1 Tip Sheet No.32 Completing the RS20 from the Pivot Table Refresh the data area It is important the we refresh the data area in the pivot table before we can produce anything meaningful. 1. Right-Click in the data area of the pivot table and click on Refresh. Manipulating the Pivot table The pivot table can be manipulated to display different data by dragging the data items to and from the data area as indicated below. Completing the RS20 Template 1. 2 2. Enter in your Provider Code, PTE Name and Return Type (A-D from the flowchart). This will determine the sections of the RS20 template you will need to complete or if you need to complete the RS20 Return at all. Part 1: Full-Time Students & Part 2: Part-Time Students (Age & Award Category) 1. Click on Part 1 of the RS20 Template. 3. To determine the number of full-time students by age and award category drag the Age, Load, Gender and Award Category data items into the data area. 4. You can use the filter options to narrow down the data presented to make it easier to enter into the template. 3 5. Enter the data from the pivot table into the template. The example pivot table above highlights the necessary data to enter into the template. 6. Click on Part 2 of the RS20 Template 7. In the pivot table filter the Load by PT or Part Time. 8. Enter the data from the pivot table into the template. Part 3: All Students (By Ethnic Group & Award Category) 1. Click on Part 3 of the RS20 Template. 3. To determine the number of students by ethnic group and award category drag the Ethnicity, Gender and Award Category data items into the data area. 4 4. Enter the data from the pivot table into the template. Part 4: All Students (Ethnic Group & Age) 1. Click on Part 4 of the RS20 Template. 3. To determine the number of students by ethnic group/type of student and age drag the Ethnicity, Gender and Award Category data items into the data area. 4. Enter the data from the pivot table into the template. Part 5: First Year Students (Prior Activity) 1. Click on Part 5 of the RS20 Template. 3. To determine the number of first year students by prior activity drag the Prior Activity, First Tertiary Year, Gender and Load data items into the data area. 5 4. Enter the data from the pivot table into the template. Part 6: From Year Students (From School) 1. Click on Part 6 of the RS20 Template. 3. To determine the number of first year students from school drag the Ethnicity, Prior Activity, First Tertiary Year, Load and Gender data items into the data area. 4. Enter the data from the pivot table into the template. Part 7: All Students (NZQA Recognised Qualification & Source of Funding) 1. Click on Part 7 of the RS20 Template. 3. To determine the number of students by NZQA Recognised Qualification & Source of Funding drag the Qualification and Source of Funding data items into the data area. 4. Enter the data from the pivot table into the template. Part 8: All Students (Source of Funding & Full-Time/Part-Time Attendance) 1. Click on Part 8 of the RS20 Template. 3. To determine the number of students by Source of Funding & Full-Time/Part-Time Attendance drag the Source of Funding. Load and Gender data items into the data area. 6 4. Enter the data from the pivot table into the template. Part 9: Foreign Fee-Paying Students (Country/Jurisdiction & Total Duration of Course) Click on Part 9 of the RS20 Template. 1. In the pivot table drag any previous data items from the data area back into the data list. 2. To determine the number of students by Country/Jurisdiction & Total Duration of Course drag the Country Name, Source of Funding, Months Duration, Language Student and Gender data items into the data area. 3.
