1 INDIANA COUNTY RECORDER OF DEEDS OFFFICE Patricia Streams Warman Recorder of Deeds Quick Search Guide: Searching Public Records Welcome to the new Recorder of Deeds Online Records! All Indiana County online Recorder of Deeds documents can be accessed by visiting counties.recordfusion.com. The system can be used to search documents from 1967 to the present. Documents are available as soon as they are recorded and are clearly marked if they are verified or not. Records can be searched by Name(s), Instrument Number, Book/Page, and Parcel ID Number. We hope you find our new Search Portal helpful as we continue to find ways to serve you better. -Patricia Streams Warman Accessing the County Portal Click on Login as Guest if you are uninterested in setting up a user account. Click on Create New Account if you wish to create a username and password to access the county portal.

2 The Home Screen The Indiana County Recorder of Deeds Home Screen will allow you to navigate thru the Online Portal. Contact Us: any suggestions, comments or problems. Announcements: The Recorder of Deeds office will keep you posted on any updates or changes to the Recorder of Deeds Office or Online Portal. Search Public Records: The next several pages provides instructions on how to search public records Modify My User Preferences: Modifies the way your search results are displayed along with your personal account information: See last page of guide for details. Fees and Search Info?: Recorder of Deeds site. This menu option provides information about how to use the Indiana County Disclaimer: The disclaimer that you accepted when logging in. Logs out: Logs you out of the system.

3 Search Criteria Window Select desired search type from the dropdown menu Click to perform search Click to clear your search criteria. You may use wild card characters in the ʺAll Namesʺ name field to search a wider range of data. For example, entering Smith*, John will find all instances of last names that begin with Smith combined with first or middle names that begin with John. Use this window to specify doc types to search. Select and enter search criteria in these fields Note: The General Criteria Section also allows you to specify the number of document results to be displayed per page. The system defaults to 10 and will display up to 100 results per page. Note: Fields in the Specific Criteria section will change accordingly with the Search Type chosen. In the General Criteria Section, determine your search type: All Names = search for people and business entities Instrument Number = search for a specific document by document number Book/Page = search for a specific document by book/page Parcel ID = search for documents by Parcel ID. For multiple Parcel ID # s, separate by commas. In the Specific Criteria Section, search options include the following: Party Type = When searching by name, to search only for the grantor or mortgagor, select Party 1. For the grantee or mortgagee, select Party 2. For both parties, click Both. Match = For a broader search to return similar names to what you have entered in the name fields, click on Include Surrounding Names. Exact will only search on your exact name entry. Names = Within this field, you can enter both business names or individual names. Individual names can be entered in the following ways: Smith, Tom A; Tom A Smith; Tom Smith. Parcel ID = enter the parcel ID you wish to search on. Recorded Date = Specify a date range to search within or leave this field blank to search within the entire available time range. Document Types = Select one or multiple document types to search for. Click on All Document Types to search all doc types.

4 View Search Results The search results window returns all search results, and displays a specific amount of documents per page as specified in the general criteria section of the Search Criteria window. The window allows you to perform the following tasks: 1. Underlined header names indicate a sort able column; click to sort or 2 next to the name indicates a Party as 1 (grantor/mortgagor) or 2 (grantee, mortgagee). 3. Click off box to choose documents for viewing indexes and images; all documents are selected by default. 4. Click on the underlined document number to go to document information (indexes and images) page. 5. Displays the book page numbers for the document s first page. 6. Indicates there are additional names for the party type; click to view all names. 7. A green check mark indicates the document has been verified; a red X mark indicates the document is not verified. 8. Enter a specific page number to jump to the page of search results you want. Click on the blue arrow to initiate the jump. 9. Go to other pages of search results. 10. Print search results. At next screen go to File and select Print. Note: this will print the results on the page you are reviewing. Go to next page to print more results. 11. Search Criteria that was used is displayed at top of page. Click on All Criteria to see more information. 12. Click on Back to Criteria to refine your criteria. If you want to save your criteria between searches, see Modify Preferences in last page of guide. 13. Click on the + next to the municipality code to view more information about the displayed code. 14. Click on the Plus to view associated documents. 13

5 Instrument and Location Information Window The History drop down will allow you to see all of the instruments that you have reviewed. Click on these blue arrows to view document details of adjacent documents as returned in the search results. Print images with this control. Controls above the image display window allow you to navigate back to the Search Results and Search Criteria windows. Generate a printerfriendly view of the displayed instrument s indexing information. Manipulate image viewing with these controls. The Instrument Info Tab displays Instrument status, Document type, Document Instrument number, Parcel ID and Volume/Book/Page information. Scroll down to view name information. Click on the Associated Instruments tabs to view information about any associated instruments. Click on this icon to view the document in a larger window. Click on this yellow icon to enhance the image quality of displayed images.

6 Printing Images 1.) Click on the Print icon to print your document. Please note: The system defaults to printing every page of the displayed document. 2.) In the Print pop up window, select your printer, set any advanced preferences, determine the number of copies, and click on the Print button. Your document then will print. If you are reviewing a PLAN or large document and would only like to print a portion of the page, you can use the yellow icon and select just a portion of the image to print. Just use the box to select what you would like to print. When you select Print Image, make sure you select Print Visible.

7 Setting User Preferences (Note: you can only change preferences on your own user account. If logging in as a Guest, preferences are already defined and cannot be changed). To set your user preferences select Modify my User Preferences from your home screen after you have logged in. Select Save after you have changed your User Preferences Username This cannot be changed after you have created your account. The following personal information can be edited Full Name (Required) Password and conformation of your password Address (Required) Address Image Viewer Select your image viewer. 99% of time should be set to ViewONE Image Viewer Applet Escrow Account Information You can activate an escrow account on line, but payments must be made directly with the County at this time. They accept check, cash or credit card. Edit your Search Preference information to change the way your search results are displayed.
