want from Benergy by checking them off individually. To view a plan tip, simply select the link. o Supporting Information add your own supporting information about the plan and specify the order in which they should appear on your portal. This may include memos, announcements, and notes regarding plan specifics that provide a link to such information. Links may be utilized here and you have the option to add the item to your Creator Library for future use for other portals. In the Add Life Events section you can add your own life event by selecting the add link or Edit an existing life event. From this section, you can also add the life event to the Creator Library or delete it. The Delete choice requires confirmation of your selection, which you can choose to accept or cancel. 122 Modules/Tools: HIPAA Notice of Privacy Practices Organizations that are subject to privacy rules under the Health Insurance Portability and Accountability Act of 1996 (HIPAA), are required to provide a Notice of Privacy Practices to their health plan participants. The portal provides a HIPAA Notice of Privacy Practices template that you can edit with language specific to your organization and display to your employees. You also have the option to add your own notice. Select the radio button to Display HIPAA privacy notice. You can, of course, choose to Not display the HIPAA privacy notice by selecting the radio button to make this choice. Entering a HIPAA Notice of Privacy Practices is a two step process. Step 1 Select Edit. Then select radio button to the left of the Edit link, then select the Edit link Ebix, Inc. 122

Select Edit to choose which plans are applicable to the HIPAA notice. When the screen opens you can choose to Include ALL plans or specific plans. If you select the checkbox next to Health, then all of the Health programs and plans will be populated with checks to be included in the notice. If you select the checkbox next to Medical, then all Medical plans will be included. If however, you want only specific plans included, do not check the Health checkbox or the Medical checkbox but select only the specific health plans which apply to the HIPAA privacy notice. If you Edit the notice, it s necessary to select the button, at the bottom of the HIPAA Notice of Privacy Practices page, for it to load into the system. Create your own introduction for each program or plan in the Actions section of this Enrollment campaign. At the bottom of the Actions Introduction section is a link to manage forms/links. Selecting this link will open the window where you can enter an Enrollment instructions introduction. (750 char. max.) Forms List specific instructions on what the employee must fill out and where they should submit the form. You can upload a form or select an existing plan form that is already associated with the plan. For example: Print the form and fill it out completely. Remember to include your PCP number and signature. Links Be sure to provide links out to the Provider Directory. If any carriers can facilitate an online enrollment from their portal, link to the page on the carrier portal, rather than directing the employee to a form. This is a good place to provide an explanation of the Booklet, what s inside and how and when your employees might use this document. Why doesn t the radio button automatically turn on when I enter a value in the corresponding box? There is no default value for a radio button until the Site Builder has selected one of the choices. Simply entering a value in any corresponding field will not turn on the radio button. Why was my data lost when I went back to check on the portal? Data is saved on any page when you advance to the NEXT page or select SAVE. If any information does not show up when you return to the portal or to a particular page it may be that the Next or Save button was not selected. How do I view the portal as an employee? Go to the correct URL. Enter the employee ID and Password you set up during the general setup of the portal. NOTE: You will not be able to view the portal until you launch the portal for the first time. If the portal has not been launched, you will need to select View on the View Portal Page. Why are my plans not showing up on the Basic s page in my Enrollment Campaign? Plans or programs may be missing from the list because: 2011 Ebix, Inc. 155

156 You need to build them in your Benergy first. To build additional plans or programs for this Enrollment campaign, use the add plan and add program buttons. You have more than one user group of employees. To appear on this list, plans or programs must be assigned to the user group to which this Enrollment campaign is targeted. To assign plans to different user groups, go to the eligibility page in that plan s setup section in your Benergy. You are using the effective date feature for your plans. If the plan effective and end dates do not overlap with the dates for this campaign, that plan will not display on the list. To change effective dates for a plan, go to the Plan Home page for that program and update the dates. Can I Use Enrollment for a New Hire Enrollment Campaign? Yes, but make sure you suppress the countdown on The Basic s page. Create a separate User Group, ID and Password for New Hires, so established employees will not be confused by seeing the Enrollment campaign. Can employees enroll online using the Enrollment Campaign? No, the Enrollment Campaign is communication support for the open enrollment season and is not interactive with the EbixBenergy Enrollment system. Employees cannot enroll online unless you have purchased the Enrollment system. To facilitate communication support, employees can take the following three steps: View an introduction letter from their employer Review the options they have for each Benefit program category Access the information needed to get enrolled, including: o Downloading forms o Accessing provider Internet resources o Linking to a provider that allows online enrollment If you are interested in online enrollment, contact your sales manager. How do I add a new provider? If a provider is not listed for a plan, contact the Benergy Service Center at or send an to benergy@adam.com.
