1 STYLE FOR RFPs and GUIDE FOR OTHER CARESTAR DOCUMENTS 1. General rule is to begin a new line or paragraph on a separate page, as opposed to breaking the line mid-sentence onto a new page. 2. Make images as large and clear as possible. 3. Document margins should GENERALLY be 1 on all sides (SEE VISUAL BELOW). 4. Paragraph Spacing: Before and After both = Body Copy = Arial 12pt. 4 COMMON GRAMMAR ERRORS 1. Punctuation required for including but not limited to: Should be: including (,) but not limited to (,). Parenthesis are used for emphasis of the comma position in sentence. 2. Distinguishing between i.e. versus e.g. i.e. means in other words, or that is and e.g. means for example. 3. Periods: Use a period at the end of a complete sentence that is a statement. If the last item in the sentence is an abbreviation that ends in a period, do not follow it with another period. If a sentence ends with a parenthetical that is only part of a larger sentence, the period is placed outside the closing parenthesis. Hotel rooms are likely to be in short supply thorough August (the peak travel season). If the parenthetical is itself an entire sentence, the period is placed inside the closing parenthesis. However, writing parenthetically should be avoided. Just write the sentence with punctuation. Their house was the largest on the block. (It also happened to be the ugliest.) Use commas instead of parentheses when possible. Business writing points are not parenthetical. Proper placement of the period, or other punctuation, with quotation marks. If a sentence ends with quoted material, the period is placed inside the closing quotation mark, even if the period is not part of the original quotation. Example: Correct: Yesterday he asked, Why is it so cold on Mars? Incorrect: Yesterday he asked, Why is it so cold on Mars?. 4. One or two spaces at the end of a sentence? A single space is used between sentences. 5. Use of periods for lists: For consistency, use a period at the end of each listed item. Colons are used after the header. 6. Commas: Use a comma to separate elements in a series. Commas separate a list of items in a sentence, but no comma is needed prior to the ending item and the word and or the word or. I will be bringing bread, salad, fruit and dessert to the picnic. Use a comma plus a conjunction (and, but, for, nor, yet, or, so) to connect two independent clauses. Page 4 of 7
5 Joey hit the ball well, but he ran toward third base. Use a comma to set up parenthetical elements. Running toward third base, he suddenly realized how foolish he looked. Use a comma to set off parenthetical elements, as in "The Big Mac Bridge, which spans the Ohio River, is falling down." By "parenthetical element," it is a part of a sentence that can be removed without changing the essential meaning of that sentence. The parenthetical element is sometimes called "added information. 7. Semicolon: The semicolon (;) is a punctuation mark that separates major sentence elements. A semicolon can be used between two closely related independent clauses, provided they are not already joined by a coordinating conjunction. Semicolons can also be used in place of commas to separate items in a list, particularly when the elements of that list contain commas. Between items in a series or listing containing internal punctuation, especially parenthetic commas, where the semicolons function as serial commas: o The people present were John, a man from Cincinnati; Peter, the preacher s son; and George, a thin kind of man with no apparent friends. o Several fast food restaurants can be found within the following cities: Cincinnati, Ohio; Dayton, Ohio; London, England; Dublin, Ireland and Madrid, Spain. Between closely related independent clauses not conjoined with a coordinating conjunction, when the two clauses are balanced, opposed or contradictory: o My wife would like tea; I would prefer coffee. o I went to the basketball court; I was told it was closed for cleaning. Do not use semicolons when it is simply a list. When a comma replaces a period (full stop) in a quotation, or when a quotation otherwise links two independent sentences: o "I have no use for this," he said; "you are welcome to it." o Is this your book she asked; I found it on the floor. RULES OF CAPITALIZATION 1. Use capitals for proper nouns. In other words, capitalize the names of people, specific places, and things. For example:... The word "country" would not normally be capitalized, but you would have to write China with a capital "C" because it is the name of a specific country. Page 5 of 7
6 2. Do you capitalize it in a title? Short" words, those with less than five letters, are lowercase in titles, unless they are the first or last words. Generally, we do not capitalize: Articles a, an, the. 3. Helpful hints. First letter in a sentence. Buildings (and other man-made structures). Borders (of regions, States, countries, etc.). Titles. POWERPOINT PRESENTATIONS 1. Correct slide template for all CareStar PPs and can be obtained from Sherry Weber. Remember to secure each time you plan to use as there may have been subtle changes. 2. As Calibri (Body) is the default font for any Microsoft application, we will continue to use the default font for PowerPoint. Your type size will fluctuate due to the nature of a PP being larger fonts. Or, often what you are inserting such as a picture, etc. may be a different font. 3. You should mirror the CareStar crimson and gold when feasible. 4. All PowerPoints should be paginated; no slide number on a title slide. 5. The size of your slide should be Standard (4:3). 6. Always check each slide for standardization of images and color. 7. When pasting in pictures, excel spreadsheets, WORD tables, you must not go beyond the red (dash) lines that will appear on all four sides when inserting/sizing the items.
