Creating Items and Collections 1. Collections Task is to create individual Items that will become part of the Song Performances in the FCB Collection collection

2 SNCA 2016: Online Archives 2 Note: you can only have your items be part of one Collection. Hands- On in Omeka Archives 1. Create a Song Performance Item 1. Look at your assigned singer's folder in Box. (You should have received an invite to get access to the files.) 2. Download the whole folder for your singer, which should include some music files (1 or more) and an image file from Frank Clyde Brown's field notes. 3. Open Omeka to the Admin window: You will need to log in if you have not already. (You should have received an invite in your yesterday.) 4. Add Item. You will enter in the Dublin Core fields as follows: 1. Title: "Song Name" performed by "Singer Name" 2. Source: where it comes from: Frank C. Brown Collection, Rubenstein Library, Duke University - could include more provenance info here e.g. tape # but Date: Date of Recording 4. Contributor: NC Jukebox Project 5. Coverage: City, State 5. Upload the audio file (MP3) for the individual Song Performance under the Files Menu in your Item. Choose File (top menu item). Note: you could add multiple files here if you wished but we want one song performance per Item. 6. Item Type Metadata. Select Sound. You could also add song transcriptions here. Note: these options vary based on which metadata type you choose. 7. Optional Tags- useful for later searches etc. 8. Click Public. Add to Collection Song Performances in the FCB Collection (we created this earlier - one to share for all). 9. Save Your Work by clicking Add Item. (or Save Changes if you already saved earlier.)

3 SNCA 2016: Online Archives 3 2. Repeat this process for the other songs in your folder. You should have one Item per song performance - there will be multiple files for individual singers in many if not all cases. 3. Create a Field Notes Item in the Field Notes Collection 1. Once you have completed the songs for your singer, create an Item for the FCB field notes pages you are using. We will reference this page when we put together our exhibit. 2. These pages come from here: nfrankclyde/ 3. For the individual page title, use "Extract of XXXX" Song List Notes from FCB Field Notes 4. Map the Descriptive Summary Elements to Dublin Core. Where should we assign each? We are going to use the Source Field for the original PDF location (enable HTML and create a bullet list) as follows: 1. Collection Number: RL Title: Frank Clyde Brown papers Date: Creator: Brown, Frank Clyde, Repository: David M. Rubenstein Rare Book & Manuscript Library 5. Note that (alternately) this could be a good use of tags to indicate which singer is on each page. 4. Discussion of CSV Uploads and other Tips and Tricks 2:15-2:30 Break 2:30pm- 3:30 pm Building Omeka Exhibits 1. Demo: Creating an Exhibit - we have done this already but will show - we are all going to edit individual Pages within a single exhibit. Each Page will be a profile of an individual singer. 2. Create a page for your Singer by selecting Edit on the Frank Clyde Brown Collection of NC Mountain Music from the Exhibits Menu. 3. You will see exhibit metadata. At the bottom of the page it says Pages. Click Add Page. 4. Create a page title and page slug.

4 SNCA 2016: Online Archives 4 5. Select File with Text. Add New Content Block. 6. Select the page file you just created (search if necessary). Create a caption. 7. Select the audio file for your singer from the list of options from the Omeka items you created earlier. Note you may have more than one audio file to add. 8. You have the option to create additional "Blocks" within your page. For now we will just add our links to Omeka Items in this single Block. Add the songs and field notes page(s) to your Singer page and include captions. 9. Also Add the page for your Field Notes associated with that singer's songs. 10. Go into the spreadsheet of info about the singers and find some content to add to your Singer Exhibit Page. Copy and paste and edit as needed. Discussion: Appearance of your site. View at Simple Pages: We have an About page that doesn't rely on the Omeka Items but just gives an overview of the site. You can also create other pages and links. 14. Navigation: Choose what to make visible and not visible in the main menu. We are turning off items that have no content for now. 15. Themes- the themes will affect the entire site's appearance and may affect how things look. We downloaded several from the Omeka website and then FTP'd them into our server space.
