1 Add SmartList to Your Toolbar Make a button in your toolbar: Right-click: on the Toolbar Check: The Standard Toolbar Right-click again Choose: Customize Edit: The Standard Toolbar Ensure that SmartList shows Image and Text SmartList Options Use the SmartList Options Window to modify the Default SmartList Option Add: Columns Change: Column Order Change: Maximum Records Change: Default Go To Change: Search Defaults SmartList Columns Click Columns to: Change: Display Name Change: Order Add/Remove: Columns SmartList Search Window Change: Maximum Records Search: Selected or All Columns Set Search To: Match All or One or More Columns Works great for Past Due by Aging Period Reports Set: Order By Works Great for Top 10 Lists Amber J. 2 SmartList Search Options Contains Is Equal To Begins With Is Between Is Not Equal To Is Greater Than Is Less Than Saving a SmartList Favorite Enter Name If making Visible to Company or System, add your initials Start name with a symbol to sort to the top Visible To: System = All Users / All Companies Company = All Users / Current Company User Class = All Users in Your User Class User = Just You (Automatically adds the SmartList to your My Reports) Creating SmartList Reminders If you choose to add your SmartList Favorites as a reminder, you can: Alert based on Number of Records Alert based on Total of Column Display the reminder on your homepage as cue Viewing SmartList Reminders Amber J. 3 Modifying SmartList Favorites If you change: Column or Search Options Click: Favorite > Modify The Name of the SmartList Click: Favorites > Modify Visible To Settings Click: Favorites > Modify If you want to create: A Reminder on an existing SmartList Open: Reminders Window Click: New Find: SmartList Setup: Reminder SmartList Go To Functions Double-Clicking opens the default Go To selected in the SmartList Options Window Click the Go To Option in the SmartList Toolbar to open other related windows SmartList Top 10 Lists Open: Search Window Set: Maximum Records to 10 Click: Order By Select: The Column you want to analyze and insert to the Order By section Change: The option for the search to Descending SmartList Export Solutions Works on really old versions of GP Automatically Format, Add Subtotals, Page Numbers, etc. to SmartList exports Amber J. 4 Creating SmartList Export Solutions In Excel: File > Options > Customize Ribbon > Check Developer Ribbon In GP: Create: SmartList Favorite Save: Favorite Export: To Excel In Excel: Record: Macro(s) Save File As: Macro Enabled Template Tip: If you receive an error Document Not Found, the path to your file is too long. 6 Customizing the Navigation List (Cont d) Speed Up Navigation Lists If you have SQL Reports and Business Analyzer enabled, you might receive errors, and the reports might take FOREVER to load Click: Past the errors Click: Show/Hide in the drop-down by the name and Hide Business Analyzer Have your Partner/IT Department give you access to those reports so that you don t receive the errors They will need to update your security in SQL. There are database roles that start with rpt Have them contact your partner for assistance with updating your users In the Customize Window, you can turn off Business Analyzer for specific Navigation Lists Navigation List Actions Different options when one vs multiple records are selected Actions can be changed in the Customize Window Amber J.
