A lot of phones have a picture of a microphone on the Mute button.

2 We are referring to the capability of muting when using the speaker phone What is meant by Toshiba Fax? This should just be FAX machines in general, not specifically just Toshiba. 1.0 PROJECT OVERVIEW 1.3 The successful qualifier will include an engineering resource that will inspect and certify the Woodland Park School District Re-2 s Local Area Network (LAN) deployment per building to insure a quality of voice equal to MOS 5 service. With the Bidders response, please provide requirements for any data upgrades or network modifications that would be required to attain this level of call quality. What certification and duration are you looking for? The District requires the successful qualifier to inspect current infrastructure and approve the infrastructure to work with the proposed new system, without the District having exposure to additional expenses that were not included in the proposal. 3.0 IP-BASED COMMUNICATIONS SYSTEM REQUIREMENTS 3.1 The proposed systems will incorporate approximately 500+ IP phones. The Woodland Park School District Re-2 will maintain a large number of their current analog (1MB) phone lines for alarm functions. The successful vendor will be responsible for integrating this system within the current Woodland Park School District Re-2 s system, utilizing current IP voice handsets and data network. As stated earlier, Woodland Park School District Re-2 will accept proposals that include replacement handsets. Will the analog lines need to be integrated into the new PBX? o No, the analog lines will bypass the PBX and used for emergency and fire services only o Emergency and Fire in each building o 1 elevator at WPHS 3.2 Woodland Park School District Re-2 wishes to provide its employees with the best products and services to accomplish their tasks. Woodland Park School District Re-2 also needs to protect the same group by insuring that the technology is provided by reputable manufactures and vendors. Hosted VoIP is in its infancy and to minimize potential problems with vendors failing in the business and leaving the Woodland Park School District Re-2 with little or no options, Woodland Park School District Re-2 has established a simple list of minimum qualifications to help insure and protect Woodland Park School District Re-2 s investment.

3 3.2.1 The soft switch deployed by the winning vendor must be considered an industry standard and used by a minimum of 10 or more service providers. Please elaborate more on what you are looking for in terms of soft switch. The District is looking at a hosted solution which requires a switch The equipment used by the vendor to provide the switch environment must be of Central Office Equivalent or greater. Please elaborate more on what you are looking for in terms of Central Office Equivalent or greater. The District requires a switch that has built in redundancy to provide 99.99% uptime. 4.0 UNIFIED COMMUNICATIONS/VOICE MAIL REQUIREMENTS Provide documentation describing the proposed IP-based Voice Communications system Describe the system s included redundancy options. Provide pricing for additional redundancy in the optional pricing table in Section 9. What levels of security (IP network security, toll fraud, etc.) does your proposed system provide? Provide any additional hardware and software required for different levels of security in the optional section. Provide options in addition to the basic system to provide redundancy. Provide as an option with associated line pricing. Please elaborate more on what you are looking for in terms of redundancy. Are you looking for immediate failover to a standby phone system? o We would like to see the pricing for an immediate failover system. 4.3 IP-based Voice Communications System Configuration/System Wide Features. Identify any optional features that are not included in the base system. Pricing should be broken out so as to identify cost as basic and premium pricing for optional features and equipment (match with beginning of RFP) The following is a list of required features, but it is not meant to be all inclusive: Malicious call trace How far do you want to be able to trace the call? We are essentially looking for a basic caller ID function Ability to distribute trunking over multiple gateways to reduce possibility of total trunking failure. Is this an absolute requirement in the proposed system?

What is the make and model of the installed paging system? WPHS = Rauland-Borg Telecenter 21 WPMS = Rauland-Borg Telecenter 5 Elementary Schools (3) = Rauland-Borg Telecenter ICS Series ADA Compliance What features are you looking for to meeting ADA Compliance? Do your current phones meet compliance? We currently do not require specific ADA compliance equipment. We would like to know that options are available if needed in the future. 4.9 A Voice Mail/Unified Communications (UC) system which will support all Woodland Park School District Re-2 users Solution must support voice to text messaging. Is this an absolute requirement in the proposed system? No 4.13 Call Accounting Requirements Required Call reporting/billing capabilities. What are you looking for in terms of billing? We are looking for the capabilities to break down billing by building and department.

5 SECTION QUESTION How will hosted solution utilize existing NEC digital phones? The hosted solution will not utilize existing NEC digital phones 1.2 MOS 5 is virtually unachievable even under laboratory conditions. Adherence to that standard will disqualify all hosted and most premise-based offerings. This is a request and will not disqualify all hosted solutions. Other solutions will be considered, but if qualified proposers are able to meet the MOS 5 requirement, they will be rated higher during the vendor evaluation 1.3, 1.4 Is the current LAN switch environment currently equipped for POE or will there be necessary upgrades to network infrastructure? If so, are those upgrades to be included within this proposal or will that be handled as a separate project? An associated 470 has the requirements defined for PoE switches as part up the project and will be implemented prior to the voice system 1.6 Is it the intent that the selected hosted vendor will also become the vendor for ongoing data network support? Hosted providers by definition are typically not equipped for ongoing onsite work. What are the expectations for ongoing data network support to fit within the confines of E-rate qualifications? E-Rate funds break fix contracts and the required support would be network support 1.7 Please clarify what is meant by current Cisco Call Manager. This should have been deleted and please disregard 3.1 please clarify reference to utilizing current IP voice handsets The District does not have current IP voice handsets, so please disregard please clarify requirement for softswitch being used by minimum number of service providers Requirement for Central Office grade equipment refers to premise data switches, or voip soft-switch? Central Office Grade refers to the soft-switch only Please elaborate on what is desired for working remotely. Approximate quantities of users to be provided with this functionality? Ability to take your hand set to your home or other facilities and have the ability to use all the functionalities
