2 Introduction Welcome to Tour Operator MARKETPLACE Use this packet to plan and maximize your experience at the 2015 Adventure Travel World Summit, including our preparation guide, frequently asked questions, tips and important deadlines. The Tour Operator MARKETPLACE is your chance to meet with a global delegation of adventure travel providers all under one roof MARKETPLACE PARTNER 2
3 Preparing for MARKETPLACE 1 2 Secure ATWS registration, selecting buyer as your company type. Already registered but not sure if you ve indicated you want to participate? Fill out our badge information form ensuring that you select the Tour Operator - Outbound (Buyer) or Travel Agent based on your company type. If you are hosted on a Pre-Summit Adventure it is expected that you will participate in meetings with suppliers during MARKETPLACE. Failure to participate will jeopardize our ability to offer you a hosted opportunity at future ATWS events. Coordinate travel plans and hotel arrangements. Access the ATWS Traveler Information Page. 3 Create your Summit Connections profile. Once Summit Connections is available you receive an invitation via to join our online social networking tool for the Adventure Travel World Summit. Both Buyers and Suppliers will be able to customize a profile and review the list of participants in the 2015 MARKETPLACE. Any edits you make to your Personal Profile will also show on the mobile event app. Summit Connections is THE best tool to help in the facilitation of Marketplace appointments. By customizing a dynamic and engaging profile, you can let others know exactly what your business is about - and draw attention from the right potential partners. 4 Explore ATWS Suppliers on Summit Connections - you will receive your invitation to join the site once it is available. Please contact info@adventuretravel.biz if you have not received your login information by August 3rd. 3
4 5 August 3 - August 23 Submit Appointment Request Form Once you have reviewed the directory, you can select which Suppliers you would like to meet with via our online request form and receive a pre-matched schedule of appointments. You can request marketplace appointments between August 3-23 using the Appointment Request Form (the link to the form will be live on August 3). *Do not request appointments directly through Summit Connections, as this feature will be blocked until schedules have been delivered. Your matched schedule will then be delivered to your inbox and uploaded to your Summit Connections profile no later than September 11th. 6 7 September 11 All Marketplace schedules delivered via and uploaded to your Summit Connections profile. Set up additional meetings through Summit Connections. Once your schedule has been delivered you are free to add/change/ delete appointment directly through Summit Connections. *Once your schedule has been delivered please do not contact the ATTA to make changes. 4
5 Sending Messages on Summit Connections SEND MESSAGE Send a private message to a Delegate, Sponsor, or Speaker (if applicable). The recipient will be notified via and mobile app. To view your new, sent and archived messages via- EVENT WEBSITE Click My Page, Messages MOBILE EVENT APP Click Menu Icon, Messages REQUEST MEETING ICON Request a meeting with an Attendee, Exhibitor, Sponsor or Speaker (if applicable). Choose a date, time, location and add a message. To view your list of meeting requests, confirmed and pending via- EVENT WEBSITE Click My Page, Meetings MOBILE EVENT APP Click Menu Icon, My Schedule, Meetings 5
6 Schedule and Agenda 7:00-9:00 Supplier Set-up 9:00-10:30 Plenary Session 10:50-11:00 Marketplace Welcome MARKETPLACE kicks off with a brief introduction and final instructions. 11:00-13:00 First Set of Meetings The first appointment block begins at 11:00am. Each meeting lasts 17 minutes; each appointment will conclude with a tone played from stage by the organizers, after which there are three minutes for buyers to change tables to their next appointment. Please ensure each meeting sticks to the allotted time since the ATTA does not facilitate the rescheduling of meetings. 13:00-14:30 Lunch 14:30-16:00 Second set of meetings MARKETPLACE continues with set two of meetings. 16:00-16:30 Coffee Break 16:30-17:30 Third set of meetings The final appointment will end at 17:30. Remove all tabletop materials and collateral from your tables at this point; materials left behind will be recycled and/or thrown away. 6
7 Frequently Asked Questions Q: What is Marketplace like? The Marketplace is a small, intimate environment that works to connect both suppliers and buyers. Similar to speed dating but with an emphasis on quality over quantity, your Marketplace experience with be made up of 13 separate 17-minute meetings, and will provide a great atmosphere for introductions, learning about new opportunities and engaging in product development discussions. Q: As a buyer, how can I secure quality marketplace meetings? Summit Connections is step one to having a great Marketplace experience. Reaching out to suppliers you wish to meet with prior to the Appointment Request form going live is step two - the more you reach out in advance the more meetings you will have on-site. Utilize the Message feature on Summit Connections to reach out to suppliers and ask them to request you on their Appointment Request form as requests will be approved based on Buyer - Supplier matches. Q: I didn t receive all my requested appointments, why? We do our best to provide as many requested appointments as possible but due to the popularity of certain delegates, full schedules and exact requests are not guaranteed. You are able to add or rearrange meetings after your schedule has been delivered through Summit Connections. *PLEASE do not contact ATTA to make changes or request appointments once your schedule has been delivered, it is your responsibility to make changes once your schedule has been delivered. Q: Can I make changes to my Marketplace Schedule once it s been delivered? Absolutely! Again, Summit Connections will be your greatest tool in making any change to your Marketplace schedule. Your meetings will be uploaded to your Summit Connections profile in the Meetings section. You can add/cancel/change any meetings from this tab. 8 Additional Tips for Success The only way to receive a pre-matched schedule of appointments for MARKETPLACE is to use the Appointment Request Form (available August 3 - August 23, 2015). Due to the popularity of certain delegates, we do our best to secure meetings with as many of your selections as possible, but full schedules and exact requests are not guaranteed. If you wish to add or arrange meetings after your schedule has been delivered to you, please contact delegates directly on Summit Connections. Avoid double-booking! Scheduling private events on October 7th may conflict with your scheduled meetings. Please wait until you receive your schedule from ATTA before booking your own meetings. Do not miss appointments. Being late or going over the 17-minute meeting time will diminish the quality of your meeting and interfere with others. Missed meetings will need to be rescheduled on your own. 8
