3 Introduction When designing and implementing Distributed Office systems, several concepts and technologies used to ensure for easy deployment. The key element in a fast Distributed Office deployment is a Profile. A Profile embodies the configuration, translations, Software, and Firmware elements of a Distributed Office system. Instead of having a single Profile that attempts to match all customers, which is not realistic, Distributed Office allows Profiles to be matched to or built specifically for customers. The purpose of this job aid is to provide guidance to the Sales Engineering and Services community about using of the new Profile Manager web tool within the process flows defined. Please refer to your communities or company's process flows for supporting your role in Distributed Office. Glossary Term Standard profile Default profile Description A standard profile is designed for a specific type of business and can be used instead of the default profile. A set of standard profiles is associated with each construct.the standard profiles include common provisioning data for a specific business type, but not the location-specific data. Standard profiles contain a "Profile-based Setup Assistant," which prompts for missing or changeable provisioning data during installation within the Local Manager If you specify None (Default) for the Profile Type in ASD (Avaya Solution Designer), the system is shipped with a default profile from a made-to-stock distribution center. The Default Profile is a specific instance of the Standard Profile. A default profile is associated with each of the Distributed Office constructs. The default profiles contain the minimum provisioning data that is needed for their associated constructs. The default profiles also contain the "Profile-based Setup Assistant," which prompts for missing or changeable data during installation in the Distributed Office Local Manager. 1 of 2 Job Aid: Avaya Distributed Office Profile Manager December

4 Term Custom profile Configure-to-Order system Made-to-Stock system Profile Manager Description A custom profile is built to the customer's specifications, starting with a default or standard profile. Custom profiles contain a "Profile-based Setup Assistant," which prompts for missing or changeable provisioning data during installation. A custom profile can be "fully configured" to contain all the provisioning data for a specific branch location. Custom Profiles are created in Distributed Office Local Manager. A Configure-to-Order system is one of the pre-defined constructs with a Standard or Custom profile loaded at the factory location before shipment. All components of the system are assembled and tested end-to-end, and then shipped together. A Made-to-Stock system is one of the pre-defined constructs loaded with a default profile and shipped from the nearest distribution point. A custom profile, or pre-defined standard profile, might be used for a Made-to-Stock order, but the profile is loaded on site during installation, rather than at the factory before shipment. If a standard or custom profile is used for a Made-to-Stock order, the profile is loaded on the Distributed Office system from a USB flash disk ("Disk On Key") or from an image downloaded from the Profile Manager. A web-based tool called Profile Manager will be available for Avaya and Avaya BusinessPartners to help select and download Profiles, or have selected and have them pre-loaded for a Configure-to-Order process. 2 of 2 Overview You can use Profile Manager to: Match a Profile to each Distributed Office location in the customer's design corresponding to a branch location. This is necessary when your customer has ordered a Configure-to-Order system so that the Avaya factory can pre-load the proper Profile prior to shipment to the end destination. Search for a Default, Standard or Custom profile based on search criteria such as the construct model, for example, i40 Analog, SAP material code, Profile name or Identifier. Upload a Profile to Profile Manager. This will be necessary when a Custom Profile has been created and needs to be achieved for future download either to the factory upon order, or during install of the equipment. 5 Overview Accessing the Profile Manager 1. Open the Avaya Enterprise Portal at or the Avaya BusinessPartner Portal - Use your usual Avaya Single Sign-On (SSO) login to access the Profile Manager. 2. Load Split Design - The Split Design Report is produced within ASD, typically by the Sales Engineer. It contains the list of all of the Distributed Office designs for the customer for each location along with the SAP Quote numbers. In order to prepare for this step you should have a Split Design.txt file available. Make sure you use the same ASD split design report when you create the SAP PO and when you upload it to Profile Manager. You must associate a Profile to each location. 10 5. Click the Open Locations Form button. - A page similar to this will open: Figure 4: Split Design Report Figure notes: 1. Save 2. Reset 3. Fill all Profile Number Defaults 4. Change log - At the bottom of the window, there is a list of changes that have occurred to the Split Design file that are listed in case you needed to track multiple design iterations. If your design lacks the Configure-to-Order material code , the Profile Manager assumes that it is a made-to-stock item and will not request to match a profile. You will need to correct your design for a configure-to-order item. 6. Specify a Profile for each Location: You must select a Profile for each location. 11 Match a Profile to each Distributed Office location for Configure-to-Order - Each location is listed with the SAP Quote, the location name, the main Distributed Office construct type and description. a. Type the Profile Number corresponding to the one your customer requested in the Profile number field, or b. click Default to enter the default profile number, or c. click Fill all Profile Number Defaults to enter the default profile number for all the locations, or d. search for a profile by clicking Search. - The Search window opens: Figure 5: Profile Search window Figure notes: 1. 12 3. A window listing all the matching Profiles opens: 4. Select the Profile you want to use by clicking on it. - The profile is entered in the Profile Number field and the search box closes. 7. Once each location has a Profile identified, the factory will have the information necessary to pre-load it onto the matching Distributed Office system that was ordered. Important: Have you selected a Profile for each location? Upload a Profile to Profile Manager Upload a profile to the Profile Manager when you create a Custom Profile and want to the factory to use the Profile for manufacturing Distributed Office. 13 Upload a Profile to Profile Manager 1. Create a Custom Profile within Distributed Office Local Manager and back the profile up to your computer. Refer to Avaya Distributed Office Job Aid: Creating Profiles, for additional information on this task. 2. Click on the "Upload a Profile" link in the task pane in the Profile Manager - The following page opens: Figure 6: Upload a Profile page Figure notes: 1. FTP parameters: - IP address - Username - Password - Remote directory 2. Continue button 3. Quick upload application - You are given a unique ftp session ID. 3. To upload via ftp, use an ftp client on your PC or Laptop to create the session using the information given to you on the screen and transfer the file to the specified location. To use the PM Upload application, which reduces the upload time, click Quick upload application. - Save the file to your hard drive and run it. - The following program opens: Figure 7: Avaya PM Quick Upload Application 1. Step 1: Click Click to choose profile folder. 2. Browse to the folder that contains the profile in the window that opens, and click OK. - You can only proceed to step 2 if the profile is valid. 3. Step 2: Paste the 32 hex string (Directory Name) from the Profile Manager the into the Directory Name field. 4. Step 3: Click Click to Upload Profile to start the upload. - The upload may take several minutes to complete. Once it has completed, ***** The Upload Finished. ***** appears in the status window. Tip: Tip: Refer to the window on the right of the application for status information. 5. Once your upload is done, press the Continue button. 6. Enter the information describing your Profile so it will be available for downloading and production. Ensure the information you enter is accurate and complete for future use. 17 Download a Profile from Profile Manager Download a Profile from Profile Manager Profile Manager keeps an archive of profiles for future download for manufacturing. It may be necessary to download a Profile for restoring onto a Distributed Office construct during installation when ordering a Made-to-Stock unit. 1.
