4 SURVEY 1. INTRODUCTION Survey has a vital part in sharing knowledge or knowledge management. Opinion of people about a work will help people to improve their work. So for quality output people opinions are needed much. In order to fulfill the neediness of this satori has a special application called Survey. To get survey application into users account user needs to add the application from Satori Application Center. Satori Application portal can be opened from Menu -> Apps -> Manage Apps. (Figure-1) Then user can able to get the page called Satori Application Center which is having all application in the list. There user can able to find the survey application. Figure 1 Manage Apps User need to drag the mouse pointer on that particular application and there a button Add to My Profile. (Figure -2) By clicking the button user can able to get satori application in user s list. There people can also give their precious feedback to the particular application which will help making application better. Figure 2 Satori Application Center 3

5 [Tip-1] To get survey application quickly user can use Keyboard Shortcut. ( g then s then y ). There people can also give their precious feedback to the particular application which will help making application better. Survey is also having many possibilities of sharing its outcome within a closed group or community or a particular person. Survey also having some better way to review and analyses. In survey user can able to create a survey, Review the record and analyze, create charts by questions to get analyze the records more and share the response to any other user. Figure 3 Survey in Application list 2. ROLES AND PRIVILEGES. Satori survey users have two different roles. Creator Invitee Creators are the users who creates the survey who has ultimate accessibility inside the application who can do following operations. Creator can add or delete questions at any time Create charts at any time and questions. Can invite respondent for creator s survey. But cannot complete user s own survey. Invitees are users who received survey invitation. And invitees can able to do following operations. Can able to respond the survey which is been sent to them. If creators send invitation to a community or a group respondents may be bigger in number which makes better response among users. 4

6 3. PROCESS FLOW Survey application has a simple process flow which starts from Creator and received by Invitee where users can able to respond. Overall process flow in this survey application can be describe as following flow. Creating Survey. Adding more question and sections Add respondents and publish Analyze the servey response. Figure 4 Overall process flow Process of survey application starts from creating survey. When creating surveys there are two different parts one is Questions another is Sections. Where sections are like having similar kind of questions and of course framing questions are completely free to make for users. Before publishing the survey user needs to add the respondent in order to get response. Here user can add respondent either by a persons or by community or groups. When respondents are started to response the survey then user will get options to make analyze the response. By default there will be two report files which is been generated by the system. They are User response report and percentage completion report. If user wants to create more analyze they can create charts. Process flow for the invitee is bit different and simple. This can be described in below flow chart Get notified Attempt (answers) Save response Figure 5 Invitee process flow 5

7 User will get notified when creator send invitation for survey. Then user can able to see the survey and able to respond. When user finished the survey then user can able to save. Then system will start analyze for the response made by users and it will generate two default reports for the creator. 4. DESCRIPTION. Survey from the survey page user can able to create a survey or Attempt or analyze the survey. Figure-6 explains about the survey home page. Figure 6 Survey Home page Survey home page will show number of survey that current user either received or created by him. Each survey entry will be having attributes like Start Date, End date, Response, Status, Action. Where Start Date and End date gives starting and ending date of the survey. Response says that number of users who are responded for the survey. Status says whether the survey is closed or open, which mean whether survey end date finished or not. Action column will be having icons to do following operations. a) Actions can be done for survey. In Action column clicking this (User Response Report) will download the response report as excel sheet. To create charts user needs to click (Create Charts) and it will take user to separate page where the options for creating new charts are available. (Figure - 7). Figure 7 Creating Charts 6

8 [Tip -2] Add two or more questions to create chart so that user can able to see more responses in a table which makes more convenient in analysis. As shown in Figure 7 questions which are going to become the factor for chart that is being created by user should be selected and user have to press Add button then it will be added to Use these question(s) for charts. If user fees to remove questions from the chart then user need to select those questions and have to press Remove. When selection of questions are done then user need to press Create Grid button. This will reveal a division which looks like Figure 8. Figure 8 Saving Chart User need to enter the name of the chart and save. It will be saved in the survey home page. By clicking the icon View charts again it will open a page which looks like Figure 9 Figure 9 Sharing to AD member Figure-9 shows how to share the chart which is been created by user. The chart which is created can be able to view or edit or delete. 7

9 From Action column user can able to invite respondent by will open a popup to add communities, Groups and AD Members. (Figure -10.) clicking this icon. Which Figure 10 Inviting Respondents User can start typing the community name or group name or AD member name and user can get suggested names. Clicking the name will be the selection of that and the user have to press Done. Respective respondent will have their notification from their own notification. b) Creating survey. To create new survey user needs to click Create New Survey button in the survey home page. So it will open a page like Figure-11 Figure 11 Create new survey 8

10 User have to enter the survey name and starting and ending date. Sections are like divisions of survey where set of questions can be there in a section. If user wants to add more question in same section user needs to click Add more Questions button and if user wants to select new section then user needs to select Add more Sections button which is there in bottom of the page. Here question type will be having following types. Agree and Disagree Checkbox Date Dropdown Free Text Numeric Paragraph Radio Button Time Upload Yes and No Each type will be having its own type of fields. For example Agree and Disagree will be having check box to select. User can make questions as mandatory so that respondents cannot leave the question unattended. Figure 12 Inviting respondents After submitting the survey it will take user to the page which looks like Inviting Respondents which is like Figure-12. Where user can again add new section by clicking Add New Section from the top right corner and add new question by clicking Add New Question. c) Inviting Respondents User have to invite respondents to complete the survey be users. So after creating the sections and questions user have to click Invite Respondent button from Figure-12. This will open a window which looks like Figure-13 and it will be having Add Audience part which is having a radio 9

11 button to add people as public or private. If the survey is marked as public then it will be visible to all the satori users and if it is marked as private then it will open a new window to select people or community or group where the survey should be get visible.(figure-14) Figure 13 Inviting Respondents Second part of the window shows that Invites Users who can already see the survey you have created. When user adds new user above those users will be added in the Invited users column. Figure 14 Inviting Private Users In order to add more people in private user can able to select community by start typing the community name and input box will suggest community name and from there user should select community name by clicking it. As like community user can also select group. To select AD or Non AD users, users have to select it and type the particular user name in it. When it is done user needs to click this button then it will expand a window with list of suggestion user names. By clicking this icon user can able to select particular user name and can able to add in list. When everything is done user have to press done to add it. Then click publish to publish it. 10

12 [Note-1] Do not refresh the page after selecting the communities or groups or usernames. It will undo all the selection made before. d) Attempting Survey. When other users creates survey and invites user to attempt it, then it will be notified from the top right corner of the survey home page. There user needs to click circled part from the Figure- 15. Figure 15 Notified if user get invitation Waiting for response page will be having the surveys which are supposed to attempt by the user. It will be having the button called attempt in each of the list. This will be looking like Figure- 16. Figure 16 Waiting for response When user clicks the Attempt button then user will be redirected to the section and questions page that have been created by the creator of the survey. From there user can able to answer the question. There User can able to save the survey or submit the survey. After finishing it survey result will be published in creator s my survey page where creator can able to analyze the survey. Warning! After submitting the survey user can not able to edit the survey, so ensure answers before submitting the survey (User can save the survey so that user can review later too) 11

13 5. FREQUENTLY ASKED QUESTIONS. How can I edit the survey created by me? You cannot edit the survey which is already published. You can only edit the survey which is in draft. Can I make all questions mandatory? Yes, You can make all questions mandatory. How can I check whether I attempted the survey or not? The notification on the top right corner of the my survey page will disappear if you have finished taking survey. Like in this Figure-15 Can I check who shared the chart with me? No, You cannot check who shared the chart with you. How can I know whether survey is closed or not? In My Survey page each survey s status will be mentioned in the column called status. Like Figure-6 Can I check percentage completion report of the survey? Yes, You can see the percentage completion report by downloading the excel sheet from the respective survey s report icon. Move the mouse pointer over the icon to find the name of it. Can I upload a file in Survey? Currently Upload option is not there so you cannot upload a file while creating a survey 12
