3 1 LAB 21: EXL4 - MICROSOFT EXCEL S AUTOFILL TOOL, MULTIPLE WORKSHEETS AND CONDITIONAL In today s lab you will learn how to integrate Excel into Word, sorting, searching and formatting the data 1.1 IN-LAB Scenario: You will need to crate In-Lab Materials 1. Microsoft Excel 2. Access to the Internet 3. us-500.xlsx In-Lab Instructions Step 1: Get organized 1. Download and open us-500.xlsx 2. Rename the file in-lab_exl4_firstname_lastname.xlsx. 3 P a g e

4 Step 2: Working with Sorting and view data 1. Do a CRTL+A to select all the records including the column headers 2. Now add a table: 4 P a g e

5 3. Now Sort A to Z: Result below: 4. Now click and highlight row 1: 5 P a g e

6 5. Now we will freeze the panes so that we can keep the headers in place while we scroll through the data. 6. Now search through the record and display only the people that live in MI, LA, and CA: 6 P a g e

7 7. Then sort it alphabetically: 7 P a g e

8 8. Also sort by state alphabetically: 9. Now let us add a new column header after last_name: What we want to create is a short name e.g. F. Lastname 10. So on C2: Type A for Aliza then hit enter. Now hit CRTL + E Now you get all the first letters of the firstnames: Now go back to C2 and enter A. Baltimore then hit enter: 8 P a g e

9 11. Create a new column after and before web columns. Name the new header as Username We need to create a username for our members so what we need to do is to combine their usernames and their last four digits of their phone number e.g. aliza-3352 and apply it to all of the records: Click enter then CRTL+E this should have extracted all of the usernames from the address, then we need to add the last 4 digits of their phone1 then hit enter: 9 P a g e

10 Close Excel. Now let us create a new MS Word document to send to all members in MI in Step Step 3: Integrating MS Word Open letter_mass_spam.docx and resave it as letter_mass_spam_firstname_lastname. 10 P a g e

11 Now let us do a mailmerge but we need to only send these flyers to companies in Michigan. Start the mail merge: Navigate to your Excel document. Make sure that the file is closed when you attempt these next steps Your mailings should be active: 11 P a g e

15 Now merge into a PDF document: Save it to a new folder that you have to created called MailMerge in your Desktop and zip the folder before you send it. Files you need to upload: 1. The Excel Spreadsheet 2. The Word document 3. The PDF document 1.2 OUT-LAB Scenario: You will need to format an Excel spreadsheet, sort, filter and create usernames and passwords. 15 P a g e

16 1.2.1 Out-Lab Materials 1. Microsoft Excel 2. Access to the Internet 3. Ca-500.xlsx from last lab Out-Lab Instructions 1. Format the entire spreadsheet as Table Style Medium 4 2. Sort the data based on last names in alphabetical order. Do a screen shot of the first few records that you see. Save the image as exl1_firstname_lastname.jpg 3. Sort the data again and this time based on province in alphabetical order. Do a screen shot of the first few records that you see. Save the image as exl2_firstname_lastname.jpg 4. Now freeze the pane at Row 1 5. Filter the data based on the following Provinces: ON, SK, QC. Do a screen shot of the first few records that you see. Save the image as exl3_firstname_lastname.jpg 6. Create a new column after last_name and call it short_name. Using Excel s flash fill shorten name in this format: F. lastname. 7. Create a new column after and before web. Call this new column username. Using the flash fill create username based on the first name and last name e.g. firstnamelastname. 8. Create another column after username and before web. Call this new column password. Type tarhria and use this for the flash fill. 9. Open Certificate_firstname_lastname.docx. and do a mail merge 16 P a g e
