Danbury and Bethel, CT May 12, 2017 Dear Association Members: The Board and REI hope you will find the below news and information to be helpful. Thank you for your time in reading our newsletter and for your cooperation where required. The Board of Directors would like to thank the residents of 19 Lawrence Avenue, 77 Tucker Street and Barry Gould (Board President) for giving up part of their Saturday to clean up the large of amount of dog feces on the common grounds. The Board of Directors would also like to thank all dog owners who do take the time to clean up after their dog and to remind all other residents that it is a violation of the Rules and Regulations to not curb your dog. Community Updates: We are winding up the Maintenance Standard water line compliance program. As of today, we have 7 units that are still not in compliance with the Maintenance Standards regarding the type of water feed lines that are connected to their clothes washing machines, dishwashers and/or ice makers. Pursuant to letters that were sent on March 1 st, all unit owners, either need to sign and return the statement, schedule an inspection, or correct any issues due to a failed inspection as soon as possible. Those not in compliance are being fined on a per day basis. Thank you to all homeowners that have complied with this very important initiative! We have resumed the power washing/painting/staining project. The contractor has completed all the units on the Bethel side of the community, the clubhouse, 1 through 16 Bristol Terrace and 85 through 90 Tucker Street. 2 They began work on the 2017 schedule on May 8 th. The units that are scheduled to be completed in 2017 are - 3 through 84 Tucker Street, 1 through 28 Paulding Terrace and 1 through 24 Sampson Terrace. The Association will be powering washing the buildings, painting/staining all wood components on the buildings, the decks, pool and clubhouse front entrance arbors, the gazebo, bus stop at the entrance, wood benches, fire hydrants on Tucker Street, Sampson and Paulding Terraces and the mailbox stations on Tucker Street, Sampson and Paulding Terraces. A notice will be placed on your front door 48 hours before your building and deck are to be power washed and stained. Please ensure all items are removed from your deck and that your windows are closed. If the items are not removed, the contractor will do its best to move the items around to complete your deck. Please note, neither the contractor, Association nor REI will be responsible for any damaged items. Additional updates on this project, and all projects planned for the 2017 season, will be provided in the monthly newsletters as well on the community website at: The Board of Directors voted to ratify the rule revision to Section 3.6 Barbaque Grills at the April 24, 2017 Board of Directors Meeting. For your records enclosed is a copy the revised rule. The Board of Directors, Landscaping Committee and REI Property Management will be scheduling spring walk throughs to note any repairs that may be needed to the buildings, concrete, asphalts, driveway divider walls, lawns, plants, etc. If you have noticed any damages, please report them to Kelly at kmontesi@rei-pm.net. Future Meeting Dates: The remaining board meeting schedule for 2017 is - Monday, May 22 nd ; Monday, June 26 th ; Monday, July 24 th ; Monday, August 28 th ; Monday, September 25 th ; Monday, October 23 rd and Monday, November 13 th. The Open Session will begin at 7:30 PM in the clubhouse. A standard agenda is attached for your review. If you would like to be heard, please notify Kelly Montesi so she can place your name on the agenda. To keep these meetings on track, the Board is asking that comments and questions be made before the meeting moves from requests of owners to speak to the review of the monthly management status package. 3 All requests that require Board approval must be submitted to Kelly Montesi at least one week prior to the meeting in order to be included in the board status package. Any material submitted after the deadline may be placed in the following month s status packet for the Board of Directors review. Other Important Dates to Remember Timber Oak Ladies Book Club see enclosed flyer. Saturday, May 13 th, Dumpster Day see below for additional information. Friday, May 26 th, pool opening see below for addition information. Also, please check the Timber Oak calendar for any upcoming community events. Dumpster Day The Association has scheduled the spring dumpster day for Saturday, May 13 th. Drop off will begin at 8:00 AM and will end by 2:30 PM (or earlier if the container is full and has to be removed). The dumpster will be placed on the far end of the clubhouse parking lot. To prevent abuse of this accommodation, various procedures will be in place. We ask that you cooperate with these measures so we can continue with this program. There are a number of steps that we will be taking, but of greatest significance will be staff monitoring while the containers are on site. The role of the monitors will be to catch non-residents attempting to dump at Timber Oak, prevent dumping on the ground and not in the containers, and to prevent inappropriate materials from being dumped (such as construction project materials and hazardous substances). You will be asked to present identification when you arrive at the dumping site. We are attempting to eliminate outsiders from abusing this accommodation which is intended to serve residents only. 4 Once the dumpster is filled the program will be stopped and the container will be removed. Items not allowed: hazardous wastes (gasoline, oil, propane, paints, Freon, etc), construction debris, AC units, car tires, brush and tree stumps, rocks, cement, and car batteries. If you are going to dump lawn mowers or other similar equipment, they must be drained of all fuel and oil. Pool Opening The pool will open on Friday, May 26 th for the 2017 season. The pool will be open each day from 9:00 AM to 8:30 PM. There will be a pool attendant on duty Monday through Friday from 3:00 PM to 8:00 PM, Saturdays and Sundays from 12:00 PM to 8:00 PM. Please review and be mindful of all of the enclosed rules for the pool. If you disagree with any of the rules, please forward your objection to the rule in writing to the Board of Directors. This can be sent via to Kmontesi@rei-pm.net or can be dropped off to Kelly in the clubhouse Holiday Trash Pickup Schedule: Memorial Day Monday pick up on Thursday Independence Day Tuesday pick up on Thursday Labor Day Monday pick up on Thursday Thanksgiving Thursday pick up on normal day Wednesday Christmas Day Monday pick up on Thursday As a reminder - trash and recycling receptacles need to be brought inside the night of trash pickup, typically on Wednesdays. Landscaping Requests: The Landscaping Committee, as well as the Board, would like to remind all homeowners that any requests to add or change items in flower beds must follow the enclosed The Villages at Timber Oak Newsletter May, 2017 Page 4
5 guidelines and must be submitted to REI, who will in turn, pass along to the Landscaping Committee for review. A copy of the Request to the Landscape and/or Architectural Integrity Committee and Policy and Procedures has been included with this newsletter. They can also be obtained on the community website at: Any changes made without prior approval may be considered a violation of the rules and be subject to warnings, fines and/or a requirement to remove said changes. Please note that birdfeeders are not allowed as the seed can attract rodents. Information Form: If you are receiving this newsletter through US Mail, we ask that you complete the enclosed Information Form. This information will save you and your association money and will enable us to communicate with you much faster (especially in urgent situations). Thank you to all unit owners that have turned in the form. You can also obtain a copy of this form and other community forms at: Traffic Rules Currently, the Saftey Committee is obtaining proposals to install speed humps throughout the community in order to reduce speeding throughout the community. The Board of Directors is requesting you remember to adhere to the traffic rules below for the safety of all resident, especially with children playing outside. The Board of Directors still encourages each resident to help reduce traffic violations even further - if you witness a vehicle not obeying these very important traffic rules please submit a report in writing to Management immediately with the make, model, license plate number and the address the vehicle belongs to. The speed limit is 15 miles per hour. The Villages at Timber Oak Newsletter May, 2017 Page 5
6 Please make sure your vehicle always comes to a complete STOP at all stop signs throughout the complex. Lastly, Bainbridge Boulevard is a one way street. Please note that all drivers must yield to pedestrians who are crossing the community streets, whether they are children or adults. A few other general reminders: It has been reported that a motorcycle has been heard during early hours of the morning driving through the community. Please note that pursuant to Rules and Regulation, Section 3.1 Annoyance or Nuisance. No noxious, offensive, dangerous or unsafe activity shall be carried on in any Unit, or the Common Elements, nor shall anything be done therein either willfully or negligently, which may be or become an annoyance or nuisance to the other Unit Owners or occupants. No Unit Owner or occupant shall make or permit any disturbing noises by himself or herself, his or her family, servants, employees, agents, visitors and licensees, nor do or permit anything to be done by such persons that will interfere with the rights, comforts, or convenience of other Unit Owners or occupants. No Unit Owner or occupant shall play, or suffer to be played, any musical instrument or operate or suffer to be operated an electronic device, television set, or radio at such high volume or in such other manner that it shall cause unreasonable disturbances to other Unit. Therefore, the Board of Directors is requesting that all owners of loud vehicles please be considerate of your neighbors when entering and exiting the community during the early mornings and late evenings. A few other general reminders include: If you get a newspaper delivered, please remember to pick up your newspapers in a timely fashion. Please remember not to park any vehicles in non-parking areas such as those in front of mailbox stations, on the street or in back out spaces specifically designated for end units. Any vehicle noted in these areas will be tagged and you will receive a warning letter. If the same vehicle is reported again, you will receive a fine hearing letter and may have your vehicle towed. Please note that visitor parking lots cannot be used by residents unless all garage and driveway spaces are in use. Please refer to Article VI Motor Vehicles of the Association Rules and Regulations for rules pertaining to driving, parking, etc. There will be inspections of the visitor parking lots on a bi-monthly basis. If a vehicle is found to be parked in the visitor lots inappropriately, they will be The Villages at Timber Oak Newsletter May, 2017 Page 6
7 tagged and you will receive a written warning. If the same vehicle continues to be parked in the visitor parking, you will receive a fine and may have your vehicle towed. Please note Timber Oak is a No Trespassing/No Soliciting Community. If you have any strangers knocking on your door, please do not open your door and call the police immediately.
