1 BT One Phone Release Notes 3.1 [Subject] New from BT One Phone Further functionality added to your Portal There are now even more great features in your Portal. We ve introduced two new features to help you manage any out of allowance costs. There s a ready-made bar chart depicting out of allowance costs, whilst a new threshold type offers the ability to cap individuals exceeding an out of allowance limit for Total Voice, Text and Data. What s more, there s also a handy addition to the subscriber details page which shows details of a user s current device. 2 1.0 Portal Out Of Allowance Report From a new dedicated tab in the Portal, view a handy graph displaying any out of allowance costs for the last six months. The Portal reporting capability is now further enhanced with the introduction of a ready-made Out of Allowance (OOA) bar chart. Simply click the Out of Allowance tab found under the Company Info> Reports> tabs and view a chart showing all OOA costs for the last six months. The chart also shows the split of Voice, Text and Data OOA costs. Information is available at either a companywide or department level, ie, by first selecting the relevant department level from the Company info> Company hierarchy> tabs, and then clicking the Out of Allowance> tab. Figure 1: New Portal Out Of Allowance Report If you wish to query how the OOA was accrued, an Out of allowance: Top users report can be found by scrolling down the page. Within a few mouse clicks you can generate a bar chart displaying the top 5, 10 or 15 users causing the OOA usage. Here, they can also generate a spreadsheet with details for all users. Figure 2: Top Users Report To further query underlying subscriptions by service type ie by voice, text or data, just click the existing Top user dedicated tab and select out of allowance costs per service type.

3 2.0 Total Usage Threshold A new threshold service type allows customers to control out of allowance costs. BT One Phone already provides great alerting and capping functionality via a dedicated tab in the Portal. This has now been further enhanced with the introduction of a new threshold service type: Total Voice, Text & Data. The new service type is out of allowance (OOA) based, and offers you the ability to set a single threshold to monitor costs. Figure 3: Total Voice, Text & Data 2.1 How It works Simply select the service type from the dropdown menu when creating a new threshold and either set up an individual or companywide threshold in the usual way. Consistent with all thresholds, capping capability is only available for the individual type templates, ie. subscribers are capped on an individual basis if they exceed the threshold to which they re assigned. When an individual is capped for breaching a Total Voice, Text & Data threshold, all services will be capped. The individual will be unable to Call, Text or use Data until the beginning of the next month, or sooner if their Administrator uncaps them. Please note: Once capped, an individual will be unable to use any service type, even if they had a prepaid data allowance remaining. A Companywide threshold does not have capping capability but triggers alerts regarding companywide usage. 2.2 Unit: Based On only As the threshold encompasses Total Voice, Text and Data, the threshold can be set at a monetary value only, therefore the option is displayed. This is unlike for example, a voice only threshold where it can be measured in either the number of minutes or a monetary value.

4 Figure 4: Thresholds Unit Type 2.3 What Is Out Of Allowance Out of allowance is anything over and above a prepaid bundle or allowance i.e any usage that incurs a direct unit cost. Total Voice, Text & Data measures all UK and roaming costs. For pence per minute customers, calculation of OOA costs will commence as soon as calls are made; this is because calls are charged on a per unit basis and not from a prepaid allowance. 3.0 Device Information on the Portal From the subscription details page in the Portal, view information at a glance about a user s device. Information about a user s primary device is now displayed in the subscription details section of the Portal. The Portal will display an image of the device, a description and the IMEI. This is great for keeping up to speed with your device fleet and helps with support when required. Please note, if the device IMEI is not recognised, then the Portal will be updated with a Device Unknown graphic. The Portal will not show details for SIP devices. Figure 5: Device Details on Portal
