3 INTRODUCTION assists in managing continence aid stock levels and calculates required order quantities according to current resident aid allocations Note: is part of the Bunz Webconnect system Webconnect is a secure online ordering system Key So that are able to navigate around the system quickly and easily, familiarise yourself with these symbols and features Buttons Click to save changes Any changes you have made will not be saved; Takes you back Click to make a change Radio buttons Symbols Choose one only; click to select/de-select indicates that it is selected Indicates drop down selection Click to view available actions Search Icon enter in name and click search Text box Information can be edited Enter relevant information e.g. name Click to access the relevant user guide Navigation tip To go back to the previous screen, click on the back arrow in your internet browser Date Created: March 2011 Page 3 of 15

4 LOGON To access, you must login to Webconnect. You can save this link to your internet favourites NB: Webconnect is a secure internet site 1) Enter your Logon Id and Password 2) Click on Logon Note: If you do not have a Logon ID and Password, contact your Sanicare Specialist Welcome Screen This is the first screen that you will see upon logging in. Menu bar To return to the Welcome Page, hover the cursor over Home on the menu bar and select Welcome! from the drop down selection Date Created: March 2011 Page 4 of 15

5 QUICK GUIDE Abenaos menu Click on Abenaos to show the drop down menu. Use this menu to navigate between the screens. 1. Facility Maintenance Shows all the details about your facility and residents in this screen you can: Makes Changes to Facility Name and Section Make Changes to Rooms Change the sequence of sections and rooms Add New Resident to room Add Existing Resident to room Move residents between rooms Remove residents from a room and from the facility Edit resident information Select high or low care status Search for a resident 2. Allocation List View and update the continence aid allocation list for all residents Printable with easily identifiable labels Printable wardrobe cards View and print section by section View and print your Facility s product range 3. Stocktake and Order Enter stocktake information to create your continence aid order Easily change the number of stock days required for your order Print a blank stocktake form 4. Daily Usage Report View and Print daily product usage by section or total facility 5. 7 CALCULATE YOUR CONTINENCE AID ORDER VIA Step1: Make Resident and Room Changes Select Facility Maintenance from Abenaos menu Add New Resident to room 1. Select Action The resident field will expand 2. Complete the relevant details Mandatory fields * Last Name and first name or title Low Care, High Care, Unknown 3. Save your changes Add Existing Resident to room 1. Select Action Or click into blank Resident field The resident field will expand 2. Select an existing resident from any room in the facility via the drop down selection Show unassigned residents only to view those residents not assigned to a room Move Resident between Rooms 1. Select Action 2. You may move resident to an empty room or one that is occupied 3. Select section and room 4. Save your changes If the room is currently occupied, the current resident will be placed into Unassigned Residents list Date Created: March 2011 Page 7 of 15

8 Unassigned Residents To view Unassigned Residents, select To hide Unassigned Residents, select To delete an Unassigned resident, click Remove next to their name. They will be permanently deleted from the facility. Remove Resident 1. Select Action 2. Select a radio button Either Unassign Resident from the room Resident is moved to Unassigned List OR Remove Resident from the facility Resident is permanently removed 3. Click OK the resident will be removed from the room Edit Resident Information To make changes to an existing residents details 1. Select Action 2. Change details 3. Save your changes Search for a Resident Enter in at least 2 characters in the Search for Resident field and click Search All matching search results will be highlighted NB. 9 Make Changes to Facility Name and Section To edit facility name, add/delete a section, change section name or section sequence 1. Click Maintain Sections 2. Make changes to the facility description, section names and their sequence. Add or delete sections 3. Click under Maintain to take you to room detail. 4. Save your changes Make Changes to Rooms To add/delete rooms, change room names or change room sequence Click Maintain Section/Rooms next to the section header 1. To add more rooms, click Add Rooms 2. A New Rooms box will appear type the names/numbers of the new rooms, click Add. Up to 5 rooms can be added at a time 3. Delete rooms by clicking the Delete icon. If you delete an occupied room, the resident will be placed on the unassigned list 4. Change the room sequence (order in which they appear). Delete or overwrite the current sequence number with the required sequence number 5. Save your changes 6. Use the Maintain Sections link to edit section details Remember: You can access the online guide by clicking on the question mark Date Created: March 2011 Page 9 of 15

10 Step 2: Update Resident Allocation List Select Allocation List from Abenaos menu Search for required resident using search function Search results will be highlighted NB. You may need to scroll down the page Change a resident s allocation Option 1: 1. Click the Change button 2. Select the product from the drop down list for each of the three shifts. The quantity defaults to 1 but you may enter a higher number if required. 3. Save your changes Option 2: 1. Click on the residents name to show a full list and image of products 2. Select the relevant products and quantities for each of the three shifts. 3. Save your changes Print Allocation List 1. Select option of All sections or individual sections 2. Click Print Preview, the list will now display as product stickers 3. Click Print Resident Allocation List Date Created: March 2011 Page 10 of 15

11 Print allocation cards 1. Tick the boxes to select to print one, two or many allocation cards 2. To print all residents cards, tick the box Select/Deselect all 3. Click Print Facility Product List 1. Click 2. Displays the products used by your facility and which can be allocated to residents 3. 12 Step 3: Create Stocktake and Order 1. Select Stocktake and Order from Abenaos menu 2. In the Stocktake Form screen, select your choice: To create a new stocktake, select 3. Edit Stocktake Details To change the number of days that you need an order for, click Change and enter the required number in the grey box. You have the option of: changing the stock days for the current order only i.e. one off change or Changing the stock days number for this order and future orders 4. Enter in the product quantities on hand into the relevant fields, cartons, packs, eaches Click Confirm 5. Click Add to Order 6. The required amount of stock will be calculated and the order is placed in the Current Order box (left hand side of your screen) 7. Favourites Screen - add other products to your continence order such as gloves. If you do not wish to order any further products, simply click Review 8. Order Review 1. Review the order for the correct products and quantities. 2. To remove an order line, zero the order quantity and click the update button 3. You can amend the Order Reference, Delivery Date and Delivery instructions 4. Click on Continue Checkout to confirm order totals 9. Order Details (Final order screen) 1. Check order quantities and totals 2. Click Confirm Order to complete your order you will receive a confirmation that you have placed an order Date Created: March 2011 Page 12 of 15

13 Step 4: Other Features Daily Usage Report 1. Select Daily Usage Report from the Abenaos menu 2. View and Print daily product usage by section or total facility Low Care Cost Report 1. Select Low Care Cost Report from the Abenaos menu to view cost of allocated aids for low care residents 2. Residents who have been identified as low care will appear in this report. $ per Period is the stocktake order period High/Low Care Report Select High/Low Care Report from the Abenaos menu to view a breakdown of costs and high/low care split within the facility Abri-snap To create an Abri-snap report: 1. Ensure your resident list and continence aid allocation is up to date 2. Select Abri-snap from the Abenaos menu for a snap-shot view of cost in use/product usage for your facility 3. Enter the start date and end date for the report. 4. Using the radio buttons, select report bed numbers as Total Beds or Occupied Beds 5. Click Submit Date Created: March 2011 Page 13 of 15

14 Definitions Facility Beds either All beds or Occupied beds Incontinent Residents: all residents using a continence aid Allocated: reflects current allocations & costs of these allocated aids. NB. This does not show historical allocations Actual: continence aids purchased of the selected date range Product Use per Person per Day: reflects actual use Shaped: Abri-San & Abri-Light AIO s: All in One s / Abri-Form Pull-up: Abri-Flex Wing: Abri-Wing Male: Formula 1 & 2 Insert: Booster pads Total Aids Total # of each type of aid divided by incontinent resident # Date Created: March 2011 Page 14 of 15

15 How to view Order History To look at previous orders and current orders in the system: 1. Select Order History from the Search menu 2. If you do not know the order number, select Advanced selection criteria 3. Select the order parameters & click Go 4.
