3 Description Portal Access Software The Portal Access software provides a mechanism for users to access and report on the sample tracking and method-specific data present in the Portal software. The Portal Access software can connect to the Maxprep Liquid Handler, Maxwell RSC and Maxwell RSC 48 Instruments. Sample tracking and method run-specific information is collected and stored within the Portal Access software, providing an archival record of workflow activities that have been performed on all instruments to which it is connected. Portal Access software can be installed on PCs that can communicate with the Portal software located on the connected Instruments. This document describes the reporting features and settings present in the Portal Access software. The Portal Access software is exclusively designed to be used with the Portal software. The Portal software tracks method run-specific information produced by the Maxprep Liquid Handler, Maxwell RSC, and Maxwell RSC 48 Instruments. 4 Portal Access Software Installing the Portal Access Software The Portal Access Software is available as a free download from the Promega web site ( To use the Portal Access functionality it will be necessary to install the Portal Access Software on a PC connected to your internal network that has the ability to communicate with the Portal software. Prior to installation of the Portal Access software, consult with your IT department to evaluate any concerns or limitations with connecting the Portal Access software to your network. Follow the instructions below for installation of the Portal Access software. Note: It is necessary to have administrator rights in the Windows operating system to install the Portal Access software. If necessary, contact your IT department for installation of this software. 1. Download the Portal Access software from the Promega web site ( resources/software-firmware/portal-access-software/). The software is provided as a zipped folder with a.zip extension. 2. Save the Portal Access zipped folder to the desktop of the computer on which it will be installed. 2 Promega Portal Acess Software TM549 Revised 1/19

5 3. Right-click on the zipped folder and choose the Extract All item to open the Extract Compressed (Zipped) Folders screen. 4. Select the Extract button to extract the contents of the zipped folder to a new folder at the location specified on the screen. If a different file location for the extracted folder is desired, use the Browse button to open a file browser and select a new location. 5. After the folder is extracted, the new folder location will automatically open. Close any other programs currently open on your PC, and then double-click the Portal Access Installer excutable icon to start the installation. 6. When the setup wizard opens, click the Install button to start the installation process. 7. After installation of the Portal Access software is complete, a final setup screen is displayed. The computer must be restarted for the Portal Access installation to be considered complete. To have the installation wizard restart the PC, press the Finish button. Alternatively, select the radio button next to No, I will restart the computer later, select the Finish button, and restart the computer prior to running the Portal Access software. 2.2 Access Levels for the Portal Software Access to the Portal Access software requires that users be assigned to either the PromegaUsers or PromegaAdministrators group in the Windows operating system. Both the PromegaAdministrators and PromegaUsers access level groups have the same rights to all functions within the Portal Access software. The instructions below detail the steps involved in adding a Windows user account (whether local or domain) to one of the Promega access-level groups on the PC. All Windows user accounts that will have access to the Portal Access software must be added to either the PromegaUsers or PromegaAdministrators groups. Notes: 1. The PromegaServiceTechnicians group is only for use by Promega Service Representatives. Do not assign users to the PromegaServiceTechnicians group. 2. Only a Windows user account with administrator-level access in the Windows operating system can assign accounts to a Promega Access-Level Group. 3 Promega Portal Acess Software TM549 Revised 1/19

6 1. Close the Portal Access software if it is open. Press the X in the upper left corner of the screen, and confirm that you want to exit. 2. Navigate to the Local Users and Users Groups screen. Windows 7 Instructions From the Windows Desktop screen, select the Windows Start button on the left bottom corner of the screen. Type lusrmgr.msc into the search text box at the bottom of the Windows Start menu (Figure 1, Panel A). Select the lusrmgr.msc item that appears at the top of the search results to access the Local Users and Groups (Local) screen (Figure 2) on page 5 Windows 10 Users From the Desktop screen, Click the Search icon on the left side of the Taskbar. Select the Search text box and enter the text lusrmgr.msc (Figure 1, Panel B). Under the Best match header an item called lusrmgr.msc should appear. Touch this item to open the Local Users and Groups (Local) screen (Figure 2). A. B A Figure 1. Accessing Groups. 8 3. In the left pane of the [Local Users and Groups (Local)] screen, select the Groups folder to display the Groups on this PC in the middle pane of the screen (Figure 3) TA Figure 3. Groups folder. Access the PromegaAdministrators and PromegaUsers groups from the Groups folder on the [Local Users and Groups (Local)] screen. 4. There will be a list of groups shown in the center part of the screen. Near the bottom of this list you will see two groups (PromegaAdministrators, and PromegaUsers) that are used to assign access level rights for the Portal Access software to Windows user accounts. 5. Depending on the access level you wish to enable for a particular user account, double-click either the PromegaAdministrators or the PromegaUsers list item. Note: The PromegaServiceTechnicians group is only for use by Promega Service Representatives. 9 6. Either the PromegaAdministrators Properties or the PromegaUsers Properties screen will open (Figure 4, Panel A). Under the Members: section of the screen press the Add button. 7. Now you will see the Select Users screen (Figure 4, Panel B). In the section of the screen titled Enter the object names to select, type the username(s) of the account(s) that you wish to add to the selected group. A. B TA Figure 4. Adding users to a Promega group. Panel A. The PromegaAdministrators Properties or PromegaUsers Properties screen lists the Windows user accounts currently assigned to the specified group. Touch Add to add a new Windows user account to the group. Panel B. On the Select Users screen enter the Windows user account(s) names to be added to the selected group in the text box. 8. To check that the username you have entered is recognized by Windows, press the Check Names button. If the username is not recognized, a Name Not Found screen will open. Double-check the spelling of the username and enter it again. 9. Press OK to accept the username(s) that you have assigned to this group, and then press OK in the Properties screen and close the [Local Users and Groups (Local)] screen. 10. The username(s) that you have assigned to the specified group should now be capable of running the Portal Access software with the specified access level after a system restart. 11. Restart the PC for new account access levels to take effect. 12. To check that the account can successfully run the Portal Access software, sign in to the PC as that account and open the Portal Access software. 13. If the account has been successfully added to the PromegaUsers or PromegaAdministrators group, the Portal Access software will open to the Portal Access Main Menu screen. If not, an error will display indicating Access denied, role mismatch. Double-check that the current user account was added to the appropriate group by following these instructions again. 7 Promega Portal Acess Software TM549 Revised 1/19

10 2.3 Running the Portal Access Software Once the Portal Access software has been installed and access levels are assigned for users, start the Portal Access software by double-clicking the desktop icon. Note: Only Windows profiles that have been assigned to the PromegaUsers or PromegaAdministrators groups are capable of running the Portal Access software. See section 2.2 for information on assigning users to Promega access level groups. Upon starting the Portal Access software you will be presented with the Portal Main Menu screen (Figure 5). The buttons on this screen have the following functions. Button Samples Consumables Settings Function Select or create a template for sample reports; create a sample report based on sample ID and/or date range Create a report of consumables used to process samples on all instruments connected to the Portal software Specify the information necessary to connect to the Portal software; view software and database version information Descriptions of each of these functions are provided in the following sections TA Figure 5. 11 2.4 Sample Reports Sample reports provide a mechanism for reporting on the sample tracking information present in the Portal software. Select the Samples button on the Portal Access Main Menu screen (Figure 6) to open the Portal Sample Reports screen TA Figure 6. Portal Access Main Menu screen. The Portal software collects information from method runs on all modules to which it is connected. From the Portal Accesss Main Menu screen you can choose to create either a Consumables or Samples report. 9 Promega Portal Acess Software TM549 Revised 1/19

12 The Portal Samples Report screen displays the report templates that have been created (Figure 7). For each report template the following information is shown: Press the star icon to mark this report template as a favorite. Template Name Preprocessing Extraction Post-Processing The name that has been given to the report template. Select the column header to toggle the display of the list in increasing or decreasing alphabetical order. Check mark indicates that the Preprocessing category has been included in the report template. Press the column header to toggle between checked items at the top or bottom of the list. Check mark indicates that the Extraction category has been included in the report template. Press the column header to toggle between checked items at the top or bottom of the list. Check mark indicates that the Post-processing category has been included in the report template. Press the column header to toggle between checked items at the top or bottom of the list. Press this button to edit the settings within this report template. Press this button to delete the specified report template. 13 Creating and Editing Report Templates Start at the Portal Sample Reports screen. To open the New Report Template screen and create a new report template, press the icon in the upper left corner of the screen. To open the Edit Report Template screen and edit an existing report, press the icon on the right side of the report entry line. The settings displayed on both of these screens is the same (Figure 8), offering the ability to specify the content categories that will be included in a report, the file type that will be created, the file path to which the report will be saved and the name of the template. The only difference between the screens is that the Edit Report Template screen is prepopulated with the data for the selected report template. Figure 8. Report template settings. The New Report Template and Edit Report Template screens display the fields and settings that can be specified for a Portal report template. Report templates offer two main categories that can be used to select the data that will be reported: Run Types and Report Columns. Select the type of methods that should be included on from the Run Types items. Select the types of data that should be provided for each sample from the Report Columns items. The types of data provided for each item in Report Columns is detailed below. It is possible to choose any combination of subcategories to build the report template. Minimally reports will contain: Sample ID, Run Type (Preprocessing, Extraction, Post- Processing), Run Status, and Start Date and Time. User Parameters Fixed Parameters Sample Tracking Reagent Tracking UserName and method parameters specified by the user Instrument Serial Number, End Date and Time method parameters inherent to the method Information relating to the input and output labware bar codes, labware index, labware type Reagent types and bar codes used for each SampleID processed 11 Promega Portal Acess Software TM549 Revised 1/19

14 In addition to the data categories, it is necessary to specify a name for the report template as well as the file type and file location for the resulting report. Select the text box for Template Name to provide the name that will be shown for this template in the list on the Portal Sample Reports screen. This name will also be the default name of any exported file version of the data that will also include a date time stamp. Choose the default file type for the report from the drop-down menu selections of Excel or PDF documents. Specify the default location to which this report should be saved by selecting the text box for Export File Location, and use the file browser to specify a path. The current path will be shown in yellow boxes along the top of the screen. Touch any aspect of the path to navigate to the desired folder. Press the Drive\ button to select the drive. Folders within the current path are shown as red rectangles in the main part of the screen. After all changes are made to the report template, press the Save button to save this report template. Report templates are saved to the Portal software and are available to all modules that are connected to the Portal software. This means that the same report templates are available and can be used to create reports from any computer connected to the Portal software. Creating Reports Starting at the Portal Sample Reports screen, select an entry in the report template list to use for the sample tracking report you wish to create. When the Portal Sample List screen is accessed it will contain no data (Figure 9). Reports can be created by specifying a set of bar codes, a date range or both for which to create the report TA Figure 9. Portal Sample List screen. 15 Specifying Bar Codes Sample reports can be used to retrieve records of the activities that have been performed on a specified set of bar codes over a date range. Two buttons at the top left side of the screen allow direct entry of sample identifiers or import of a list of sample identifiers. Press the Barcodes button to directly enter bar codes that should be searched in the software. This will display a text box into which bar codes can be entered. When entering multiple bar codes, separate the individual entries with a comma. Searches of the Portal software are for exact matches of the sample identifiers entered within the SampleID, InputLabwareBarcode and OutputLabwareBarcode fields. Alternatively, press the Import button to import a list of bar codes that should be used to search the Portal software. The imported list must be a text file (.txt) containing only sample identifiers either separated by commas or entered on separate lines of the file. After pressing the Import button, the Import Samples List file browser will be displayed. The current path will be shown in yellow boxes along the top of the screen. Select any aspect of the path to navigate to the desired folder. Press the Drive\ button to select the drive. Folders within the current path are shown as red rectangles on the left side of the screen. Navigate to the location of the sample identifier text file. Files with a.txt extension will be shown as blue rectangles on the right side of the screen. Select the file to highlight it, and press the OK button to import the contents of the file. After importing the file, the software will indicate how many records have been imported from the file. Specifying a Date Range It is not possible to specify a date range of All without specifying bar codes that should be searched. All other combinations of bar codes and date ranges are possible entries for creating a sample report. Select the desired date range for the report from the buttons on the left side of the screen (Figure 10). Date ranges of All, Today and This Week can be directly selected, or you can choose the Date Range button to specify a custom date range. When the Date Range button is selected, Start Date and End Date fields will appear on the screen (Figure 11). Initial dates will be populated in these fields in the format for which dates should be written. New dates can be entered directly in the text boxes, or the calendar button on the right side of the text box can be selected to choose dates from a calendar (Figure 12). Use the arrows on top of the calendar to change the month that is displayed. Specifying a date range for sample reports. When selecting the Date Range button, a Start Date and End Date entry field will be displayed. Enter the dates for these fields, or press the calendar button to the right of the field to select dates from a calendar. 14 Promega Portal Acess Software TM549 Revised 1/19

17 14673TA Figure 12. Using the calendar to select a date range. Select the calendar icon on the right side of the date entry field to open a calendar on which to select a date. Use the arrow keys to increase or decrease the month. Select a date within the currently displayed month to enter this date in the entry field. After choosing a date range over which to search the Portal software for the specified bar codes, press the Execute button in the lower left corner of the screen. This will search the Portal software for the specified bar codes during the specified date range, and the results will be displayed in the main portion of the screen (Figure 13). The resulting sample report can be sorted by up to two column fields displayed at the top right of the screen (Figure 13). Use the drop-down menus to select which column(s) should be used to sort the rows in the report. Press the button to toggle between ascending or descending alphabetical sort order for each column header specified. Beneath the drop-down menus for sorting data, there is a text field for searching the data within the report. Enter a text value to search for within the text box, and then press the button to search for the text value within the results. The first instance of the search term will be highlighted. Use the drop-down menus to specify the columns to use for sorting report entries. 19 A series of buttons at the top of the report screen can be used to navigate, print, export and format the report. Below are shown the icons and their functions: Display the first page of the report. Display the previous page in the report. Indicates the currently displayed page of the report. Display the next page in the report. Display the last page of the report. Print the report. Press this button to open a print dialog box. Choose the printer and printer settings that should be used to print this document. Export the report. Press this button to open the Export Report folder browser. The dialog box will default to the Export File Location specified in the Portal report template. The current path will be shown in yellow boxes along the top of the screen. Select any aspect of the path to navigate to the desired folder. Press the Drive\ button to select the drive. Folders within the current path are shown as red rectangles in the main part of the screen. Navigate to the file location at which this report should be saved. The default title for the file will be the title of the Portal report template with the date and time at which the report was generated appended (e.g., ReportName Year.Month.Day_Hour-Minute-Second ). Specify the export file format for the report. The default setting for this button will be the file format specified in the Portal report template. Reports can be exported in either Excel (.xls) or PDF (.pdf) format. Print Layout. Press this button to display how the print layout of the report will look. Press this button again to turn off Print Layout mode. Page Setup. Press this button to display a Page Setup dialog box to specify paper size, orientation, and margins. Zoom level. Choose an item from the drop-down menu to change the zoom level at which you are viewing the report. Available zoom levels are: 25%, 50%, 75%, 100%, 150%, 200%, Page Width, Whole Page. Once the content and layout of the report has been set, use the print or export functions to create an output of the reported information. 17 Promega Portal Acess Software TM549 Revised 1/19

20 2.5 Consumables Report The Portal software collects information from method runs that are performed across all of the modules that are connected to it. From the Portal Access Main Menu screen of the Portal Access software press the Consumables button to access consumables reporting capabilities (Figure 14) TA Figure 14. Portal Main Menu screen. Use the Portal Access Main Menu screen to select whether you would like to create a Consumables or a Samples report. 18 Promega Portal Acess Software TM549 Revised 1/19

21 Consumables Report The consumables report provides a summary of the number of cartridges and kits used by the instruments connected to the Portal software. They are separated by catalog number, and tips and tip racks separated by tip type for a date range provided by the user. Select the Consumables button on the Portal Access Main Menu screen to open the Consumables Report screen (Figure 15) TA Figure 15. Consumables Report screen. From the Consumables Report screen the user can create a report of the consumables used on the system for a specified date range. When the Consumables Report screen is accessed it will contain no data. Select the desired date range for the report from the buttons at the top left side of the screen. Date ranges of All, Today and This Week can be directly selected, or the user can choose the Date Range button to specify a custom date range. When the Date Range button is selected, Start Date and End Date fields will appear on the screen (Figure 16). Initial dates will be populated in these fields in the format for which dates should be written. New dates can be entered directly in the text boxes, or the calendar button on the right side of the text box can be selected to choose dates from a calendar (Figure 17). 23 After specifying a date range for which the consumables report should be generated, touch the Execute button at the lower left corner of the screen to create the report. The consumables report will be displayed in the main portion of the screen (Figure 18). On the report will be listed the Start Date and the End Date specified for the report, the date that the report was generated, the number of cartridges and kits used separated by kit type, and the number of tips and tip racks used separated by tip type TA Figure 18. 24 Navigating, Printing and Exporting Consumables Reports A series of buttons at the top of the report screen can be used to navigate, print, export, and format the report. Below are shown the icons and their functions: Display the first page of the report. Display the previous page in the report. Indicates the currently displayed page of the report. Display the next page in the report. Display the last page of the report. Print the report. Press this button to open a print dialog box. Choose the printer and printer settings that should be used to print this document. Export the report. Press this button to open an Export Folder screen. Navigate to the file location at which this report should be saved. The current path will be shown in yellow boxes along the top of the screen. Select any aspect of the path to navigate to the desired folder. Press the Drive\ button to select the drive. Folders within the current path are shown as red rectangles in the main part of the screen. The name of the consumables report will be Consumables_ [Current Date]_[Current Time]. Specify the export file format for the report. Reports can be saved in either Excel (.xls) or PDF (.pdf) format. Print Layout. Press this button to change the display of the report to see how the print layout will look. Press this button again to turn off Print Layout mode. Page Setup. Press this button to display a Page Setup dialog box to specify paper size, orientation and margins. Zoom level. Choose an item from the drop-down menu to change the zoom level at which you are viewing the report. Available zoom levels are: 25%, 50%, 75%, 100%, 150%, 200%, Page Width, Whole Page. 22 Promega Portal Acess Software TM549 Revised 1/19

25 2.6 Settings The Settings screen displays two tabs of that can be used to enter the connection information for the Portal software and view version information for the Portal Access software and Portal software. From the Portal Access Main Menu screen, select the Settings button to open the Settings screen (Figure 19). Figure 19. Connection Tab on the Settings Screen. Enter the information necessary to connect to the Portal software on the Connection tab. Connection Tab The Connection tab presents connection information settings for the Portal software. In order for the Portal Access software to communicate with the Portal software, the following information is required: Server name: Name of the server hosting the Portal software [Default = Maxprep-HP\ PromegaPortal] Database: Name of the SQL database containing Portal information [Default = Portal] Username: Username necessary to access the Portal software [Default = PortalLogin] Password: Password necessary to access the Portal software [Default = PortalLogin] Use Windows Authentication: Check this box if the Portal software has been set up using a database that requires Windows Authentication [Default = Unchecked] Note: Contact your laboratory administrator to determine whether a standard or modified Portal software installation is being used at your site. 23 Promega Portal Acess Software TM549 Revised 1/19

26 Once the Portal software connection information has been entered, press the Test Connection button to determine whether the Portal Access software can successfully connect to the Portal software. A message will be displayed indicating whether the connection was successful. If unsuccessful, confirm that the connection information was correctly entered and try again. Changes made to Portal software connection information are saved when you navigate away from the Settings screen. After a connection to the Portal software has been made, use the Get Version button to display information regarding the schema and database versions of the Portal software (Figure 20). Figure 20. Contact information available at: techserv@promega.com Symptoms Communication failure with Portal software Causes and Comments In the event of a communication failure with the Portal software, no reports can be generated. If a PC is hosting the Portal software, make sure the PC is on and connected to the network. Contact your IT department to determine whether a network outage or communication failure has occurred. Double-check that the connection strings necessary to communicate with the Portal software are correctly entered on the Settings screen.
