5 Important About These Release Notes This document contains a review of the new features and latest modifications for My Vision Express Version These are all subject to change and their inclusion in these Release Notes does not guarantee that they will be part of the final release for this version. This document was last reviewed on February 14, Upgrading to Version 10.0 The upgrade to My Vision Express Version 10.0 from previous versions implies a long list of changes. Before you perform this upgrade, you should read this document thoroughly and understand how the changes in this new build of My Vision Express will impact your usage of the software and your practice in general. Contact the My Vision Express support team for help during the upgrade process at (Option 2). Please schedule your upgrade during support hours (Mon. Fri. 8:30 AM 7:00 PM) so that you have help available if you run into any issue. Internet Connection Required Starting with My Vision Express Version 10.0, you will need an Internet connection to run the application. The software will periodically perform a license check which would fail without Internet connectivity. Also, many of the new features coming in this version require Internet access. Including many of those designed to help you qualify as a meaningful user under the EHR Incentive Program for Medicare/Medicaid. Microsoft SQL Server Version 10.0 of My Vision Express requires Microsoft SQL Server 2008 R2 to be installed in your server. 6 Patients Order History View The patient order history default view can now be changed by the user by navigating to File > Setup > Company Information and clicking on the System Settings Tab. Click on the drop-down labeled Default Patient Orders History View to select either Details or Summary. 7 Enhanced Scanning Options New scanning options have been incorporated into our scanning dialog to provide greater control on image scans from the Files tab of the Patient and Exam screens. The new scanning options are as follows: Some scanner settings can now be selected from a list of drop downs without the need to access the scanning interface dialog. Scanning control options will be saved based on the user that is logged into Windows. Meaning the user settings for scanning will be their own based on the Windows login credentials. You have the option of scanning, importing, and exporting three different document types: JPG. PDF. Adobe Acrobat Reader will be the required viewer for PDF files. TIFF. Distinct Zoom-In and Zoom-Out buttons. Zoom to Actual size at the click of a button. Fit the image to the viewing area at the click of a button. Interaction Alerts The new interaction alert will allow the user to set specific interactions as alerts. Alerts are displayed in a dialog window that gets triggered when the patient record is accessed. To setup an interaction alert, tick the Alert check box on any interaction and click Save in the main toolbar. The next time the patient record is accessed the user will see the interaction pop up in an Alert dialog. 8 Spectacle & Contact Lens Prescription Validation To assist you in entering optical prescriptions, data validation has been improved. Warnings will be displayed when entering prescription parameters that do not conform to standard criteria. Below is a list of specific warnings based on prescription type. Spectacle Lenses Sphere Values are expressed in diopters with a (+/-) sign and 2 decimals positions. Both eyes will usually have the same sign. User will get a warning if different signs are specified. Cylinder Axis Add (Power) Prism Base BC (Base Curve) Values are expressed in diopters with a (+/-) sign and 2 decimals positions. The values for OD and OS should always have the same sign since diagnostic equipment is configured with the same cylinder sign for both eyes. Axis values are in degrees (1 through 180). Values out of that range will be rejected. Values are expressed in diopters with a (+) sign and 2 decimals positions. Add is always positive since it is an addition of magnification power to the lens. Negative values will be rejected. Values are expressed in diopters without a sign. The direction of the D-Center (optical center) is recorded as In, Out, Up, or Down. It is measured in millimeters with one decimal position. Contact Lenses Sphere Values are expressed in diopters with a (+/-) sign and 2 decimals positions. Both eyes will usually have the same sign. User will get a warning if different signs are specified. Cylinder Axis Values are expressed in diopters with a (+/-) sign and 2 decimals positions. The values for OD and OS should always have the same sign since diagnostic equipment is configured with the same cylinder sign for both eyes. Axis values are in degrees (1 through 180). Values out of that range will be rejected. Add (Power) Prism BC (Base Curve) Diameter Multifocal Thickness Values are expressed in diopters with a (+) sign and 2 decimals positions. Add is always positive since it is an addition of magnification power to the lens. Negative values will be rejected. Alternatively, some contact lens manufacturer will measure power as High, Medium, and Low. Values are expressed in diopters without a sign. It is measured in diopters with two decimal positions. The size of the contact is measured in millimeters. It determines the dominant and non-dominant eye. It can only be expressed in Distance or Near. 9 Inventory Re-Activate Inventory Option This new feature will allow you to re-activate deleted inventory items from the Contact Lens, Spectacle Lens, and Frames inventory lists. To access this feature start by navigating to your Contact Lens, Spectacle Lens, or Frames inventory list. Click on the Activate Inventory button to see a list of deleted items for that specific item type Select the item or items to re-activate click on the Activate button. 10 VSP Spectacle Lenses Import Based on customer feedback we have improved the VSP Spectacle Lens import option by allowing the user to simply check off lenses to add to inventory from the updated VSP list. To begin go to File > Inventory > Spectacle Lens Inventory The Refresh VSP List button has been changed to VSP Import Click on the VSP Import button The import window will appear displaying the lens list retrieved from VSP Lenses already mapped in the inventory will be displayed in Red NOTE: These lenses cannot be deselected from the import screen. Selecting the import checkbox will begin the process of validation Validation checks for the lenses corresponding procedure codes and options codes in the Procedure Code Setup My Vision Express Version 10.0 Release Notes Last updated 2/14/2012 Inventory 6

11 If a required procedure code is not found an error will appear Procedure codes that correctly setup in Procedure Code setup will be marked in grey Procedure codes that are NOT setup in the Procedure Code setup will be marked in white The lens can still be imported, but will not work properly in the orders module as stated in the error message If user selects the Yes option, then the import checkbox will remain selected. If user selects the No option or clicks the X at the top-right of the window, then the import checkbox will automatically deselect. The user can also double click on any row to display the procedure code(s) required for the specific lens. 12 The Select All button when clicked will warn users validation will be skipped and prompt user to make sure procedure codes are setup properly If user clicks No then no rows will be selected for importing If user clicks Yes then all rows will be selected without validating the procedure codes NOTE: Selecting all lenses may take a significant amount of time The Unselect All button will unselect all import check boxes for all unmapped lenses. If a lens is already mapped to your inventory it will remained checked Once you have selected lenses to import Click on the Ok button Lenses selected will be automatically created and the spectacle inventory window will refresh when the import has completed The spectacle lens inventory item will contain the following VSP Code Style Material UPC Retail Cost (Price is set from the procedure code U&C) Procedure & Option Codes Finally when you reopen the VSP import window all imported lenses will be shown in red My Vision Express Version 10.0 Release Notes Last updated 2/14/2012 Inventory 8

13 Orders Statement Status The order statement status field is used to track the progress of your collection efforts. You can easily see how many statements have been sent to the patient and mark his account for collection. The options for the statement status are customizable as follows: 1. Go to File > Setup > Categories 2. Scroll to the Order Statement Status category group. The default category items available are displayed below: 3. Add, remove or edit the statement statuses on the list. Bear in mind that the Sort column here determines the order in which the statement statuses will be used when the system advances to the next level. 4. Click the Save and Close buttons in the main toolbar. NOTE: Any outstanding order that does not have a statement status assigned will be set to the statement status with the smallest sort order value when the next billing cycle is run. In the Statement Note column, you can select a customized message for each status which will print out on the receipt according to the status. To customize the statement messages: 1. Go to File > Setup > Receipt/Statement Notes. 2. Click the Add button to enter a new note or select an existing one to edit it. 3. Edit or enter the note Name, Location and Message fields. 14 4. Click the Save and Close buttons in the main toolbar. Once setup is complete you can use the statement status feature manually or automatically to update orders and for reporting purposes. Manually Updating Statement Status In the orders module, the Statement field was added to allow you to select a predefined statement status from the drop-down options. The statement status history is updated every step of the way and you can view it by clicking on the ellipsis button next to the Statement field. Automatically Updating Statement Status The statement status can also be updated automatically when printing batch receipts from File > Batch > Receipts/Statements. For this to work, you must setup the statement status buffer as follows: 1. Go to File > Setup > Company Information 2. 15 3. Set the Status Buffer (at least to 1 day). 4. Click the Save and Close buttons in the main toolbar. NOTE: The buffer determines the amount of days that must pass before an orders' statement status can be automatically updated via the batch receipts/statements report. For example, the statement buffer can be set for 7 days so that, once it has been 8 days since the previous statement run, the status will be automatically updated to the next level when the statements are run again. Receipts/Statements Reporting by Status The statement status can also be used as a search criteria when running your Receipts/Statements report from File > Batch > Receipts/Statements. In the Statement Status field: Select the statement status level that you want to run. If you select "No Status", only orders that DO NOT have a statement status set will be included in the statement run. If you leave the field blank, then the statement status is disregarded in the search. My Vision Express Version 10.0 Release Notes Last updated 2/14/2012 Orders 11

16 When the Combine orders with open balances checkbox is checked and a patient has multiple orders in various statuses, the statement note that is attached to the order statement status with the smallest sort order value will be used. Once the statement status criteria are set and you click Search, the Select Orders dialog will display your results. Use the check boxes in the Include column to select the orders for your statements. Click the Close button on the bottom right of the dialog, and the orders selected will be checked to see if their statement statuses need updating. If a statement note is not set in the Categories setup screen for the Order Statement Status category group, then the statement note selected in the search window will be used. If the statement note in the search window is not specified, then the receipt note in the order will be used. Example: Suppose that there is an order that does not have a statement status and the statement status buffer has been set to 1 day. The order was created on 1/24/2012 and the current date is 1/26/2012. You search for orders with No Status, select it in the Select Orders dialog and click the Close button. In this case, you will be taken to the Preview tab to print the statements and the statement status will be updated to First Notice (since it has the smallest sort order value). The statement note assigned to the First Notice status will print in your statement as well. NOTE: The order status will not be adjusted automatically again until the amount of days specified in the buffer has passed. In the example, the statement status cannot be automatically updated to "Second Notice" until 1/28/2012. Interaction Tab with Alerts An interactions tab has been added to the order module to allow you to record order-specific interactions. When you create or edit an order, an interaction is logged automatically. It keeps track of the date and time when the interaction was created as well as your name and what action was taken by you when dealing with the order. 17 You can edit the latest interaction Notes and Category by double-clicking on it. You can also flag an interaction by checking the Alert check box, which will cause the interaction flagged to display when the order is accessed the next time around. VSP Contact Lens Benefit Calculations In response to VSP Contact Lens Benefit Enhancements for the VSP Signature Plan and VSP Choice Plan that came into effect January 1, 2012, some modifications to specific fields and calculations in My Vision Express were done as you can see below. New Field A contact lens fitting copay field has been added throughout MVE for Contact Lens Exam Copay with Materials Allowance benefit. 18 Patient Profile Insurance Tab Insurance Plan Fee Schedule Contact Lens Order Removed Fields Since the VSP contact lens care program was eliminated on January 1, 2012, the field to choose a tier for it was removed from MVE. Calculations The final total for patient due, insurance due, allowances, and copays will be handled automatically using the VSP reimbursement chart. 19 Exam Enhanced Procedure Code Search The procedure code selection screen in the Assessment tab of the exam will let you Filter or Find procedure codes via the Find field. This will help you select the procedure code faster by letting you filter the procedure codes. Find Will highlight the item in the procedure code list that closest resembles your search criteria in alphabetical order. Filter Will provide you with a list of items in the procedure code list that match your search criteria. Exam Header The exam header has been modified to include patient s language, race and ethnicity when the information has been entered into his profile. NOTE: Positioning your mouse over the text will display a tool tip with the same information in a larger font for ease of viewing. 20 Refractive Prescription The prescription date is now editable when generating a prescription in the Refractive tab of the Exam module. Assessment Plan You can now select your assessment plan notes from a categorized list. The Plan dialog is accessible by clicking the small button next to Plan". To select your plan notes: 1. Click on a Category and the relevant plan notes will be displayed. 2. Double-click on each note that you want to select in the Available column. If you select a note by mistake, double click on it in the Selected column to remove it. 3. For additional notes, repeat the steps above. 4. Click OK to bring the selected plan notes to the Plan section in the Assessment tab. To use the plan categories as described above, you will need to do some initial setup. 1. Go to File > Setup > Exam > Category and Treatment Plan from the Section drop-down box. 2. Click the Add button to create a new category and complete the fields at the bottom of the screen. 3. To edit an existing category, select it and use the fields provided at the bottom of the screen to make your changes 4. Click the Save and Close buttons in the main toolbar. 21 Insurance Fee Schedule Series Grid A "Series Grid" was added to the fee schedule to provide for a more accurate billing of extra-power lenses on their base code components: V2101-V2114 V2201-V2214 V2301-V2314 To use the "Series Grid" on the Fee Schedule: 1. Go to File > Setup > Insurance Fee Schedule. 2. Select the insurance plan that you want to work with. 3. Tick the "Series Grid" check box to activate the Series Grid button. 4. Click the Series Grid button to open the pricing dialog. 5. Price the v-codes on the list and click OK. Click the Save and Close buttons in the main toolbar when you are done working with the fee schedules. 29 Reports Inactive Patient Report The new Inactive Patient report allows you to view patient records that have not been accessed in at least seven years. To use this report : 1. Go to File > Reports > Patients > Patient Inactivity 2. Select location For all locations, clear out the Location field. 3. Enter an As of Date for the report. 4. Click the Search button. 30 Setup Multi-location Employee Setup If you are an administrator in MVE, you can specify what specific locations an employee can access in a multi-location environment. To set this up: 1. Go to File > Setup > Employees. 2. Add or select an employee record. 3. In the Locations field, to the right of the screen, select the locations that the employee will be allowed to access. 4. Click the Save and Close buttons in the main toolbar. When you limit the locations access for an employee as described above: The Login screen will let the employee sign on only to the locations allowed for him. Location drop-downs throughout the program will only let that employee select the locations allowed for him. The employee can only generate reports for the locations allowed for him. 31 Active Directory Integration This integration allows you to use Active Directory security credentials to login to MVE. NOTE: For the Active Directory integration to work, you need to setup the Login Mode section in the System Settings tab of the Company Information screen (File > Setup > Company Information). Use the Domain field to type the distinguished name of the parent domain which holds organizational units (OU) and users. Users are assumed to be within the OUs. Sub-OUs are not currently supported. The import window (Tools > Active Directory Import) will display all the users and the security groups that the users are members of within the OUs in the domain. Security groups are displayed if they have members. Users are shown in the top half of the screen and security groups in the bottom. Users and groups in the domain that do not have an equivalent in MVE are marked in green. Gray rows indicate users and security groups that already exist in the MVE. If a user s first or last name is changed in Active Directory, the column will be highlighted in yellow. If this user is re-imported, the existing record in MVE will be updated. Data missing from required columns is highlighted in red. Users with missing required data will not be imported. Use the Import checkboxes to select the users and security groups to be imported and click the Import button to bring them into MVE. After importing the selected users and security groups, the Active Directory - Import dialog will refresh. Click the Close button when you are done with this dialog. NOTE: Employee records that are imported from the Active Directory will have the first name, last name, user ID, password, session domain, and session username automatically set. The session domain is determined by the sub-domain from the domain setup in the system settings. For example, if the domain is setup as DC=MVE,DC=Office, then the session domain is imported as MVE. 32 Auto Login Local Installation Users If the Active Directory login type is set, employees will no longer login using the MVE Login scree dialog. Instead, each user s Active Directory account can be imported into My Vision Express (as described above), which then maps their account to the proper employee record. When the user is signed into Windows and opens My Vision Express, it will check to see if their Windows account is mapped to an employee. If it is, then the user will be logged in automatically. If the company has multiple locations and the employee is assigned to more than one location, then the location selection screen will pop up for the user to select which location they want to use. When the user logs out of My Vision Express, the application will either close or the location selection screen will pop up depending on the amount of locations that user is assigned to. If the user is assigned to one location, then the application will close when the user logs out of My Vision Express. If the user is assigned to multiple locations, then the user may select a new location to log into, or click cancel to close the application. Web-hosted Users For web-hosted customers, the Active Directory login type setting is not available. However, each employee s Windows account can still be mapped to use the auto login feature. This can be done by setting the s ession Domain and Session Username fields in the Employee setup screen (File > Setup > Employee). If you do not know this information, then it can be found at the login screen. In the picture below, mvedev-pc is the session domain and michael is the session username. This can be found for each employee by logging into their own Windows account. Web-hosted customers do not have to map their employees for automatic login. 33 Automatic Audit Audit feature will allow users to dictate which tables they would like to audit and automatically manage the size of the audit table. This data can be accessed via our available Audit Reports. To access the new Audit Feature Go to File > Setup > Company Information Click on the Audit tab. To activate either the Audit or Last Updated check the corresponding checkbox for each table and the feature will be enabled after saving. Table Name Rows Available tables to be audited Amount of rows that are currently in the table Table Size Audit Current size of the table Maintains a record of changes. Last Update Maintains a record of the employee who previously updated a record. Audit The audit feature maintains a history of record creations, modifications, and deletions of each record in each table that it is enabled on. Every time a record is created, changed, or deleted by a user, it will be logged in the audit table. The audit rows can be queried to track changes that were made to a record. The audit feature alone cannot determine the employee who changed the record. Last Updated The last updated feature is a simplified version of the audit. This feature only tracks who last changed the record, when it was changed, and the computer it was changed on. It does not maintain a history of record changes and does not track what was changed. However, the last updated feature does not impact audit table sizes and does not create additional rows. NOTE: The Audit & Last Updated features listed above can be used in conjunction to audit user changes to items in the software. Automated Purge The size of the audit tables can be maintained with the automated purge feature. The user can set a number of days to keep audit records. Any audit records that are older than the specified number of days will be purged. Automatic purging occurs at most once each day. 34 when the last time the data was purged. If the data has not been purged yet for the day, then it will purge the old data. After the data is purged, then the process will not repeat until the next day when the first user logs in. This will only occur if the Enable Purge checkbox is checked and the number of days is specified. Purge All Button The purge all button will purge all audit data in every audit table regardless of whether or not the audit is enabled or disabled. Both purge features permanently delete the audit data and is only recoverable if a database backup exists for a date earlier than the purge. NOTE: Since the "Last Updated" feature does not use extra disk space or requires extra rows, the purge feature only deletes audit records and does not delete last updated records. Security You can restrict access to the new audit features as follows: Go to File > Setup > Company Information. Click on the Security tab. Select the Security group that you want to work with. Expand Company Setup Screen. Enable/disable the features highlighted below. Click on Save and restart program for changes to take effect. The integration allows users to search the website seamlessly, and provides an added layer of security for your provider logins. 36 Miscellaneous Font Change Throughout the application, the font has been changed to style "Calibri" size 9 which will enhance your overall visual experience of My Vision Express. Some users will be required to make some adjustments to their Windows environment to take advantage of the new font changes. For our Webhosted users of My Vision Express follow these steps 1. Open your 2x client 2. Click on Connection Properties along the top toolbar 3. Click on the Experience tab to view all Performance features for 2x client. The performance options allow you to enable/disable settings which help optimize your remote access experience. 4. Click and enable "Font Smoothing" and the "Themes" options. Font Smoothing allows crispier font view and the Themes option allows the user to benefit from the Windows Aero "Glass" look which is part of Windows environment.
