4 What Is InSite? Kodak InSite software is a portal to the prepress environment that lets printers and their customers work with print jobs over the Internet. InSite helps to manage the proofing, correction, and approval process so that it is more efficient. Logging On to InSite To log on to InSite, you must have a high-speed Internet connection (64 kilobits per second (kbps) or higher). For a complete list of supported operating systems and Web browsers, see the InSite Client Configuration Guide, available from the Kodak ecentral portal at To log on to InSite: 1. Type the printer s InSite home page address. 2. Type your Username and Password. 3. Click Login. Getting Help For more information about a tool or icon, hold your cursor over the icon. A tooltip appears. Note: ToolTips may not appear if you are running InSite with an older version of Safari software on Mac OS X operating software.

Checking Your System Configuration You can check that your system is configured properly to run all InSite features successfully, such as uploading files and using Smart Review to view and annotate pages. InSite runs a diagnostic test on your system, including verifying the version of Java that is installed and any proxy settings. The results are reported to you. If there are problems, you can send the details to your system administrator in an message. Click the systems configuration icon (the wrench symbol) to check your system configuration. Tip: If this is your first time logging on to InSite, please check your computer to ensure compatibility. Changing Your Password The printer may require strong passwords in InSite. Strong passwords have at least eight characters and a combination of different types of characters. All users can change their own passwords. For guidelines on creating strong passwords, see InSite online help. To change your password: 1. Click P to edit your user profile.

6 3 2. Click Change Password. 3. Type your current password. 4. Type a new password. 5. To confirm the password, type the new password again. 6. Click Update. Logging Off of InSite To log off of InSite: Click X to log off.

7 4 InSite 4.5 Customer Quick Start Guide Viewing Your Jobs The Jobs view shows your company s InSite jobs. To view a job: Click the job name. The Job Home view provides information about the job. Pages are filtered by their status. Pages to be reviewed by users Files sent to the printer Notes to users accessing this job

8 5 Sending Files to the Printer s InSite Server When you upload files or folders to InSite, they are copied to a folder under that job on the printer s job server. You need Upload user rights to be able to upload files. To send files to InSite: 1. Click the job name. 2. Click New Upload. 3. Drag the files or folders you want to add from your desktop (or network) into the Files to Upload box. Type a name for the upload (optional). You can also click Add Files to locate the folders and files. Type a note describing the upload (optional). This information will appear at Job Home and in the notification to the printer s Customer Service Representative (CSR). Drag your files and folders here. 4. Click Upload. Note: If you are using Mac OS 9 or , you see a tabbed Upload Files dialog box instead. Click the Upload Files tab and then Change Folder. Locate the files you want to upload, click Add, and then Upload.

Click Refresh or select the Auto-Refresh check box to see the status of file copying and refining if the upload processing has been enabled. A Prinergy workflow is shown here. 7. Click Close or X to return to the previous window.

10 7 Asking Other Users to Review Pages In the Pages view, you can select specific users to review specific pages to approve for printing. To request a review: 1. Select the check boxes of the pages you want reviewed. 2. Click Request Review. 3. Select the check boxes of the groups and/or users you want to review the pages. 4. Click Request Review. 5. Click Done.

11 8 InSite 4.5 Customer Quick Start Guide The Pages view now shows which users you requested the review from. Change to Thumbnail View to quickly see the list of reviewers. You requested reviews of pages 1 to 4 from these users. Viewing Pages in Smart Review Smart Review provides a detailed, full-screen preview of the selected page, several viewing and annotation tools, and a chat feature. Anyone can view a page in Smart Review; however, you need Annotate rights to review the page and make comments and Approval rights to approve/reject a page, or to request corrections for a page. 1. Click Home.

12 9 2. Under Pages, click Requiring Approval or Total. Users who need to review pages Tip: You can also select your name to see the pages you are required to view. 3. Click the thumbnail or file name to start Smart Review.

13 10 InSite 4.5 Customer Quick Start Guide Annotating Pages in Smart Review Use the Smart Review tools to annotate the page, if needed. For a complete list of Smart Review tools, see Smart Review Tools on page 11. To indicate that the page has been reviewed but is not OK, that corrections are needed, or to reject the page, click Request Corrections. To indicate that your review is OK or that you approve the page, click Approve Page. If corrections are necessary, use the Smart Review tools to mark the changes. The text annotation tool is used here. Click Close to end the Smart Review session. View separations or page properties. To view a different page, click the page. Note: This is an individual Smart Review session. For information on using Smart Review in a group session, see Joining a Group Session on page 11.

14 11 Smart Review Tools The Smart Review tools allow you to review, annotate, and approve or reject a page. Smart Review Toolbar The main Smart Review toolbar allows you to view and annotate either a single page (single page mode) or two pages at a time (reader spread mode). reader spread mode single page mode (selected) Joining a Group Session If others are reviewing the page or pages in the same job, their user names appear to the left of the Smart Review toolbar. If you want to join another user s session, click Join Session. You can then open a chat window and talk with the other person or persons in a group session. Select to open a chat session. Some of the Smart Review tools are unavailable since this participant does not have control of the session but the participant is still able to annotate. The hand indicates who has control of the Page view and tools. Drag it beside your name if you want to use a Smart Review tool or change the view. Click Leave Session to leave the group session. Pages/Separations Toolbar Use this additional Smart Review toolbar to list available pages, separations and page properties. It appears in the left pane of Smart Review.

Use This Tool... To... When you ask Smart Review to carry out a task, such as zooming in or out, this icon spins to tell you that InSite is working on your request. Show or hide the Chat area so that you can write messages and see messages from other members of the Smart Review session. This is available in Group Session only. 17 14 InSite 4.5 Customer Quick Start Guide Tools in the Pages/Separations Toolbar Use This Tool... To... Show or hide a filtered page list Show and hide a list of separations. In Reader Spread Mode, the list of colors are grouped colors that are common to both pages and those that are unique to each page. Turn separations on or off Show and hide information about the page, including width, height, resolution, and zoom factor, and change the measurement unit. You can also show or hide trim lines and bleeds. Approving or Rejecting a Page When you are satisfied with a page, you can approve it. Reject a page if there are problems with the page that you don't think can be corrected. If you think the page can be corrected, annotate the page in Smart Review and request corrections. You need Approval rights to approve or reject pages, or to request corrections. To approve or reject a page: 1. Select the check boxes beside the pages that you want to approve or reject, or click Select All. 2. Click Approve Pages or Reject Pages.

18 15 To approve a page: 1. Select Give Final Approval for Pages. Add a comment if you want. 2. Click OK. To reject a page: 1. Select Reject Pages. Add a comment if you want, 2. Click OK. Note: An InSite notification is sent to your CSR indicating that you approved or rejected the page.

19 16 InSite 4.5 Customer Quick Start Guide Setting Up Users Create a user profile for each customer employee who will use InSite. This enables accurate tracking of who performed what task on a particular job. You can also create a user profile for a guest user: for example, someone from outside the company, such as a lawyer, who needs access to a job. When adding a user, you specify which InSite features this user is allowed to use. For example, a graphic artist may only need mark corrections (annotate) for pages in a customer s job. You can add, change, or remove a user s rights whenever required. For a detailed description of user rights, see InSite online help. To create a user: 1. Click Admin. 2. Click Add New User. 3. Type the user information and assign rights to the user. If required, set the expiration date and job access. Important: Always complete the boxes that have red letters. If the user is to receive notification, you must also type an address in the box.

20 17 4. Click Add User. Account will expire in 10 days. User can only access this job. Tip: To view the whole Add User page, use the scroll bars at the right side of the page. Creating Customer User Groups Create groups to streamline the process of setting job access and requesting user reviews when there are many people with different roles and responsibilities working on jobs. For example, if you have one group of users who only review pages, create a Review Only group. If you have other users who also approve pages, create another group called Approve. A customer user can belong to more than one group. To add a new group: 1. Click Admin.

21 18 InSite 4.5 Customer Quick Start Guide 2. Click Add New Group. 3. Type a name for the group. 4. Select the members who belong to the group. 5. Select the job or jobs the group can access. 6. Click Add.

22 19 To add or remove users in a group, or to change job access: 1. Click the group name. 2. Select or clear the check boxes as follows: To add another user to the group, select the check box beside their name. To remove a user, clear their check box. To change job access, select or clear the jobs you want to add or remove. 3. Click Update. Users are added to the group. Access to jobs is added.
