Hardin, Superintendent Request for Proposal Project: Camden County Schools (CCS) is accepting proposals to upgrade the existing switches and wireless access points at Crooked River Elementary School Project Location: Crooked River Elementary School 3570 Charlie Smith, Sr Highway, Saint Marys, GA Bids will be received by Camden County Board of Education (CCBOE) until 3:00 p.m. prevailing time on Monday March 5, 2018 for the project listed above. There will be no public bid opening and awards will not be made on this date. Bids will be reviewed and bidders notified when award is made. CCS may request presentations by the leading bidders in order to further evaluate their proposal. Winning bid will be presented to the CCBOE for approval once all presentations are complete and the proposals have been evaluated. This project is contingent upon USAC / E-Rate approval and funding. All vendors must include SPIN numbers in the proposal and agree to work within the E-Rate framework and requirements. All vendors must agree to accept funding directly from USAC for the reimbursable percentage. CSS will only pay non-reimbursable amounts to the vendor. All projects may commence as soon as possible after E-Rate funding is approved and funded. Questions and answers will be posted on the web for all bidders. Proposals may be submitted via in PDF format. The contractor shall be responsible for visiting the job site and familiarizing themselves with the job and working conditions. Working hours shall be coordinated with the staff. Work must be completed such as not to interfere with school hours / instruction time. There will be a public walk through for interested bidders on Tuesday February 13 th at 9:00 am. Please RSVP to John Bailey at the address above for instructions on where to meet. All work during installation is subject to inspection by the owner or their representative. Any questions concerning these specifications should be clarified prior to commencing the job. Any changes to these specifications would require written approval of the owner. References should be included and will be used to assist in awarding the projects. Consideration will be given for past performance with CCS and local / GA vendors. 2 funding for this project through the E-Rate system. Please include E-Rate projects in your references. Proposals should also include vendors E-Rate SPIN number. A proposal cannot be withdrawn after it is filed, unless vendor makes a request in writing to the Camden County School System prior to time set for opening of RFP, unless CCS fails to accept bid within 120 days after date fixed for opening of RFP. Camden County Schools reserves the right in its sole and complete discretion to waive technicalities and informalities and reserves the right to reject all bids. Requirements and Specifications: 1. Replace existing equipment per the attached table. All equipment must be compatible with existing Cisco 5520 WLC, AC Wave 2, dual 5GHz radio support and multiple gigabit uplink speeds of up to 5 Gbps, limited lifetime hardware warranty. a. Labor to include R&R existing AP s and return all hardware to central office. b. Labor also to include configuring new AP s in existing C5520 controller. 2. Replace existing Cisco 4506, 3560 and 2960 switches in existing data closets Cisco C3850 series switches or equivalent as indicated in attached table. a. Labor to include R&R existing switches and return all hardware to central office, configure new switches, install recommended vendor software version, and patch of all cables in existing racks. 3. All switches to include limited lifetime warranty and one year SMARTnet maintenance. 4. Vendor must be Cisco certified Gold Partner in both Switching and Wireless Infrastructure or equivalent. It is understood that except as otherwise specifically stated in the contract, the Vendor shall provide and pay for all material, labor, tools, equipment, transportation, temporary construction

5 of every nature and all other services and facilities of every nature whatsoever, necessary to execute, complete, and deliver the work within the specified time. Permits and licenses necessary for the execution of the work shall be secured and paid for by the Vendor. IMPORTANT: It is occasionally necessary to make revisions after a BID or RFP is originally posted. It is the vendor's responsibility to review the postings on the CCS website often to ensure that no changes or additions have occurred. Failure to do so will not relieve vendors of the obligation to comply with all terms and conditions from the latest posting of any addendum to a BID or RFP to which they respond.
