1 Unified Archive \ Best Practices \ Mail Archiving Exchange Archive Mnitring ZL TECHNOLOGIES Last Updated: Octber 21, 2014 This dcument intrduces the numerus ZL UA features and functinalities an rganizatin can utilize in rder t mnitr and analyze its ZL UA Exchange mailbx archive. Mail Server Archive Reprt T generate an Exchange server s Archive Reprt: 1. Navigate t ZL Unified Archival Admin. 2. On the applicatin tlbar, click Servers > Mail Servers. 3. Duble-click the mail server f interest. 4. On the selected server s infrmatin tlbar, click View Reprt. The server s Archive Reprt pens. Figure 1: Exchange Server Archive Reprt At the bttm f the server s Archive Reprt is a detailed table f the archiving status f each user added t the Exchange server ZL Technlgies, Inc. Page 1 f 8

2 Figure 2: Exchange Server Archive Reprt User Table Frm this table, yu can glean a great deal f infrmatin abut the archiving histry f each individual user s mailbx. Hver the muse ver each clumn s title cell in rder t see what is being summarily cunted in that clumn. Nte: Exprt this reprt t Excel t refrmat this infrmatin fr all mailbxes n any clumn. Srt Ascending fr the Date clumn t see which mailbxes have nt been scanned recently. Figure 3: Srt Ascending Date Lk fr users whse mailbxes have nt been scanned recently, as well as users with a 0 cunt in the Archived clumn ver repeated scans. Fr each individual user, assess whether any utlying infrmatin is expected r unexpected behavir. If yu determine that the absence f a user s mailbx scan is unexpected behavir, prceed with trubleshting that mailbx: 1. Validate that the mailbx is still a member f the Mail Server User List, that the user has a valid department, and that all mailbx infrmatin is crrect and up-t-date in ZL UA. 2. Find the user prfile in questin and view the archiving plicy assigned t the user. Verify that the archiving plicy is enabled and that the plicy is set t capture new mail items ZL Technlgies, Inc. 3 3. Find the user prfile in questin and check the Agent Runs reprt fr the individual user prfile. (Duble-click the user prfile > Reprt(s) > Agent Runs). User Mailbx Archive and Agent Runs Reprts T generate an individual user s Mailbx Archive and Agent Runs reprts: 1. Navigate t ZL Unified Archival Admin. 2. On the applicatin tlbar, click Manage > Users > Find/Edit User/Mailing Lists. 3. Search fr the user accunt by searching fr the user Display Name. 4. Frm the listed search results, lcate and duble-click the user f interest. 5. T view the user s Mailbx Archive Reprt, click the Reprt(s) menu, and select Mailbx Archive Reprt. Figure 4: User Mailbx Archive Reprt The user s Mailbx Archive Reprt presents detailed infrmatin n the ttal number f messages identified in the user mailbx as well as the ttal number f messages archived frm the user mailbx as f the last scan. 6. T view the user s Agent Runs reprt, click the Reprt(s) menu, and select Agent Runs ZL Technlgies, Inc. Page 3 f 8

4 MTA File Stre Figure 5: User Agent Runs Reprt The user s Agent Runs reprt presents detailed infrmatin cncerning when the last full scan f the user s mailbx ccurred. This infrmatin is present in the Full Exam clumn as a Blean value, where true means the mailbx received a full scan. Identify any errrs by lking at the Status clumn that will display any exceptins that ccurred while perfrming a mailbx scan fr the selected user. Please cntact ZL Supprt in the event f errrs in the Status clumn f the User Agent Runs Reprt. T view statistics fr the MTA File Stre: 1. Navigate t ZL Sys Admin. 2. In the left-hand Actins navigatin pane, click Mnitring > MTA File Stre. 3. Observe the cunt f the Queue, Prcess, and Dead directries ZL Technlgies, Inc. Page 4 f 8

5 Figure 6: MTA File Stre Statistics The Queue Cunt shuld nt exceed apprximately 5,000. A high Queue Cunt is an indicatin f a data prcessing failure n ne r mre ZL UA servers. ZL Supprt shuld be alerted in this instance. Nte: Each Queue cannt supprt mre than 20,000 items accrding t the default system settings. The Dead Cunt is an indicatin f dcuments that failed t be written t the DB Queue fr errr handling, mst ften due t the DB Queue strage lcatin being unavailable at the time f writing. These messages shuld be mved back t the Queue manually. Vault Strage Units T validate that all vault strage units are live and available t the ZL UA servers: 1. Navigate t ZL Sys Admin. 2. In the left-hand Actins navigatin pane, click Vault > Strage Units ZL Technlgies, Inc. Page 5 f 8

6 Figure 7: Vault Strage Units 3. Observe the status f each strage unit, and cnfirm that each unit is marked with a green Live dt. A red dt in the Status clumn indicates the strage unit is nt available t the ZL UA servers. In this scenari, duble-click the strage unit t view its infrmatin and identify which disk vlume is nt available. Duble-click the unavailable disk vlume fr additinal details such as its physical path. Cntact a strage administratr t validate the accessibility f the unavailable disk vlume at this path lcatin. ZL UA Services T validate that the crucial ZL UA services MAPI, Tmcat, and ZKeeper are running: 1. Access the ZL UA server. 2. Pull up the Windws Services menu Services.msc. 3. Cnfirm that the fllwing services are started and running at all times: ZL MAPI Cnnectr ZL Tmcat Server ZL ZKeeper Nte: Autmate mnitring fr these services using SCOM alerts r any ther preferred mnitring service ZL Technlgies, Inc. 7 MTA Statistics T view the MTA statistics: 1. Navigate t ZL Unified Archival Admin. 2. On the applicatin tlbar, click Administratin > MTA Statistics. Figure 8: MTA Statistics Reprt 3. Cmplete the fllwing infrmatin in rder t cntrl which items are included in the reprt being viewed: Time Filter Chse ne f the tw time filter ptins: Perid Allws yu t restrict the items included in the reprt t thse prcessed within a certain time interval. Reprts can be generated ver the last 1 hur, 2 hurs, 12 hurs, 24 hurs, 7 days, 15 days, r 30 days. Day Allws yu t filter the reprt dwn t items prcessed n a certain day. Yu can either type the date in YYYY/MM/DD frmat, r click the calendar icn t use the calendar widget t select a precise day. Message Filter Chse ne f the tw message filter ptins: Message Categry Chse the categry f the data types t be included in the reprt. Optins include ALL, Exchange Archive, Ltus Jurnal, Blmberg, Files, IM, Scial Media, and mre ZL Technlgies, Inc. Page 7 f 8

8 Message Type Chse the verarching type f data t be included in the reprt. Optins include Jurnal, Nn Jurnal, and ALL. 4. Click Submit. Validate that data prcessing is ccurring fr bth Jurnal and Mailbx Archive data surces (Jurnal & Nn Jurnal) ver the last 1 hur, 2 hurs, 12 hurs, 24 hurs, etc. Cnduct a trend analysis by generating the reprt ver the last 30 days and ensuring that the ttal archiving cunts are cnsistent with that f previus weeks and/r with a % increase in the number f mailbxes being archived. Identify any unexpected gaps in prcessing and either validate that prcessing has resumed, r identify any areas f cncern. Cntact ZL Supprt in the event that data prcessing is nt ccurring r has nt been ccurring fr an extended r unexpected perid f time ZL Technlgies, Inc. Page 8 f 8
