Linkage with IM-Workflow Linkage with IM-ContentsSearch Share Document Secure Download Export/Import This function proposes a workflow when a document is to be registered, updated, or deleted. Users can register, update, or delete the document only when the task is approved. IM-ContentsSearch provides features that allow you to perform search for the registered documents. Allows you to specify a sharing period and target users to share a document. It also allows you to send notification via IMBox, portal, or , in a timely manner prior to start of sharing. Allows you to configure the system so that a Secured PDF or Distribute- Protected PDF is downloaded depending on the access permissions of a user who attempts to download a document. Allows you to output data in into a server in a given format. It also allows you to import data written in a given format into intra-mart Accel Documents. Block size settings when using Oracle Database If you are using an Oracle Database, you must set the block size ( DB_BLOCK_SIZE ) to 16 KB. Setting a size smaller than 16 KB will result in an error during intra-mart Accel Platform s Tenant enviroment setup and cause the setup to not run properly. Common Layout difference between browsers The layout of the screen display may vary depending on the browser you are using, for example, between Internet Explorer and Chrome. Checking of input data Depending on the screen you are viewing, error checking of input data on entry in the form may not be performed in real time. Display when a network disconnection occurs during processing An error information message may be displayed due to errors such as network failures. Garbled characters when opening an exported CSV file in Excel The character code used in the exported CSV file is UTF-8. Therefore, you may get garbled 6

7 characters if you open the file in Excel. To avoid this problem, use either of the following methods to open the file in Excel. Opening the CSV file from the [Open] menu. Importing the CSV file from [Import External Data]. In both cases, you must select UTF-8 as the character encoding. Refer to the Excel documentation for detailed instructions. Locale used in notifications Locale used in the notification system depends on the function. Notification by means of the monitoring settings Mail, IMBox Notification is issued along with the locale of the operation user who made the monitoring settings. Portal Notification is displayed along with the locale of the operation user who displayed the portal. Notification by specifying recipients and by sharing documents Mail, IMBox Notification is issued along with the locale of the operation user. Portal Notification is displayed along with the locale of the operation user who displayed the portal. Even if notification is set as the notification method, if the address set for the recipient does not belong to the target locale, the recipient cannot receive the notification. Please consult with the tenant administrator to make sure that the address is registered using the appropriate locale. Handling of tags during copying Shared Tag and Personal Tag will not be copied. Available subjects The combination of public groups and roles cannot be used as access permissions or cabinet users. Folder tree view (side navigation) When 1,000 or more folders exist immediately under a folder, the side navigation displays the top 1,000 folders, sorted in ascending order with the folder name. The number of folders/documents in a single layer If the number of folders/documents per layer exceeds 1,000, this will affect the operability and performance. Always take this limitation into consideration. CC fields in a document sharing notification In a document sharing notification , if the system fails to retrieve the login user s address, the address is not populated in the CC field in the . The login user s address must have been provided in the current locale for the user. Attributes to be searched Attributes that are categorized into UG identifier type are not searched for. Triggering of updating the full-text search indexing Addition of documents, deletion of documents, modification of document attributes, and changes to access permissions are all reflected to the full-text search indexing when the process is done and when the crawler runs. Recreating of the full-text search indexing associated with the change of organization in IM-Common master 7

8 If the structure of an organization or a public group is changed after the full-text search indexing has been done, you need to use the crawler for recreating index to register the index again. A known problem that the name of the downloaded files may differ from that on Depending on the method and environment with which to download files, the name of the downloaded file may differ from that of the document stored on intra-mart Accel Document. The known environments where this phenomenon can occur are: If you open the document by clicking the document name link. If you save the document that you open from by clicking the document name link. Secure Download configuration to be applied to a drawer A drawer s Secure Download configuration is always set to Enabled. To disable Secure Download for a particular document, register the document as a standard document class. Alternate display for users deleted from IM-Common master If a user set for Created by or Modified By for a document is deleted from IM-Common master, user code is displayed instead of user name. Verification of environment dependent characters The system does not check for environment dependent characters in an input. Therefore, some characters may not be displayed correctly depending on your environment. Secure download timeout If a document whose file size is large is registered as a secure document, a timeout may occur during the secure download. Notes on change of access permissions for a folder If you decide to change access permissions for a folder and select the Unify access permissions under this folder to this access permission checkbox, access permissions under the folder may not be successfully unified due to concurrent operations by other users. Limitations when you are downloading the document that was published by the guest user If the tenant is not the default tenant, the guest user will not be able to download the documents that have been published. In order to download, please use the Tenant automatic resolution function of intra-mart Accel Platform. Linkage with IM-Workflow Document for approval Only a single document can be specified for approval. You cannot specify multiple documents for approval at a time. Also, Uploading and Checking In using the drag-and-drop method is not supported. Deletion of a document version A version of a document stored in the IM-Workflow cooperation folder can be deleted without requesting for approval. Document attributes to be used during Document upload application Any attribute of a document whose ID length is 20 characters or more cannot be specified when requesting uploading of the document. If the attribute is required, the default value is set. Deleting of a document A document deleted by deletion application is immediately removed instead of being placed into the 8

9 Recycle Bin. IM-Workflow cooperation folders A document stored in a IM-Workflow cooperation folder cannot be moved to a different folder. Flows supported by the linkage feature The following IM-Workflow functions are not supported. Dynamic approval nodes and confirmation nodes during application, nodes arranged in horizontal or vertical direction, the settings for the branch nodes Application by a delegate Seal flow Specification of a document attribute when applying from outside If you need to apply from outside and then specify a document attribute by using the user program for via document handling, you must follow the instructions for the data types shown below. Date type Specify the time duration from the beginning-point, the epoch (January 1, 1970, 00:00:00 UTC), in millisecond. UG identifier type Specify using a user CD. Notes related to changes from 2013 Spring Security definition set in the class definition Starting with the 2013 Autumn release, users can specify a security definition in the class definition. The class definition created in the 2013 Spring release will be assigned with an empty (the defaults are used) security definition. Settings for Share Document Starting with the 2013 Autumn release, settings for Share Document is expanded. 10 Default locale name for attribute definitions and class definitions Starting with the 2013 Autumn release, a default locale name can be specified for attribute definitions and class definitions. If there have already been attribute definitions and class definitions created in the 2013 Spring release, the same locale name as that for Japanese locale is set by default. PC File path specified when uploading a document Depending on the browser you are using, you may not be able to specify a file whose file name length is 255 bytes or more including the path, in the Document upload dialog. Uploading of a shortcut file (a Windows shortcut or Mac OS alias) It is not recommended to register a shortcut file (a Windows shortcut or Mac OS alias) by using the drag-and-drop method. If you do this, the shortcut file itself is registered as a document. In order to register the document to which the shortcut points, you need to use the Add New menu to register it. Smartphone Common (Smartphone) Displaying of the input help (tooltip) The input help (tooltip) cannot be displayed on ios and Android devices. Display of select box menu A select box menu which is usually grayed out on a PC browser, may be displayed (not grayed out) on ios devices. About Undo Check Out If you perform Undo Check Out without performing Check Out on ios devices, the following message is displayed, but the data is not updated. And the operation history is not recorded. Check Out has been undone. Error display triggered when it takes time to process For an ios or Android device, an error may occur when performing the following operations that take time to process. Downloading or uploading a document whose file size is large Performing a secure download that goes through PDF conversion Garbled characters in the file name of a downloaded file For an ios or Android device, the name of a downloaded file may appear garbled if it contains Japanese characters. Title display on a smartphone whose screen size is small For an ios or Android device, part of screen title may be hidden behind a button, if the screen is small in size. Behavior triggered when a dialog is closed If the version of your Android device is to 4.0.3, the screen display may go into the cabinet screen when you close a dialog. Behavior triggered when a calendar is displayed with an input check result message displayed on the Share Document screen For an Android device, when you display a calendar showing expiration dates while a message 10

11 about the input check result is displayed on the Share Document screen, tapping a button may freeze the screen. Display on a password entry dialog For an Android device, characters may appear misaligned on a password entry dialog in which no password is entered. Screen display when you switch the mode between portrait and landscape For an Android device, when you switch the display mode between portrait and landscape, a white image may persist on the screen temporarily. Operations that will display the cabinet selection screen For an ios or Android device, the cabinet selection screen appears when you perform the following operations. When you tap the Update button in the browser When you enter a URL for a screen other than the cabinet selection screen in the address bar on the browser (except for a URL to download a shared document) Distorted screen appearance that can occur when you move between screens by tapping the Back/Go button on the browser For an ios or Android device, the screen layout may appear distorted when you move between screens by tapping the Back or Go button on the browser. In this case, tap Site Map Accel Documents Document Management, and retry the operation. Restrictions applied when you view screens for PC For an ios or Android device, the screen layout may appear distorted when you use screens for PC. Also, some functions do not work. What happens when you download a distribute-protected PDF to which an expiration date is set For an ios or Android device, you cannot view a distribute-protected PDF to which an expiration date is set. Downloading of a secure document to which a Document Password is set If the version of your Android device is 2.3 or or earlier, you cannot download a secure document having a Document Password set in its security definition. User functions (Smartphone) Uploading of documents On some ios and Android devices, documents cannot be uploaded from browser. Downloading of documents On ios devices, documents cannot be downloaded and saved to the device. Documents can only be viewed on browser. Warranty Regulations Warranty details and coverage This warranty regulation (henceforth referred as this document ) indicates the requirements finalized (including but not limited to system requirements) in the contract between your company and the said company, and as conditions for limited usage of this product by your company, the said company assures your company, that the product will work as per the latest manual enclosed with the product or published on the homepage of the said company ( product=iad ).
