2 Kapost Content Planner Starter Guide Welcome and thank you for becoming the newest Kapost rock star! This guide will help you get started quickly with Kapost Content Planner. You will find tools to help you fully leverage the software so you can easily coordinate organization-wide initiatives on one centralized calendar. Collaborating on campaign planning across teams for better company-wide alignment will give you an unbeatable advantage over your competition, and help you meet your goals as an individual marketer, a marketing team, and a company. In Kapost Content Planner you will be able to: Plan Initiatives and Programs Easily map out upcoming campaigns, product launches, or events within a single calendar view Track your progress by production stage Set a Clear Course of Action With easy-to-set, actionable milestones, your team will know which assets are coming up and what needs to get done Empower Internal Team Members Share calendars within your intranet portal, internal community, or CRM for crossteam alignment Store all files/attachments/final documents and collaborate with team members (Estimated time to finish: 12 minutes)

3 First Things To Do: 1 Accept the Invitation to Your Kapost Instance Your organization has its own Kapost Content Planner custom URL (aka instance). This instance is secure, private, and all yours. Please check your for the invitation to your instance. Once you accept the invite, we suggest you bookmark the instance so you never lose it. If you did not receive an with this invitation, please your company s Kapost administrator. Setup Your Profile Click the button in the top right of the platform to access your profile screen. Add your full name, profile picture, and job title so your team members can easily recognize you. 2 3 Attend a Training Webinar We hold webinars to help customers understand how to best use Kapost Content Planner. 4 Kapost Content Planner Getting Started Guide Play Around! You ve made it this far play around inside Kapost Content Planner! Let s have some fun. Go ahead and add content and campaigns to the Planner. Don t worry, you can easily remove them later. Bookmark Help As you become a Kapost pro you may have questions or want to learn best practices. Kapost Glossary Calendar: Where campaigns, content, and event dates can be easily viewed and shared in a calendar format Campaigns: Manage and group multiple assets associated with a larger project or initiative Content: Any asset type you create Custom Fields: Metadata that you want associated to different pieces of content and are critical to helping your team filter and find content assets. These fields show up on each content type. Instance: Your company s custom Kapost URL address Milestones: Big moments in content and campaign planning, associated to specific dates. Milestones can be adapted for your team. Examples: Create, Final Version, Go Live Stages: Progress of each piece of work. Stages are preset for you as planned, in progress, complete Congrats on getting set up in Kapost! Cue the guitar solo! Now let s move on to getting your Kapost Content Planner in top notch shape!

5 Uploading Your Content and Creating Campaigns in Kapost Content Planner After logging into Kapost, the Campaign catalog will be the first page you see. To help you get started quickly, we have created one example Campaign. Click on the Campaign name to view its content, milestones and activity feed.

6 Creating a Campaign Click the Create button (top navigation bar). Then select campaign, enter a campaign title, campaign type, start and end dates, and the appropriate milestones you d like to track for the campaign. Click Done. Think about What types of campaigns do you most often run? Create a full list and begin inputting the most important campaigns into Kapost first. Some of our favorites include events, product launches, internal communication, and thought leadership campaigns. Campaign Type is the type of campaign to be created as well as the custom field information that needs to be entered for each campaign. Choose content asset types to upload into a campaign or use a campaign template. Templates make it easy to upload multiple content assets at once. Your new campaign will appear in the Campaign Catalog in the left navigation bar.

7 Creating Content Select the Content icon from the left navigation menu to display the content catalog. We have populated your system with one example content asset. To view the content asset click its name and you will see the content asset information, the custom field information, the stages and milestones, and the activity feed for the asset. Importance of Custom Fields A custom field is your content asset s best friend. Use them as a filter mechanism to enable users to easily search for a particular asset or group of assets. For example, you may only want to see content for a specific region. You can imagine how much easier it is to find content for Europe if you were able to select region as a filter. The filter would only bring up content that was tagged with Europe from that custom field dropdown menu.

8 Select the Content icon from the left navigation menu to display the content catalog. We have populated your system with one example content asset. Click the Create button on the top navigation bar and select Content to create a new content asset. Enter a name for the content asset and select the Content Type. Content Types define the type of content to be created as well as the custom field information that needs to be entered for the content. If the content asset belongs to a campaign, select the campaign(s) from the list provided. Add milestones you d like to track using the Add Milestone button. The new content asset created will display in the Content Catalog as well as the Campaign catalog.

9 Using the Planning Calendar Select the Planning Calendar icon on the left navigation bar to display the planning calendar. All milestones for content or campaigns will display in the planning calendar. Many filtering options are available for altering the display of the milestones.

10 Adding Milestones in the Planning Calendar Click any date to add milestones for existing content or campaigns to the Planning Calendar. Select the milestone to add and then search for the appropriate content asset or campaign. Then click Add. The campaign or content asset will be updated with the new milestone. Tip! Drag and drop a milestone to change its date on the planning calendar. Tip! Take a sneak peak at any content asset s details by clicking on its name. Milestones are used to indicate important dates relative to the production of content or Campaigns within Kapost
