3 1. Introduction About DigtaSoft DigtaSoft is a professional dictation application. It is designed for use as a single workstation version and on networks of all sizes and is available in three different versions (DigtaSoft One, DigtaSoft and DigtaSoft Pro). In addition to dictation software, the installation CD also contains further tools for setting up and configuring a dictation network. These installation instructions will help you install DigtaSoft as a single workstation version and on dictation networks, describ ing both the installation of a dictation network and the individual workstations. Please note that, before installing DigtaSoft on a dictation network, a workflow must be defined that facilitates efficient dictation and transcription processes. The workflow can be changed later at any time, but having a structure before installation begins makes the initial installation process much simpler. Read the system requirements carefully and ensure that you have sufficient resources available. These instructions describe how to install the software. Information on the configuration and operation of the application can be found in the relevant operating instructions for the application you have installed. 5 2. Installing the Software Starting the installation Insert the software CD into your CD / DVD drive. The installation start page opens automatically. You will find an overview of what you can install with this software CD. Note Should the installation start page not appear automatically, launch the Start.exe file on the software CD. Choose what you wish to install on the workstation. Note The programmes and tools will be installed in the language you select here. 6 Dictation software Selecting a DigtaSoft version DigtaSoft One is a simple solution for single workstation use. Dictations are stored in a freely definable folder. Dictations can be sent via . DigtaSoft is a network solution with workflow management and central user administration. Dictations can be sent to selected users via the LAN or via . DigtaSoft Pro is a network solution with extended workflow management and central user administration. Dictations can be sent to selected users via the LAN or via e- mail. This option also includes a structured dictation repository based on dictation status, automatic deadline setting, option to display the dictation history, option to display additional dictation information in the accompanying ticket and the monitoring of several inboxes (typing pools). One particular feature is the integrated document approval process (validation). DigtaSoft Pro can also be used in WTS or Citrix environments. You can start the installation of the selected product by clicking on the DigtaSoft button in the tab of the version you have selected. DigtaSoft Installation Instructions V 4.4 6

7 Installing DigtaSoft One The setup of DigtaSoft One is designed as a one-click installation process, which means that you simply need to start the installation of DigtaSoft One under Dictation software and confirm your action. DigtaSoft One is then installed on your PC without you having to provide any further input. Once installation is complete, the DigtaSoft One logo appears as a shortcut on the desktop. 8 Installing DigtaSoft / DigtaSoft Pro Installing DigtaSoft / DigtaSoft Pro DigtaSoft and DigtaSoft Pro can be operated as single workstation versions or on a dictation network. Please choose which usage scenario you want. Single workstation (install DigtaSoft / DigtaSoft Pro) Installation of a dictation network (installation with setup of a dictation network) Note The installation of DigtaSoft Pro is described below. 9 Single workstation Starting the installation for a single workstation On the dictation software CD, select the tab marked DigtaSoft Pro and click on "Install DigtaSoft Pro". DigtaSoft Installation Instructions V 4.4 9

12 Customer Information At this point, enter your name and the name of your company. DigtaSoft Installation Instructions V

13 Setup Type This is where you can choose the type of setup you want. Typical installs the programme with the most commonly used options. Custom allows you to choose various options and determine the storage location. For more information on the settings options, see the section entitled Costum-setup. 14 Custom Setup Note This dialogue box is skipped if the Typical setup type is selected. If you have chosen "Custom", a dialogue box appears in which you can choose individual components. Select the components you wish to install. The default settings include the installation of DigtaSoft Pro, welcome dictations and the adapter server. Click on the Help button if you need more information on choosing the components. To install the programme files on a different installation path, click the Change button. We do not recommend changing the default installation paths. If you are installing the software on a server in a Citrix or WTS environment, you must choose the relevant feature at this point. The clients must be installed next. See the section entitled Installation Citrix / WTS client installation for more information. Please note! Installation in a Citrix or WTS environment is only possible with DigtaSoft Pro. The licence management service is required for this.. 15 To perform the installation, confirm with Install. If you wish to make any more changes to the installation settings, click Back. Cancel quits the installation wizard and no installation is performed. DigtaSoft Installation Instructions V

16 Completing installation The installation of the software is now complete. Click Finish to close the installation wizard. Note If you want to connect the workstation you have just installed to an existing dictation network, select Connect to dictation network. 17 Installing on a dictation network Introduction to the dictation network A dictation network stores user profiles and settings in a central location (dictation network folder). When the dictation application (DigtaSoft or DigtaSoft Pro) is started on a workstation, the application automatically connects to the dictation network folder. All settings are now loaded. Dictations can be created, sent and edited based on the workflow settings. Dictations are stored in various locations across the network, depending on their processing status, and can be created, sent, transcribed, edited and archived within the dictation network. The storage location for dictations can be freely configured. Only the inboxes need to be stored at a central location in the network. Before DigtaSoft Pro is installed, the dictation network settings are configured. During this configuration process, an installation template is created that can be used to install dictation workstations. Again, for reference, here is an overview of the installation steps: A. Configure the dictation network B. Create an installation template C. Install the dictation application on a workstation. A. Configure the dictation network 1. Create a Netconfig file. This file contains all the settings for the dictation network you are about to create. 2. Define a usage scenario. You determine that a dictation network is to be set up. 3. Configure dictation directories. At this point, you define where in the network the dictations are to be stored. 4. Where settings for the dictation network are to be stored. 5. Software licensing type. B. Create an installation template 6 Define a storage location for the installation template. C. Install the application on a workstation If you want to add a dictation workstation to an existing dictation network, see the section entitled Installing a dictation workstation on a dictation network. If you want to change any of the settings in your existing dictation network, see the section entitled Changing an existing dictation network. 18 Preparation Dictation network folders Before setting up a dictation network, a folder that has been released for all users of the dictation network must first be set up on the network. This folder will later be designated the dictation network folder. This is where the central settings for the dictation network, user administration data, general settings and inboxes for sent dictations are stored. Note Users must have permission to create and change the dictation network folder. Setting up the licence management service If DigtaSoft Pro is being installed on a server for WTS, Citrix presentation server or DigtaSoft Pro is being installed with a concurrent licence, the licence management service should be installed and activated before initiating the installation of DigtaSoft Pro. Please follow the instructions in the section entitled. "Tools and Utilities > Licence management service". DigtaSoft Installation Instructions V

21 Select Configuration File Select the configuration file that contains the paths and settings required for the dictation network. The default name of the configuration file is NetConfig.ini. This file must be created centrally on your network (for example in the dictation network folder you created during the preparatory stage). UNC paths can be used. 23 Define the Applikation Scenario You can now determine the usage scenario. Since a dictation network is being set up, select Dictation network mode. 24 Configuring Dictation Directories In the dialogue box below, the server paths are defined for the inboxes of the pools and users as well as for the personal folders. The storage location for the inboxes and pools is generally the dictation network folder. The personal directories are getting created on each workstation. The directory cannot be changed here. The server paths are completed later once the user is set up on the dictation network. Note If you want to store the personal directories in another directory you have to change the particular path in the Netconfig.ini of the "LocalUserDir=" entry. 25 Selecting Configuration Directory The storage location is now required for the user and group settings configuration files. Since all of the users on the dictation network access these files, a central storage location (e.g. the dictation network folder as a UNC path) should be selected. If the files do not yet exist in the folder you specify, they will be created following a prompt. Note The Change permission is required for these files. DigtaSoft Installation Instructions V

26 Licensing Mode Here, you select the type of licensing you are using for DigtaSoft Pro. You will find more information on licensing in the section entitled Activating the software Activating the software. Note For network licensing, you need a licensing management service. 27 Completing the Configuration This concludes the preparations and the dictation network has been created. An installation template will now be created that allows DigtaSoft Pro to be installed on a workstation with the settings you have just configured. To do this, a storage location must then be specified for the installation template from where the setup can be performed for the installation of a dictation workstation. 28 Network Location for Setup Template (server image) Select the network storage location in which the installation template is to be stored for the installation of workstations. The installation template is used to set up a dictation workstation on the dictation network. The workstation in question then only needs to access the installation template. 29 The installation template is now created at the selected network storage location. Note Users must be created on the dictation network after installation. 30 Installing the workstations Installing a dictation workstation on a dictation network You now have two options for installing a dictation workstation. 1. Installation using the installation template 2. Single workstation installation with subsequent connection to the dictation network Installation of a workstation from the installation template If you want to install a workstation on the dictation network from the installation template, launch Setup.exe in the network storage location containing the installation template and follow the wizard's instructions. You can perform the installation with the specifications you have already made or make workstation-specific ones in the appropriate window. Language selection If you would like to install this DigtaSoft Pro workstation in language other than the one you chose when you created the installation template, select the language you want to use and confirm your selection with OK. 38 Single workstation installation with subsequent connection to the dictation network Starting the installation of a single workstation To install a workstation on an existing dictation network, launch the single workstation installation process from the software CD and select "Connect to dictation network at the end of the installation. Refer to the instructions in the section entitled Installing a single workstation. At the end of the installation process, you will see the following screen: Enable the Connect to dictation network option and click Finish. 39 Connecting to the dictation network Note If you would like to connect an existing single workstation with a dictation network later, select the "Configuration wizard for dictation networks, which can be found on the software CD under Tools and utilities. The configuration wizard for dictation networks is launched. Please have all of the data you need ready to allow you to connect DigtaSoft / DigtaSoft Pro to the dictation network. 44 Tools and utilities Installing DssMover To install the DssMover, select Tools and utilities on the installation start page and click DssMover. The installation of the DssMover begins. Click Next to start the installation process. Accept the licence agreement to continue with installation. Then enter the user information and click Next. In the next step, select the setup type. Typical installs the programme with the most commonly used options. Costum allows you to choose various options and determine the storage location. We do not recommend changing the default installation paths. If you have chosen "Custom", a dialogue box appears in which you can choose individual components. DigtaSoft Installation Instructions V

45 UTo install the programme files on a different installation path, click the Change button. Once you have selected the components you would like to install, click Next. Setup is now ready to begin installation. Click Install to start the installation process. Once the installation process is complete, you can still connect the DssMover to a dictation network in order to send dictations within the dictation network. To do this, click Connect to dictation network. The configuration wizard for dictation networks is launched. 46 Network administration The network administrator enables users to be created and managed on a dictation network. To start the network administrator, select Tools and utilities on the installation start page. Under Tools and utilities, you can start the network administrator. Once it has started, you need to select the configuration file (e.g. Netconfig.ini or Config.ini) you would like to use. Additional information on configuring a workflow can be found in the documentation regarding network administration. DigtaStatistics DigtaStatistics is a tool for the statistical evaluation of dictations on the dictation network. Since DigtaStatistics also evaluates personal data, please check the legal implications of this with your company. Note To run DigtaStatistics, you need the programme MS Access. 53 Licence management service If DigtaSoft Pro is being installed on a server for WTS, Citrix presentation server or DigtaSoft Pro is being installed with a concurrent licence, the licence management service must be installed and activated before initiating the installation of DigtaSoft Pro. Select a PC on your network to which all users on the dictation network have access and start the installation of the licence management service, found on the software CD under Tools and utilities, from there. Follow the installation wizard step by step until you come to the point where you define the setup type. Here, select Custom and click Next. DigtaSoft Installation Instructions V

54 In the "Select components window, place a tick next to DigtaSoft Pro Server and click Next. Then select which documentation language you would like to use and click Next. DigtaSoft Installation Instructions V

55 The licence management tool is a service that must be loaded each time Windows starts. Click Next to install the service. Here, select the server paths and click Next. DigtaSoft Installation Instructions V

56 If you would like to start the licence management service immediately after installation, enable Start licence server now. If you would like to enter your licence key after installation, enable Enter network licence now. How do I obtain a licence key? Once the tool has been installed, check under Workstation / Administration / Services to ensure that the service has been started. Now launch the tool for entering the licence key. Before starting installation, you should therefore request a licence key for the licence management service (see section 5 Activating software (licensing) > DigtaSoft Pro) > Network licence). 57 Citrix / WTS client installation Installing the Citrix Client The driver setup must be installed once on the PC from the software CD. In Tools and utilities, click Citrix / WTS Client Installation. In the next step, open the Citrix Client folder and start the installation using the Setup.exe file. Installing the WTS Client The driver setup must be installed once on the PC from the software CD. In Tools and utilities, click Citrix / WTS Client Installation. Repairing / changing software Repair If you need to repair a workstation, perhaps because a file has become corrupt, start the installation from the CD or the installation template if you have one available. Once the installation process starts, the DigtaSoft version you have chosen offers you a dialogue box in which you should choose Repair. The installation on the workstation is now repaired. 59 Changing an existing dictation network If you want to make changes to an existing dictation network, launch Start.exe from the CD. On the start page, select Tools and utilities. The choice of tools and utilities opens. Here, select the Configuration wizard for dictation networks. The configuration wizard for dictation networks is launched. The configuration wizard shows you what DigtaSoft applications are installed on this workstation and which configuration file is being used. You can change the following settings in the configuration wizard: The configuration file used The usage scenario (single workstation / network operation) Storage location for the inboxes and pools Storage location for personal folders (own dictations, sent dictations, completed dictations) Directory for the configuration files (Users.ini, Select.ini) Type of licensing DigtaSoft Installation Instructions V

60 4. Updating the software Updating the software If you want to update DigtaSoft One, DigtaSoft or DigtaSoft Pro from an older version to this one, uninstall all the old versions before starting installation of the later version. You can uninstall the files by selecting Start > Control Panel > Add or Remove Software. Uninstall all DigtaSoft applications on the PC. The dictations and network configuration will be retained. Then install the new version of DigtaSoft you would like to use as described. DigtaSoft Installation Instructions V

Activating the software (licensing) Unlocking software licences DigtaSoft applications are licensed products that you acquire with the purchase of a product from Grundig Business Systems, such as a Digta 420. Following installation, the software runs for 30 days in demo mode. The licence to allow you to use the product permanently must be unlocked within 30 days. Depending on the application and how it is used, there are various methods of unlocking the licence. DigtaSoft One The licence is unlocked automatically during installation. No unlocking code needs to be entered. You can install DigtaSoft One on one workstation per purchased CD. DigtaSoft The licence is unlocked automatically during installation. No unlocking code needs to be entered. You can install DigtaSoft on one workstation per purchased CD. DigtaSoft Pro A special licence is needs for DigtaSoft Pro that must be unlocked. There are two ways of unlocking the DigtaSoft Pro licence: Single workstation licence The licence is unlocked manually on each workstation. The licence key (serial number and unlocking code) printed on the supplied CD is entered in the dialogue window UNLOCKING CODE REQUIRED and is only valid for one workstation. Procedure 1. When DigtaSoft Pro is started for the first time, the UNLOCKING CODE REQUIRED window appears, prompting you to enter the unlocking code. 2. In the serial number and unlocking code fields, enter the licence key from the CD that you installed DigtaSoft Pro on this workstation with. 3. Click Activate. 4. A dialogue window appears confirming that the licence has been unlocked. 5. Close the dialogue window with OK. 6. Close the UNLOCKING CODE REQUIRED with OK. If the unlocking process fails, repeat your entries and make sure you have not made any typos. If you have not yet activated DigtaSoft Pro, the activation window appears when you launch the programme that contains information on the remaining time available for the demo version and possibly the serial number, your name and the installed version and options. 62 Please note! As well as activation of the DigtaSoft licence, there are other options that require separate licences. These are: The 4voice speech recognition server with and without correction station The training version (workflow for educational institutions) Network licence (concurrent server licence) The licences are allocated by a centrally installed licence management service. DigtaSoft Pro can be operated on as many workstations simultaneously as there are licences stored. The advantages of network licensing include: DigtaSoft Pro can be installed on more workstations than there are licences stored. No manual unlocking of the licences is required on each individual workstation. Procedure Install the licence management service on a computer on your network that can be accessed by all workstations. (See the section entitled Licence management service). During the installation of DigtaSoft Pro on one workstation, select Network licensing. When you start DigtaSoft Pro, the service allocates it a free licence. If the stored licences are all in use, DigtaSoft Pro can only be started when a licence comes free again. Please note!
