1 Associated Connect Reference Guide: Business User Entitlement
2 User Entitlement This guide is designed for customers who access our Business Online Banking services through Associated Connect. Note: The entitlements you see within this guide are based on how the bank has entitled your specific company and may be slightly different than what you see in your system. If you are unsure of what an entitlement does, call the Treasury Management Customer Care Center at (available 24 hours and day, seven days a week). Company Admin Sign in as a Security Administrator. Click Company Admin at the top of the screen. Add User Click Add User. Enter all of the required information within the Set Up User screen and click Next. The system will then take you to the Manage User Services screen, where you can start selecting entitlements for the user. Step-by-step instructions for setting entitlements within Manage User Services is shown later in this guide. Page 2 of 14
3 OOBA Setup Out of Band Authentication (OOBA) is required for certain services. Click the User Name link within Company Admin to add all the appropriate OOBA numbers for the user by clicking Add Phone Number. Click Submit to add OOBA numbers. If the user has more than one phone number to add (e.g., cell phone and office number), click Add Phone Number to add the additional numbers. Note: Users should test the phone number(s) entered by the Company Administrator the first time they sign in after the Company Administrator enters/changes the user s phone number. User OOBA Test Ask the user to sign in to Associated Connect, select My Profile at the top of the screen and click Test security verification phone number (OOBA). A message will appear listing a one-time PIN and a phone call will be simultaneously initiated to the selected phone number. Answer the phone call and enter PIN followed by pound (#) sign on telephone when prompted. Repeat test for each assigned phone number. Page 3 of 14
4 Manage User Services From the list of users within Company Admin, click the user for which you would like to add/change entitlements. Click the Edit link next to Manage Services. Select the appropriate services for this user. The Business Online Banking checkbox allows the user to access basic Online Banking services within Associated. If you have other services that display, make sure they are entitled properly for the user. Click Next. Based on the entitlements previously selected, you may get a screen that asks you to entitle additional functions or accounts to specific services. Review the instructions for each service, make entitlements, and click Next on the bottom of the screen. Note: Some services may have instructions to contact the bank, or log into the service itself to grant further entitlements. Other services may require you to click OK or Save Changes under the specific entitlements application before hitting Next at the bottom of the page. Page 4 of 14
5 Lockbox If applicable, assign all of the appropriate available lockbox client ids to the user within the User Entitlement Setup screen. Select the lockboxes within the available lockboxes section and click the right arrow to move the lockbox(s) to the assigned lockboxes section. Unassign lockboxes by selecting the lockbox client ID and clicking the left arrow to move the lockbox back to the available lockboxes section. Click OK to save your changes. Page 5 of 14
6 Onsite Deposit Manager (ODM) If applicable, assign all of the appropriate available accounts to the user within the User Entitlement Setup screen. Select the account(s) within the available accounts section and click the right arrow to move the account(s) to the assigned accounts section. Unassign accounts by selecting the account(s) and clicking the left arrow to move the account(s) back to the available accounts section. NOTE: If no available accounts display and you receive the message: This client is not configured for single sign-on access to ODM, confirm that the user has an address. The ODM database requires a user to have an address. If no address exists for the user, click the Change link on the User Preferences screen to enter an address and click submit. Assign Roles Review the roles below to determine which access this user should have, and then select/deselect the appropriate role checkboxes. Supervisor: Register Scanner Reviewer (for ALL users deposits and ALL accounts): Operator: View Reports View History View/Run Queries Depositor (for own deposits only): Finish Deposits View History, including Transmitted Deposits View Reports Run/View Queries Create, Capture, Correct, Balance View Open Deposits View Recent Deposits Mark Items (any items) Approver: Create and Submit Deposits for Approval Approve or Reject Submitted Deposits Click OK to save your changes. 7 Export If applicable, assign all of the appropriate available accounts and file formats to the user within the User Entitlement Setup screen Select an account within the Available Accounts section and click the right arrow to move the account to the Assigned Accounts section. Use the double arrow button to move all accounts. Unassign accounts by selecting the account and clicking the left arrow to move the account back to the Available Accounts section. Check the Delete Access button to remove all assigned accounts for the user. Optional file formats that are a specific type can be entitled to the user by checking the box next to the file format type. This list is located at the bottom of the Export section. Click Save Changes to save your changes. Page 7 of 14
8 Document Center If applicable, assign all of the appropriate available accounts and documents to the user within the User Entitlement Setup screen Select an account within the Available Accounts section and click the right arrow to move the account to the Assigned Accounts section. Use the double arrow button to move all accounts. Unassign accounts by selecting the account and clicking the left arrow to move the account back to the Available Accounts section. Use the same method for assigning and unassigning document access. Check the Delete Access button to remove all assigned accounts for the user. Documents that are presented using an indicator other than the account number can be entitled to the user by checking the box next to the document type. This list is located at the bottom of the Document Center section. Click Save Changes to save your changes. Page 8 of 14
9 Checkview If applicable, assign all of the appropriate entitlements to the user. Clicking Next at the bottom of the screen after all entitlements are set for all applications will save the changes. File Transfer If applicable, assign the appropriate upload and download entitlements to the user. Click Save Changes to save the settings. When you have completed your review of all the settings, instructions, and entitlements for each service, click Next on the bottom of the User Entitlement Setup screen. If setup was successful, a confirmation message will appear. Click Return to Company Admin. Note: If Bill Pay was a service the user was granted access to, a separate page for entitlements will populate. Page 9 of 14
10 Bill Pay If you selected the Bill Pay service for this user, You will be taken to a new page to enter entitlements and fill in some additional user information. Click Next after completing all fields. Page 10 of 14
11 Business Online Banking Services If you selected Business Online Banking from the Manage User Services entitlement screen, the User Entitlement Setup page will display after entitlements for other services are completed. This page consists of separate company level functional security options for Accounts, Stop Payments, and Transfers. Restrictions on dollar amount limits for transfer approval and release are also included. Account specific security entitlements will be shown later in this document. Select Next when appropriate permissions have been entitled for the user. Note: The entitlements you see within this guide are based on how the bank has entitled your specific company and may be slightly different than what you see in your system. 12 Adding Account Access From the User Preferences page (found by clicking on Company Admin, then clicking on the name of the user to take action on), click on the Add Account button in the Manage User Accounts section. Next, select the account(s) you want the user to have access to, then click Update User Accounts. The system will show a confirmation of the change, and offer an option to go back to the User Preferences screen. Account Level Entitlements From the User Preferences page (found by clicking on Company Admin, then clicking on the name of the user to take action on), in the Manage User Accounts section, click on the account to add entitlements to. Note: Clicking on the remove link will remove that account from the user s access. Page 12 of 14
13 A Company Admin screen will come up, where you can assign user permissions specific to the account selected. Multiple User Account Entitlement If you have multiple users you would like to assign access to a specific account, from the Company Admin page, go to the Manage Accounts section, and select an account by clicking on the account number. 14 The Accounts screen will populate, showing the users who are already entitled to this account, and the default entitlements that are applied to the account. Click Add Account User to give other users rights to this account. Click on the Remove link to remove a user s rights from this account. After selecting to Add Account User on the Add Users to Account screen, check the box next to each user that needs access to this account. Click Update Account User Information when complete. You will get a confirmation that the setting has been applied.
