Intrductin Hsted IP Phne System End User CmmPrtal Reference Manual (Cisc Telephnes) This guide is intended t help end users perfrm the tasks needed t manage telephne settings via the End User CmmPrtal, such as: View recent calls Listen t vice mails Manage yur cntacts Set up rules t rute yur calls And much mre There are ther guides which yu (and ther users) may refer t when administering yur system: Hsted IP Phne System Administratr Reference Manual Hsted IP Phne System User Guides The End User CmmPrtal is supprted n the latest versins f all majr brwsers and perating systems. Overview The dashbard prvides a way t quickly access sme f yur key features including: Messages: Shws at a glance hw many new messages yu have alng with the ttal number f messages. Click n the link t manage yur messages. Missed calls: Shws yu recent missed calls. If calls are frm peple in yur cntact list, their name is displayed alng with their telephne type. Click n a caller's name t dial their phne number r view their cntact infrmatin. Cntacts: Prvides an easy way t search fr a cntact by name and view cntact details Call Manager Settings: Displays current settings fr hw incming calls are handled. Click t Dial The Click t Dial feature allws yu t initiate a phne call by clicking n a phne number, cntact name, r by clicking n the buttn. Click t Dial: Allws yu t select the phne number that yu want t place the call frm. This can be yur desk telephne, cell phne, hme phne, etc.: If yu select yur desk telephne, the system will autmatically answer yur desk phne and launch the call (Yur line must be set t Aut-answer my phne fr click-t-dial calls ) If yu select yur cell phne, hme phne, etc., yur telephne will ring and yu must answer yur telephne in rder t place the call t the destinatin number Yur desk telephne phne number will be sent fr utbund caller ID even when the call is placed frm anther telephne (cell phne, hme phne, etc.) T place a Click t Dial call using the buttn: Click n the buttn Enter r select the number t dial by: Typing the phne number Typing the name r start f the phne number and then chsing frm suggestins frm yur cntacts r extensins Typing a vanity number in which letters are used instead f numbers Click Change t change the number that yu are calling frm. This is the telephne that will ring and yu will need t answer in rder t place the call t the destinatin number. Click Dial t initiate the call Yu can als initiate a Click t Dial call by clicking n a phne number r cntact name and selecting t Dial frm (nnn) nnn-nnnn r Dial frm ther number ptin. A ppup shws the prgress f these stages and the duratin f the call nce the destinatin telephne has been answered. If yu pick up yur telephne, but there is a prblem calling the target telephne, the web page will nt reprt the prblem since yu will hear the prblem via the telephne itself. This matches the behavir yu wuld expect had yu picked up the telephne yurself and dialed manually. Yu can end the call via yur telephne by hanging up, r by pressing the End Call buttn in the ppup windw. Yu can hide the ppup windw withut ending the call by clicking n the Clse buttn. POPP.cm, Inc. Messages & Calls The Messages & Calls page allws yu t listen t yur vic s, manage yur faxes, and view details f yur recent missed, dialed, received, and rejected calls. The Messages and Calls screen cntains the fllwing tabs: Messages: Lists new and saved vic messages. Faxes: Lists new and saved faxes (Enhanced Seat and Fax t required) Missed: Lists unanswered incming calls (up t 500 calls in the last 60 days) Dialed: Lists utging calls, including calls made using the Click t Dial feature (up t 500 calls in the last 60 days) Received: Lists calls that yu have answered (up t 500 calls in the last 60 days) Deleted: Lists deleted vic messages. New messages (thse yu have nt yet listened t) appear in bld type. Fr each message in yur inbx, yu can see wh the caller was, the time f the call, the length f the message. If the call was frm a phne number that appears in yur cntact list r the caller's name was prvided, then the name f the caller will be displayed. If the call was frm a phne number that is nt in yur cntact list, the caller s phne number will be displayed. Yu can als see if the caller marked the message as Urgent r Private. Play a message r save a lcal cpy n yur cmputer Manage yur messages by deleting them, r marking them as either new r heard Reply t r frward a message Leave a message fr smene View cntact details r add new callers t yur cntact list. Play r save a message T play a message, click n the r icn t bring up the Vic Player. T save a cpy f the message n yur cmputer, right click n the r icn, and select Save Target As... r Save Link As... Vic Player The Vic Player allws yu t listen t yur vic s using a similar interface t an MP3 player. The tp sectin f the player screen shws the name (if available) and phne number f the persn wh left the vic . The lwer sectin f the player screen displays mre infrmatin abut the message, including the date and time the message was received. Yu can als see if the caller marked the message as Urgent r Private, r has requested a read receipt. The icns alng the bttm f the player allw yu t play and manage yur messages: plays the current vic replaces the play buttn - pauses the currently playing vic shws the prgress f the lading f the vic shws the prgress f the message playback and can be dragged t mve yu t a particular part f the vic recrding cntrls the vlume f the message playback. Fr new messages, this ptin allws yu t mark it as heard. Frward as launches the Frward as screen Frward as Vic launches the Frward as Vic screen Save allws yu t save the message lcally n yur cmputer The timer indicates bth the playback time (the number n the left) and the ttal length f the message (the number n the right) steps back t play the previus message steps n t play the next message Finally, t clse the vic player and return t the Messages & Calls screen, click. Mark as new allws yu t mark this message as if it were a new message. Fr new messages, this ptin allws yu t mark it as played Frward as launches the Frward as screen Save the message Manage yur messages T delete a message, press in the rw crrespnding t the message that yu want t erase. T delete all messages, press Delete All. Messages are autmatically marked as listened t when yu play them. T mark a message yu have previusly listened t as new (s that it appears in bld again); click the icn in the rw crrespnding t that message and select Mark as new. Yu can als frward vic s (as lng as they are nt marked as private). If yu wish t frward a vic t anther user (r users) n the same vic system, yu can frward the message as: A Vic An t ne r mre addresses (the vic will be attached t the as a WAV file). T reply t a vic Click the icn in the rw crrespnding t the message yu wish t reply t, and select Reply t bring up the Vic Reply screen. Nte: if yu attempt t reply t a message frm smene wh is nt a user n the same vic system then when yu try t send the reply it will fail. Recrd a respnse. The Vic Reply screen als allws yu t ptinally: Flag a respnse as urgent r private Listen t the riginal message by clicking n the riginal vic header t access the vic player cntrls Add ther recipients t the T field, separating them with semiclns When yu are finished, click Send t send the message T frward a vic as a vic Click the icn crrespnding t the message yu wish t frward, and select Frward as Vic t bring up the Frward as Vic screen. Enter ne r mre recipients in the T field. The recipients specified must be ther users n the same vic system, r the attempt t send the message will fail. If a recipient is cnfigured in yur cntact list, then yu can identify them by name, therwise yu must enter their phne number directly. Yu can specify multiple recipients by separating them with semiclns. The Frward as Vic screen als allws yu t ptinally Flag the vic as urgent r private Recrd an intrductry message - when the recipient listens t the vic , they will hear yur intrductry message first fllwed by the message yu are frwarding Listen t the riginal message by clicking n the riginal vic header t access the vic player cntrls When yu are dne, click Send t send the message POPP.cm, Inc. Enter ne r mre recipients in the T field. If the recipient is cnfigured in yur cntact list, then yu can identify them by name. Otherwise yu must enter their cmplete address. Yu can specify multiple recipients by separating them with semiclns. The Frward as screen als allws yu t ptinally Specify additinal recipients in the Cc r Bcc fields Adjust the subject line f the message Add text t be included alng with the vic attachment When yu are dne, click Send t send the message Nte: when frwarding a message as an , the Frm address specified will include yur name as displayed n the settings page. Leave smene a vic This feature enables yu t leave vic s fr ther users f this vic system by recrding and sending a message thrugh the CmmPrtal interface rather than calling them. Yu can recrd a single message t be sent t a single user, r sent t multiple users rather than calling them each individually. Recrding a message A number f cntrls are prvided fr recrding yur message. Starts recrding. This will verwrite any message yu have previusly recrded. Stps recrding the message. Plays back yur recrded message. This actin will be unavailable if yu have nt yet recrded a message. Stps playing the message. This cntrl allws yu t adjust the gain f yur micrphne. Click and then adjust the slider t set the required vlume level. While recrding, the lights abve this cntrl will shw hw lud the signal is frm yur micrphne. If the gain is set crrectly then several green lights shuld appear while yu are recrding. If nly ne r tw appear, then the gain is set t lw and yur message will be t quiet. If red lights appear then the gain is set t high and yur message will be distrted. This cntrl allws yu t adjust the playback vlume. Click and then adjust the slider t set the required vlume level. Ensure that the Allw radi buttn is selected, and if yu d nt wish t be shwn these settings in future tick the Remember checkbx. T send a vic Press the New Vic buttn, t bring up the New Vic screen Enter ne r mre recipients in the T field. The recipients specified must be ther users n the same vic system, r the attempt t send the message will fail. If a recipient is cnfigured in yur cntact list, then yu can identify them by name, therwise yu must enter their phne number directly. Yu can specify multiple recipients by separating them with semiclns. Optinally flag the vic as Urgent r Private Recrd yur message Press the Send buttn t send yur message If yu want t frward the message as an , select Frward as t bring up the Frward as screen. Enter ne r mre recipients in the T field. If the recipient is cnfigured in yur cntact list, then yu can identify them by name. Otherwise yu must enter their cmplete address. Yu can specify multiple recipients by separating them with semiclns. The Frward as screen als allws yu t ptinally specify additinal recipients in the Cc r Bcc fields adjust the subject line f the message add text t be included alng with the vic attachment When yu are dne, click Send t send the message View cntact details r add new callers t yur cntact list If a message has been left frm a phne number that appears in yur cntact list, then the name f the caller will be displayed. T view yur cntact list entry fr the caller, click n their name and select View cntact. If the call was frm a phne number that is nt in yur cntact list, the caller s phne number will be displayed. 13 POPP Cmmunicatins Trubleshting Hsted IP Phne System End User CmmPrtal Reference Manual (Cisc Telephnes) I have a warning indicatr that says Flash is Nt Installed, and clicking n the r icn des nt bring up the Player. The Vic Player uses a technlgy called Flash frm Adbe, which is nt installed n yur cmputer. If yu click n the yu. warning indicatr then it will give yu a link t Adbe's website that will install Flash fr I have recrded my message, but when I try t play it back I cannt hear anything Check yu have actually recrded smething. The length f the current recrding is shwn as e.g. 0:01:35 (1 minute and 35 secnds). If the current recrding length is 0 r much lwer than expected then try recrding yur message again. Check that playback vlume is turned up high enugh. Vlume can be adjusted using the vlume slider described abve. Try re-recrding the message, and as yu are recrding, watch the lights n the player. If n lights appear, r nly ne r tw appear, then check the fllwing. Increase the gain f yur micrphne by clicking and mving the gain cntrl nearer t the tp end. Click the icn t bring up the Adbe Flash Player Settings and make sure that the Enable hardware acceleratin ptin is selected. Click n the micrphne icn at the bttm f this settings bx and check that the crrect micrphne is selected in the drpdwn, and that the recrd vlume is turned up. If yu are using an external micrphne, check that this is plugged in crrectly. If this still desn't slve the prblem, then it may be that yur micrphne has been muted by the perating system (e.g. Windws) - refer t yur perating system help fr further infrmatin. If several green lights appear cnsistently while recrding yur message, then it is likely that yur message has recrded crrectly and the prblem is ccurring when playing it back. If yu are using external speakers, check that these are plugged in crrectly and turned n. If this des nt reslve the prblem, then it may be that yur speaker has been muted by the perating system (e.g. Windws) - refer t yur perating system help fr further infrmatin. I have recrded my message, but when I try t play it back it is distrted This may be because yur micrphne gain is set t high. Reduce the gain by clicking and mving the gain cntrl nearer t the bttm. New faxes (thse yu have nt yet read) appear in bld type. Fr each fax in yur inbx, yu can see wh sent the message, when the message was received, and hw many pages the message cntains. If the fax has been sent frm a phne number that appears in yur cntact list r the sender's name was prvided, then the name f the sender will be displayed. If the fax was frm a phne number that is nt in yur cntact list, the phne number that the fax was sent frm will be displayed. 16 POPP Cmmunicatins Hsted IP Phne System End User CmmPrtal Reference Manual (Cisc Telephnes) System messages Special System Messages may appear in yur mailbx t indicate ne f the fllwing: If yu have sent r frwarded a message via the telephne interface and requested a read r delivery reprt (receipt), the reprt will appear in yur mailbx nce the message has been read r delivered. If yu have sent r frwarded a message and the system has been unable t deliver it, r the message delivery has been delayed, a reprt will appear in yur mailbx nce the message has been deemed undeliverable r nce delivery has been delayed. If yu have failed t answer a scheduled reminder call, yu will receive a message in yur mailbx t ntify yu that yu have missed the reminder. Sme system messages may have vic s assciated with them. If there is an assciated message then a r icn will appear - click n the icn t hear the message Missed Calls This tab lists yur recent missed calls. The fllwing actins are available t yu n this tab: T add an unrecgnized caller t yur cntact list, click n their number and select Add t cntacts. T g t a cntact's entry in yur cntact list, click n their name and select View cntact. T g t the rule in Call Manager which handled a call, click n Shw Rule. Name: the caller's name was prvided r the number f the caller matches an entry in yur cntact list Telephne type: accmpanies the name when matched via yur cntact list Phne number: the number f the caller des nt match any entry in yur cntact list Unknwn: the caller withheld their identity, and s n infrmatin abut them is available Date and time f the call. If yu reach this limit, r are clse t reaching this limit, yu will see a warning icn appear n this page. Clicking n this warning icn will tell yu hw much cntent yu have stre alng with the strage limit. If yu are clse t reaching yur limit, then yu may wish t delete sme f yur messages and faxes t free up space. If yu reach yur limit and dn't delete any cntent, yu will be unable t receive further messages in yur mailbx. In additin t vic and fax cntent yu may be tld that yu have ther cntent. Finding a cntact list entry There are multiple ways t finding an existing cntact list entry: Alphabetically by name. Scrll thrugh the names in the cntact list clumn. T search by name type the first few letters f any part f the name int the Search fr bx at the tp f the cntact list clumn. Matching prceeds as yu type, and the mre yu type, the mre cnstrained the list f matches will be. Matching is perfrmed against cntacts' first and last names, and als against varius ther text fields within the cntact. Searching by number. T search fr a cntact by number type the first few digits f ne f their phne numbers int the search bx. Within the details view, the matching search text will be highlighted fr quick recgnitin. Selecting multiple cntact list entries Yu can select multiple cntact list entries at nce: Click n the cntact list entry check bx (t the left f the cntact name). If the entry is nt part f the current selectin it will be added t it; if it is part f the current selectin it will be remved frm it. Click n the cntact list entry while hlding the Ctrl key. This will have the same effect as clicking in the check bx crrespnding t that entry. Click n the cntact list entry while hlding the Shift key. This will select all items between the currently displayed entry and the entry that was clicked. Click n the check bx beside the Search fr... bx. This will select all items. If all items are already selected, unchecking this check bx will deselect all items. Cntact List Imprt is a quick way t ppulating yur cntact list with the cntacts that are already defined in anther applicatin. If yu maintain multiple cntact lists then this feature can als be used t peridically update yur cntact list with the changes yu have made t cntacts in ther applicatins. T imprt cntacts, yu must first generate a CSV file cntaining them. This file is typically generated by exprting yur cntacts frm anther applicatin. Fr example, the fllwing steps describe hw yu wuld exprt yur cntacts frm Micrsft Outlk. Nte: The steps may vary slightly depending upn the versin f Outlk yu are using. Yu may be able t imprt cntacts frm ther prgrams, but Outlk is the nly supprted prgram. At this stage yu can als press the Details buttn t check what updates have been made t yur cntact list. Having checked the cunts and details, if yu are happy then press the Cnfirm buttn t cmmit the changes. If yu're nt happy, press the Cancel buttn - the imprt peratin will be abandned, and n changes will be made t yur cntact list. Matching Cntacts Generally, an imprted cntact is cnsidered t match an existing cntact if they have the same name. The nly exceptin t this is if yu have previusly exprted yur cntacts using Native frmat. If there is a match, but the tw versins d nt cntain any cnflicting infrmatin then the imprt peratin will simply add any additinal details frm the imprted versin f the cntact t the existing versin. If there is a match, and the tw entries cnflict with ne anther, e.g. yu have an existing entry fr Jhn Smith with his address as 101 Muntview Drive, and yu are imprting an entry fr Jhn Smith which has his address as "17 Pelican St" then what happens depends upn the actin yu chse in the imprt cntacts screen. Overwrite the cntact. The imprted versin will verwrite the versin already in yur cntact list. Yu shuld select this ptin if yu are cnfident that the list f cntacts yu are imprting will always cntain the mst up-t-date infrmatin. Duplicate the cntact. The imprted versin will be added as a new cntact list entry, s, in the example abve yu will end up with tw entries fr Jhn Smith. Yu can then g thrugh and manually chse whether t keep ne r bth entries nce the imprt prcess has cmpleted. Ignre imprted entry. The entry will nt be imprted, and the versin currently in yur cntact list will be left unchanged. In native frmat, each exprted cntact list entry als includes a unique numerical identifier. If a CSV file cntaining such identifiers is subsequently re-imprted, then cntacts in the CSV file are cnsidered t match entries in the cntact list if their numerical identifiers match; matching is dne n the basis f this identifier in preference t using the cntact name. This is valuable if, fr example, yu wish t exprt yur cntacts t a spreadsheet, make a set f changes and then re-imprt them - even if yu change a cntact's name, it will still be crrectly crrelated with the existing cntact list entry. Trubleshting I've added an entry t my cntact list, but I cannt find it by name in the cntact list clumn. The cntacts clumn nly shws the names fr entries that match what yu have already typed int the search bx - delete a few characters t widen the search again. I've added smene t my cntact list, but when I receive calls frm them, I d nt see their name in my call histry. Call Manager is a service that mnitrs yur incming calls, and handles them accrding t yur persnalized settings. Yu can handle incming calls differently based n the time f day, the date, and depending n wh is calling. Yu can select frm a number f different ptins fr hw yu want Call Manager t treat yur calls. The fllwing are just a cuple f examples f what Call Manager can d fr yu. During yur wrking hurs, frward calls t yur mbile phne, nly fr peple in yur cntact list, and send all ther calls t vic . If yu are unable t answer the initial call, ring ther numbers in a sequence r all at the same time Hw des Call Manager wrk? Yu can cnfigure Call Manager by defining Rules, a Weekly Schedule, and Special Days. Rules, which are always part f a Set f Rules, tell Call Manager what t d when it receives a call. Examples f rules are: If yu receive a call frm smene n yur cntact list, make yur telephne ring in a distinct manner. If yu receive a call frm an annymus number, send it t yur vic . T use a Call Manager rule, the phne numbers in yur cntact must be full 10-digit numbers including the area cde. Yu can use the Weekly Schedule t divide yur nrmal wrking week int distinct perids. Fr example, yu culd break yur nrmal week int: wrking hurs lunchtime evenings weekend Yu can then cnfigure Call Manager t apply a different Set f Rules during each f thse perids. Rather than having t specify multiple numbers, users can use a? t match any digit, r a * t match any series. Fr example, ?? matches every number frm t , while 555* matches any calls frm phne numbers starting with 555. * may nly be used as the final character in a pattern and hence may appear nce in a pattern, r nt at all.? may be used mre than nce in a pattern, and may appear in any character psitin within a pattern. Wildcards can be mixed with Business Grup prefixes. These prefixes may start with an asterisk (being a literal asterisk character in the number, nt a wildcard) but can then be fllwed by the wildcard *. Therefre, specifying ** wuld allw a user t set a rule that applied t incming calls frm all the extensins in a Business Grup Rules Yu can use Rules t cnfigure Call Manager t handle incming calls based n yur preferences. Yu can define different rules fr different callers, gruping these within Sets f Rules. When cmbined with yur Weekly Schedule and Special Days, these allw yu t change which rules apply accrding t the time r day.
