1 Getting to Know Title Source 360 This tutorial is intended to provide general, basic-level training on Baker & Taylor s Title Source 360. Most likely it will be used in conjunction with web-based or onsite training but it may be used as a standalone guide as well. It does not cover every aspect of TS360. For instance, it does not cover shared carts or downloading carts into an ILS. Likewise there is an ability to Batch Entry or Batch Import ISBNs that isn t covered. Once logged in to TS360 there is Help documentation available that covers these subjects and many more. Your Sales Consultant can also steer you to the appropriate resource for more information. Section 1: Signing on and the Home Page Objectives: o Explain various areas of the Login and Home pages o Sign in Go to > ts360.baker-taylor.com 1

2 1. Enter your Login and ID in the spaces provided 2. Notice that links are provided for if you forgot your password or Login ID. If you don t have an ID and would like one, click the Register Now link. Once you log in you will see the Home Page. This page will personalize itself depending on your preferences. For instance, if your preferences tell Title Source that you select music, you will tend to see Grammy Award winners and other music releases on this page. We will display the preferences settings later. Here is the top section of the Home page. 2

3 1. The Home page has many dynamic sections with new releases, items on sale, and titles in the news. These titles can be added directly to a cart from this page. 2. Links to the New Release Calendar and the Promotions page. These can also be accessed from the Browse tab. 3. This area will show any System Notifications (i.e., scheduled maintenance) and any Alerts directed to me. I may get an alert if someone shares or transfers a cart to me. If I get Collection Development carts from Baker & Taylor I will also get an alert every time a list is deposited in my login ID. 4. This button will start an online chat session with Product Technical Support to get assistance with Title Source The bottom section of the Home page contains links to lists from Baker & Taylor s Collection Development Department. The most recent lists are posted here with a link to the elists page. The elists can also be a accessed through the Browse menu. 2. Recent B&T press releases are posted here. 3. The bottom of every page contains the phone number for Product Technical Support if assistance is required. Section 2: Searching Objectives: o Perform Product Search 3

Notice the Search Box has a type-ahead feature that makes search suggestions. Hit Enter or click the Search icon > 4

5 1. Anytime you perform a search that you may want to save for later reuse you can click the Save This Search button to retain it for later use. 2. The search results can be sorted in many different ways. Your Preferences will determine how this initially is set but you can click in the drop-down box to change it. 3. There are three icons that will allow you to change the display of the search results between the Table View, Stacked View or Tile View. Your Preferences dictate the initial setting of the view. 4. Basic bibliographic data is shown in the search results screen. More will be shown when looking at the Item Detail screen. The Product Lookup link will check your library s catalog for this ISBN. The envelope icon will enable you to quickly send an to someone alerting them about this title. The Inventory and Demand section shows how many copies are in stock and how many orders B&T has filled for this ISBN in the last 30 days. 5. A red C and/or O icon alerts you to this items duplicate status. The C icon indicates that the ISBN is in some other cart in either your login ID or another user s login ID. The O icon indicates that this ISBN is showing in B&T s system as having been ordered for your library. This could be an order that you placed as a firm order or a title that is on a standing order program such as Automatically Yours, Parade or Continuations. You can click on the icons to get more information about the cart or order that contains this item. 6. The Alt Formats button will show other versions of this title. If any of those versions are duplicates they will also have the duplicate icons. Click on the title to advance to the Item Display > 5

6 1. Important bibliographic information is listed in the General Title Information section. Note that the Series name is listed and is a clickable link. Clicking on this would give every title in the series. You can also search on Series Names in the Product Search box in Title Source More product detail is listed in the Detail tab. Additional information is available in the other tabs. Note that you can use your Preferences to tell the Reviews tab to display reviews in a particular sequence. For instance, you may want to specify that you want to see any reviews from SLJ, Horn and VOYA at the top of the list, followed by LJ, PW, Kirkus, Booklist, etc. When displaying AV titles you will probably see a tab called MUZE that will have reviews, runtimes, track lists, artists and much more. Use the Product Search box to search for gardening > Notice that a large number of titles are returned. Title Source 360 has tools that help you zero in on what you want. Type Indoor in the Search Within Results box and hit enter or click the search icon. 6

7 This should reduce the number of displayed titles considerably. Now let s use the facets to narrow the search results more. Narrow the list to only hardcover, reinforced and library binding by checking the appropriate boxes in the Product Type filter and clicking APPLY FILTER You can use other filters to limit the results by review journal, publication date, etc. 1. At any time you can undo a search parameter or filter by clicking the x next to the term. 2. When Title Source 360 performs a search it uses the parameters you set in your Preferences to inform the search results you will get. If you have told your Preferences that you select Movies, then your search results will only show movies. If you have told it that you select books for children s and teen age ranges and then search for John Grisham, you will see Theodore Boone titles but not John Grisham s adult titles. Uncheck this box if you want to have Title Source 360 perform this search without using your Preferences. TS360 will immediately rerun the search without using any limits from your Preferences page. 7

8 Click on the Advanced Search link > 1. There is a different Advanced Search tab for each product type. Each is set up with the terms and parameters typically used with that format. 2. The top section can be used to set up Boolean searching using AND/OR/NOT operators while searching different terms in the product data. 3. The filters section can be used to preselect filters such as choosing to search for ebooks available on the Axis 360 platform. 8

9 1. In the Advanced Search Panel I can choose to search for titles that have been reviewed. In the above example I am looking for any title that was reviewed in Kirkus, Library Journal or Publisher s Weekly during the month of December. Any title meeting the criteria must have a positive review from PW and a starred review from LJ. Non-issued Review Journals can t be searched by the date the journal was published. TIP: After you do a search you can return to the Advanced Search panel and see your search criteria by using the Back button in your browser. If you want to start with a clean Advanced Search panel click on the Advanced Search link. Section 3: Preferences Objectives: o Be able to customize Title Source 360 through the Preferences settings. Go to MY B&T > MY PREFERENCES > 9

10 The top portion of the first screen is shown here. 1. There are tabs across the top to change preferences for various aspects of Title Source. Not all libraries have grids and therefore you may not have preferences for Grid Fields and Grid Templates. 2. You can change your address and password in this section. If you ever click the Forgot Password link on the sign in page, Title Source will ask you for the address that is listed in here and will reset the password and send a temporary password to this address. 3. You can customize the data elements that are displayed when looking at search results or carts. 4. The Product Type and Product Interest Group section will be used by the Home page and the search results to limit the content that you see. In addition, if you choose books, you can specify age ranges for the material you would like to see in the Audience Types section. These age ranges are not active for movies or music. 5. The next section will customize the initial view for search results and displaying carts. The Default Quantity setting tells Title Source that if you add a title to a cart without typing a quantity in the QTY box, it should assume you want it added with the quantity specified here. 10

11 1. If you want to limit the duplicate icons so that they only show up in carts in your login ID or in orders that were placed on accounts that have been assigned to you it can be done here. Most libraries will leave these settings as All Carts and All Accounts however larger libraries with many branches and/or many selectors may find value in limiting these. 2. The Default Account Settings section defines which accounts are to be automatically assigned to new carts when they are created. You can now have a book, AV and ebook account assigned to a cart and place material for all of those types in it. When you submit the cart to Baker & Taylor for ordering the items will be routed to the correct account automatically! 3. The Product Type Filters section will exclude/include certain material types from search results. 11

12 1. The Reviews tab in Preferences lets you customize the order in which full-text reviews will appear in the Reviews tab when looking at a title. Use the arrows on the right to resequence the list, then click SAVE on the bottom of the screen. 1. The Grid Fields preferences will only be active if you have the Grids module. The screen will look slightly different for each library as the Grid module is configured uniquely for each customer. 12

13 Use the first column to choose if you want to see the code or the description in each drop-down in the Grid Palette when adding a title to a cart. In the above example, I have chosen to see the actual codes in the Location drop-down, but I want to see the descriptions of the codes in the shelving location and fund drop-downs. 2. In the second column you can choose the initial values that will show up in these drop-downs when you first open the grid palette. This can be helpful if you tend to use one set of codes more than others. If you tend to choose adult fiction for the main branch, why not have those values pre-filled in the drop-downs? 1. The Grid Template tab lets Grids users create templates as well as edit, disable or delete existing templates. Templates are predefined sets of grid fields that make it very easy to apply the set of grid fields to a title as you are adding it to a cart. Templates can also be created from the Grid Palette. Section 4: Using the Cart Drawer and Adding Titles to a Cart (non-grids) Objectives: o Be able to understand and create folders using the cart drawer. o Understand system folders. o Create a cart. o Understand the significance of a Primary Cart. o Add a title to the Primary Cart using the multifunction ADD button (without Grids). o Add a title to another cart using the multifunction ADD button (without Grids). Do a search on birdwatching in the Product Search box > Along the left rail has been a yellow CARTS tab. Perhaps you have noticed it following you around from page to page and as you scroll up and down. This is an innovative way to access your carts and do many 13

14 cart management functions on the fly without disturbing your search results or whatever else is on the screen. Click on the tab and the Carts Drawer will slide out. If you click on it again it will slide back in. > 1. This section shows the folders that I have created. Folders in Title Source 360 are just like folders in your PC. You can create folders and store similar things in them as a way to organize your carts. You can use whatever convention works best for you. You can put carts inside of folders and you can even put folders inside of folders. In fact, you can put folders inside of folders that are inside of folders! In the example above, I have created a folder for all of the orders I am preparing for the spring. I have put three sub-folders in my Spring orders folder for different types of carts. 2. There are two carts listed in this section. They are in the Gardening Carts folder which is highlighted on the left. 3. The section in dark grey is for system generated folders. They are: 14

15 a. Ordered & Submitted When you click the Submit Order button on a cart and go through the ordering process it will get moved to this folder. b. Shared/Received Your library s workflow may entail having colleagues transfer carts to you when they need you to take action on them. They may also Share them with you if more than one user needs to work on them at the same time. Any cart that is transferred to you or shared with you will show up in this folder. c. B&T/First Look Carts that are sent from the professionals in the Baker & Taylor Collection Development department will arrive in this folder. Contact your sales consultant if you would like to know more about this service. d. ESP (Evidence-based Selection Planning) Carts can be submitted to our ESP engine for peer-driven relevance ranking. This is part of the suite of CollectionHQ services available and is part of how TS360 and Collection HQ are integrated. Consult your sales consultant for more information. e. Archived This folder is like the file cabinet in the basement. When you are performing cart management in the carts page (not the Cart Drawer) you will be able to choose to Archive carts. Archiving carts moves them to this folder so they are out of the way but you have not deleted them and can refer back to them if needed. They will still be deleted by the system after 2 years of inactivity, just as they would in any folder. f. Deleted If you delete a cart it will be moved to this folder for 7 days. You will be able to recover it and move it back during those 7 days. After 7 days it will be permanently deleted. 4. The top section contains buttons to create a new folder or a new cart. Click the New Folder button > 1. In the example above I highlighted the Spring orders folder because I wanted to create the new folder inside that one. Then I clicked New Folder. I then gave the new folder a name of Birdwatching and will click CREATE. If I didn t want this folder to be in the Spring orders folder I would click the radio button next to Root to start a new base-level folder. 15

16 1. My Birdwatching folder was created and is now highlighted. I clicked on NEW CART and can then enter a name for the cart and give it a PO number. I can change the account numbers if the ones from my Preferences are not appropriate for this cart. I can also choose a different folder if I don t want this cart in the Birdwatching folder. 2. I have checked the Set as Primary checkbox. In Title Source 360 we have a concept of a Primary Cart. This is the cart that you are primarily working on. However, TS360 makes it very easy to access any cart so if we should stumble across a title that we wanted in some cart other than the March Birding cart it would be very easy to add it to that cart. You should always a cart designated as your Primary cart. The upper right-hand corner of the screen will always give you running totals for the titles, total quantity and total net price of your cart. Close the Cart Drawer > 16

17 1. The orange ADD multifunction button is used to add titles to either the Primary or Alternate cart. It can be also be used to create a cart if you don t want to use the Cart Drawer. a. If so desired, you can enter a note in the Notes field. This is not required. b. You would enter the desired quantity in the Qty: field if it differs from the Default Quantity set in Preferences. If you leave the Qty: field empty the title will be added to the cart with the quantity specified in Preferences. 1. In this example I entered a quantity of 2 and then hovered my mouse over the ADD multifunction button. The pop-up shows me that if I click on the left 2/3 of the button the title will be added to my Primary Cart ( March Birding cart ). Hovering over the right-most 1/3 of the button will allow selection of other already existing carts or the ability to create a new cart. Add the title to the Primary Cart by clicking on the left-hand 2/3 of the button. Notice that a pop-up will alert you that the title has been added. This pop-up self-dismisses after 3 seconds. Your Primary cart in the upper right-hand corner of the screen will have updated statistics. 17

18 1. Hovering over the right 1/3 of the multifunction ADD button gives a fly-out with the last 5 carts that have been used that are not the Primary Cart in the top section. Clicking on one of these carts will add the title to that cart. 2. The option on the bottom to ADD TO A CART will open the Cart Drawer. Every cart will have an ADD button next to it so you can find the desired cart and quickly add the title to that cart (or multiple carts if needed). You can also choose to ADD TO A NEW CART and you will be able to create a cart and TS360 will then add this title to the newly created cart. Section 5: Managing Carts Objectives: o Be able to view, update or delete items in a cart o Be able to perform actions on a cart such as transfer, archive or delete.. o Order a cart. While the cart drawer is immensely useful for many cart management functions, the Manage Carts page provides access to editing the items in a cart, as well as manipulating the cart itself. Go to CARTS > MANAGE CARTS > 18

19 1. On the left will be the same folder structure that was presented in the cart drawer. Click on the folder that you want to display. 2. You can use facets to narrow down the list of carts that are displayed. The number of facets that are displayed will vary based on the characteristics of the carts in the current folder. 3. The list of carts in the current folder is shown here. a. This icon: tells you the cart is Private. It would have an S if it was Shared. Private carts can only be viewed and edited by your login ID and people with certain Administrative privileges. Shared carts can be worked on by multiple login IDs concurrently. b. This icon: indicates the cart is currently the Primary Cart. If you delete, transfer or order the Primary cart (so that you no longer have a Primary Cart), Title Source will prompt you to set a new Primary Cart. 4. You can do a search in the carts section. You can search for something in the cart name or a particular ISBN or title or author. You can search in this particular folder or across all folders. 19

20 1. You can perform actions against multiple carts by clicking the checkboxes next to the carts and 2. then clicking the Selected Cart Actions drop-down. Using this method you could send multiple carts to the Archive folder or the Deleted folder or transfer them to someone else. a. Merging carts is when you want to combine multiple carts into one. b. Apply Duplicates will check to see if any titles in these carts exist in any other carts. As of this writing it does not check carts in the Ordered & Submitted folder. c. Apply Template will apply a grid template to every title in the cart(s). This process can greatly streamline the workflow for grids users. 20

21 1. Each individual cart also has a Select Action drop down that has options available for the cart. Some of these options are the same as for the multi-cart functions but some are unique as they can only be done on a single cart at a time. You do not need to click the checkbox on the left when using this drop-down. Click on a cart name to display the contents of the cart > 21

22 1. Searching within a cart is also available. 2. You can use facets to narrow down the list of titles that are displayed on the right. 3. Tabs across the top provide cart-level information. 4. You can add or update notes or change the quantity. Remember to click the UPDATE button to save your changes. 22

23 1. You can work with specific items in a cart by clicking the checkboxes next to the items you want to work with. 2. And then clicking in the Item Actions drop-down. Click the Submit Order button > Note: Libraries that use the Acquisition module of their ILS system and order via EDI do not use this method. They download the cart into their ILS and then transmit the order from the ILS. That process is not covered in this document. Contact your Sales Consultant for more assistance. 23

24 1. Title Source will provide a summary of the cart as well as give you an opportunity to change the account number and PO number associated with the order. If you have multiple material types (book/av/ebook) you will see multiple summaries and will be able to change the account number and PO number for each. a. When you are satisfied, click Submit Order and the order will be processed. b. The cart will be moved to the Ordered & Submitted folder. c. The status on the cart will initially be Submitted. d. It will then change to Ordered (you may have to refresh your browser to see the status change). e. When you open the cart you will see the current status of the title. 24
