2 Getting Started 1. Confirming AQUA 3.x previous data directory. a) Click on Start / Search (or Find) / Files or Folders b) In the field named Search for files or folders named: type the following: aqua.ini c) Make sure the field named Look in: is looking in Local Disk (C:) d) Click on Search Now to begin the search The search should find the aqua.ini file in either the C:\WINNT or C:\WINDOWS directory. e) Double click on aqua or aqua.ini file and it will open in Notepad This file contains the settings for the AQUA 3.x software. On the fourth line down you should see a setting for the AQUA Alias. f) Document the path following the setting labeled AQUA Alias= here: AQUA data directory: NOTE: The default path for AQUA 3.x is C:\AQUA\DATA. 2. Start the AQUA 4.0 Software a) Click on Start / Programs / AQUA 4 / AQUA 4 b) Double click on the Case List you created under the Local server, the Logon window appears c) Logon to your Case List (not case sensitive) d) Default ID and Password are: ID: supervisor Password: aqua 3. Open the AQUA 3.x to 4.x File Conversion Utility a) Click on Tools / Convert AQUA 3.x Records b) The Select Case List to export to window appears c) Click on the Case List where you want the AQUA 3.x data to be stored in AQUA 4 d) Click on Continue e) The AQUA 3.x to 4.x File Conversion Utility window appears. Choose the appropriate table types from the right window pane a) For a default Medical AQUA 3.x database click on the following table types: (Figure 2) 11.x (3.4, 3.5) KQs Support Tables If you graded Fire calls in AQUA 3.5 also click on: Fire (3.5) If you graded Police calls in AQUA 3.5 also click on: LAW (3.5) LAW description essentials b) Click on the Search button to begin the search for the AQUA 3 files Figure 2 c) When you see the words Search Complete in the bottom status bar you can go to the next step. Select the AQUA 3.x database tables that can be converted to AQUA 4 a) For a default Medical AQUA 3.x database click on the following tables: (Figure 3) AGENCY.DB EMPLOY.DB KEYQUST.DB MDCRET.DB PASSWRD.DB* *NOTE: When you click on the PASSWRD.DB file you may encounter the following error message, Cannot view access table data. The password table is protected and will not display the contents of the table. Click OK to proceed and the data from the table will be copied without displaying it. Figure 3 If you graded Fire calls in AQUA 3.5 also click on: FCRET.DB FKEYQUST.DB If you graded Police calls in AQUA 3.5 also click on: PCRET.DB PKEYQUST.DB DESCESSE.DB DESCRPT.DB b) Once you have the tables checked, click on the Convert button to begin the process Version: Page 5 - Last Modified: 12/03/03

6 Converting AQUA 3.x to AQUA 4 (continued) NOTE: The Convert process can take some time depending on the size of your database. Please allow approximately 5 minutes per 1000 records. c) After the conversion processes has completed the status bar will display Done. (Figure 4) Figure 4 d) Close the AQUA 3.x to 4.x File Conversion Utility by clicking on the Exit button. Updating AQUA Scores You should now be back to the main AQUA 4 screen. Follow theses steps to 7. Update AQUA Scores for your records. a) Click on Tools / Refresh Scores, and the Update Scores window appears b) Click on the Delete All button c) Click on the Update All button, a status meter will show your progress (Figure 5) NOTE: The Update Scores process can take some time depending on the size of your database. Please allow approximately 10 minutes per 1000 records. d) After the update scores process is complete you are ready to use AQUA 4.
