2 What is Respond? NaviGate Respond enables school teachers, staff, and administrators to quickly account for students during drills and emergencies all through the NaviGate Prepared mobile app. Using built-in alarms through the app, anyone can trigger an emergency to alert others. By using data from your district s Student Information System, class rosters will be available to mark students as accounted for, absent, or missing. All information gets relayed back to administrators with live updated counts, and a list of missing students by name. Respond also comes with a secure messaging feature, allowing administrators and staff to keep communication open and relay information on the situation at hand. 2

3 Downloading the NaviGate Prepared App NaviGate Prepared About the NaviGate Prepared App With our mobile app, you can take NaviGate Prepared with you on your smartphone or tablet device. The mobile app includes two major features Flipcharts and Respond. Mobile Flipcharts will contain what you have published from your site, allowing you to always have your district s crucial emergency information and call lists on hand. Respond utilizes data from your Student Information System to allow your staff to account for students, convey information through secure messages, and keep a list of missing students by name during a drill or emergency. Getting the App The NaviGate Prepared app is available in the Google Play store and Apple App store. It is free to download and use, so long as you have a current user account and NaviGate license. Specific download instructions for ios and Android are on the following pages. 1

4 Installing the NaviGate Prepared App for ios Devices Apple App Store: 1. Requires ios 6.0 or later. 2. Make sure you have your Apple ID and password (if applicable.) 3. Make sure you have a reliable Internet connection. 4. Search for NaviGate Prepared and look for the app with the red NaviGate logo. 5. Tap the GET Button to begin download (you may be prompted to authenticate by entering your Apple ID password.) 6. When download is complete, tap the OPEN icon to launch the app. 7. Once the app is launched, you can now log in with your credentials. 2

5 Installing the NaviGate Prepared App for Android Devices Google Play Store: 1. Requires Android 3.0 or later. 2. Make sure you have your Google Play account password (if applicable). 3. Make sure you have a reliable Internet connection. 4. Search for NaviGate Prepared App and look for the app with the red NaviGate logo. 5. Tap the INSTALL button to begin download (you may be prompted to authenticate by entering your Google password). 6. Tap ACCEPT to start the download. 7. When download is complete, tap OPEN to launch the app. 8. Once the app is launched, you can now log in with your credentials. 3

6 Logging into the App Once you download and open the NaviGate Prepared App, you will see the login screen. Enter your , password and secure ID (the 4-digit identifier specific to your district s NaviGate Prepared account). The app will keep you logged in so you don t have to retype these credentials each time. 3

7 Home Screen On the Home screen of the app you will see your selected building with Respond and Flipchart options. Also on this screen is the option to edit My Account and change buildings using Site Selection. You can use the lines in the top left corner at any point to easily navigate between screens. 4

8 My Account The My Account screen has different items you can edit pertaining to your account. Any changes you make here will also reflect on your profile for the full NaviGate Prepared website. You can change your password here at any time and also set a PIN number for the Respond feature. The PIN number will be used as confirmation when you initiate (or end) an alarm on the app. 5

9 Initiating Alarms When you need to start an alarm at a building, choose Respond from the Home screen. You will be presented with a building list to choose from. There are bell icons next to each, tap to turn it red and that will mean you are currently receiving notifications for that building. Click the building name where you want to initiate an alarm. Depending on phone settings, notifications will either be an audible and/or push notification on your screen. 6

10 Initiating Alarms Now that your building is selected, you are presented with a list of alarms to choose from depending on your emergency. Tap to select the alarm, and confirm activation (this will either be a simple yes or you will enter your PIN, if set). Anyone may initiate an alarm, and once confirmed will send a notification to staff who have the app, are logged in and are receiving notifications for that building. 7

11 Accounting for Students Once an alarm is activated, you will be taken directly to your list of classes. If you do not have any classes associated with you, you will see a blank list. However you will have the option to view All Classes if you are an aide, substitute, etc. You also have the ability to create a custom roster. 8

12 Accounting for Students A quick way to account for students is to Mark All Present and then change the status of any student by tapping in their rectangle. Tapping through can mark them as accounted for, absent from school, or unaccounted/missing. If you have a student who isn t in your class (i.e. you pulled them in from the hall), use Add Student to search and select who needs added (the teacher missing this student will see your name to indicate you have found them). Once you have marked all your students, use Submit Count to push your list to administration. It should then say Class Submitted. If changes occur, you find another student or need to change a student s status, you can make changes and submit your count multiple times. Clicking Add Student will allow you to add students that are not in your actual class list. 10

13 Accounting for Students If you need to add an additional student, click on the Add Student button below the Submit Count button. This will then bring up a list of unaccounted for students. You can search or scroll down the list to find the student that needs added. Once you click that student, click Yes once the Add Student prompt comes up. You will then need to re-submit your count after doing this. This will also alert the teacher that has that student you added that they have been accounted for by you

14 Accounting for Students After your class has been submitted, you can click on the Respond button in the bottom left hand corner of your screen. This will take you back to the main Respond screen, and will show you the details of the alarm, as well as your submitted classes. You can also add additional classes from this screen, or go back into your submitted roster in order to add additional students. 10

15 Chat Feature Using Chat within the app is a good communication tool to relay information. The chat feature will allow you to communicate with fellow staff members and admins during the duration of the drill or emergency. To utilize the chat, go ahead and select the chat option you would like to participate in. To participate in chat will all staff, select the All option. If you wish to just communicate 1-1 with an admin, select the Admin option. Also, you will get new chat notifications pop up in the bottom right hand Chat window. 11
