2 02 About the Author The author, Stephan Jaeggi, is a wellknown PDF expert in Europe. He has already introduced thousands of professionals to the secrets of PDF in over one hundred seminars and numerous lectures. He also receives regular invitations to the Seybold conferences in the USA to speak on the subject of PDF. Everybody can subscribe to this newsletter free of charge at Our author has been working on PDF technology since 1991, when he first heard about PDF and»carousel«(the code name for»acrobat«) at the Seybold conference. Shortly after, he set up his own business and founded the company PrePress- Consulting, based in Binningen near Basel in Switzerland. During its early years, the company offered a wide range of consultancy and support services for prepress companies and printshops. Since 1996, PrePress-Consulting has been concentrating exclusively on PDF. After leaving college in 1978, Stephan Jaeggi did a practical course in a printshop and went on to study at the Swiss School of Engineering for Printing and Packaging. He graduated with an HTL/ESIG qualification in print engineering. He then worked as a systems manager in a large print shop, where he was responsible for the evaluation, installation and operation of a large mainframe typesetting system (using HELL Digiset imagesetters). He was then appointed Secretary for IT at the Swiss Association of Graphic Arts Companies (now VISCO), a position that enabled him to assist the 1200 member companies with the introduction of PostScript and DTP technologies. 3 03 To coincide with the introduction of their new PDF workflow system»prinergy«heidelberg and Creo have asked me to write on the subject of PDF workflows in the printing industry for Heidelberger s Editorial new range of specialist material,»vision+work«. The result is a series of four brochures directed at different target groups: Basics: An introduction to PDF technology intended for all readers. anagement: Economic and organizational aspects of PDF for managers. Creation: The creation of PDF documents for data suppliers (advertising agencies, graphic artists, customers). Production: Processing and outputting PDF files for prepress technicians. The»Basics«brochure is available in printed form. All four publications are available in digital form on CD-RO and on the Internet (see below for Internet address). The digital versions contain a number of hypertext links that lead to related topics in the other brochures. Each page deals with a separate topic, making it easy for the user to read individual pages and locate a particular topic at any time. y aim in writing these brochures was to provide practical guidance for the use of PDF in the print production process. The brochures are not intended to replace technical manuals, but rather to explain the concept of PDF technology, share my practical experience, and give tips to the reader. These publications describe the manual PDF workflow using»adobe Acrobat«and standard plug-ins. They also describe the new potential offered by automatic PDF workflow systems such as»prinergy«. I would like to thank Heidelberg and Creo for giving me the opportunity to publish these brochures. For a long time, I have wanted to take the knowledge that I share in my seminars and lectures and write it down to make it available to a broader audience. 4 The printing industry is currently making the transition from an analogue (filmbased) to a digital workflow. There are several reasons behind this change. New technologies such as large-format imagesetters, printshops, but from the market as well. In particular, advertising agencies and major advertising customers have recognized the advantages of PDF as a universal exchange format and are pressing printshops to accept PDF files. PDF has already become well established in digital printing, as the time factor plays a decisive role here and PDF is a reliable data format that causes the least problems. 04 The Changing Face of the Printing Industry Computer-to-Plate (CtP), and digital printing are demanding digital originals. Increasing time pressure is also forcing many companies to automate of their workflows as much as possible. This again requires digital data. These days, many pages are no longer created in the printshop, but instead by creative professionals (advertising agencies, graphic artists), or even by customers themselves. ost of these pages used to arrive in the printshop as films. While it is technically possible to redigitize films, this can only be an interim solution. Printshops are therefore asking customers to supply digital data. The»Portable Document Format«(PDF) is the ideal data format for page transfer [anagement 06]. The call for PDF files is not just coming from Printshops, advertising agencies and customers alike are increasingly calling for PDF. PDF helps printshops to meet tight deadlines in digital printing.

5 ost jobs used to be delivered to printshops as films. These then had to be manually stripped into signatures a tedious process that was prone to errors. For a few years now, there have been fonts have to be used to output the pages as were used to create them. They are only linked to the pages and therefore must be supplied separately. These links are often broken during transfer. It is very easy to break up PDF documents into individual pages, making them particularly suitable for digital imposition and therefore offers excellent output reliability. PDF files can be output very quickly, so image and platesetters can operate at full output speed. PDF is the ideal data format for output workflow systems such as»prinergy«. [Basics B14] Transferring PDF data can solve many though unfortunately not all of the problems that printshop operators have been confronted with over the last few years. PDF documents contain all the data required for output. Images and the fonts used can be embedded directly in the PDF file [Creation C22]. PDF is a final-page format. The page elements and the text flow cannot be changed accidentally. Although individual page elements can still be edited, the object-oriented data storage method ensures that no repagination is performed if an element is modified or deleted. [Production P12] PDF documents can also be completely protected against modification. [Production P14] PDF files are completely independent of the program and the computer platform on which the pages were generated. Pages can be transferred from a [Production P22]. Since PDF files have a built-in data compression facility, data transfer via ISDN or over the Internet is very cost-effective. [anagement 14] PDF data does not contain any programming commands (as PostScript does) PDF is the ideal data format for transferring pages and for the output workflow. Fonts can be directly embedded in the PDF file. This ensures that the original fonts are used for output.

7 any classic printshops have tended to neglect their prepress operations in the past, and some have even eliminated them in the belief that it was best to concentrate on their core activities. PDF gives printshops the chance to take advantage of the digital workflow without having to build up a complete prepress production. A printshop only has to be able to process PDF pages. Thanks 07 Opportunity for Print-only Shops But now modern technologies such as Computer-to-Plate are bringing press and prepress closer together again. any printshops are suddenly finding themselves confronted with digital data that they have to process and image. Small and medium-sized companies can feel overwhelmed by the large amount of software and hardware to be mastered and by the considerable investments required. Just buying the 10 most important publishing programs for acintosh and Windows costs more than USD 10,000. Some jobs have to be turned down or passed on to other service providers because of a lack of software or proficiency in using it. to the decoupling of page creation from output, it is no longer essential to master the full range of layout and graphics programs. However, companies wishing to use PDF for production still need to acquire the necessary technical knowledge, and above all must experiment to see how PDF can best fit into their own production processes. In general, PDF can bring the printing industry a good step closer to fast and smooth digital production. PDF offers print-only shops new competitive opportunities. Rather than always making sure they have the latest version of all popular programs, it will be sufficient for many printshops to receive PDF pages and process them.

A PDF workflow starts with page creation. Compact PDF files are then sent to the printshop where they are prepared for output.

9 errors such as insufficient image resolution or non-embedded fonts. [anagement 12; Production P10] 09 Cooperation with Data Suppliers The»Adobe Acrobat Distiller«is usually used to generate PDF files. It converts PostScript files from all applications into PDF format [Creation C17]. In order to ensure that everyone involved can benefit from the advantages of the PDF format as early as possible, PDF documents should be generated where the pages are created. To generate a PDF file suitable for imaging, the data supplier must use the correct printer driver with the Acrobat Distiller PPD file [Creation C09], and must also employ the correct settings for the»acrobat Distiller«. [Creation C19] From Version 4.0 onwards, Distiller offers users the option of storing settings and passing them on to their partners as a file. These»joboptions«files help to ensure that setting errors are not made during the creation of PDF files. [Creation C18] It is also useful if both partners use preflight software capable of identifying»distiller joboptions«are the basis for successful cooperation. The required Distiller parameters can easiliy be set by selecting a»joboptions«file in the Distiller window.

10 The free»acrobat Reader«is all that is needed for viewing PDF pages, regardless of the application in which they were generated. PDF is therefore well suited to the approval process in the production 10 Communication Original layout PDF file E-ail of printed matter. A printshop, prepress company, or advertising agency can send created pages as PDF files to its customers. Since PDF documents are relatively small, the files can be sent via ISDN or or made available for downloading from a web server without any problems. As well as approving the pages for printing, the recipient can also use the annotation functions in Acrobat to add required corrections directly to the PDF files that they can then send back electronically [Basics B19]. If customers have a suitable output device, they can even proof the documents themselves [Basics B20].

11 This is where PDF comes in. PDF files are already pre-interpreted, this means that, if EPS files are defective or PostScript problems are present, for example, these errors can be identified by the person creating the pages during PDF generation, and can be corrected then and there. And, at this stage in the production process, there is normally more time available to handle such issues. 11 Error Recognition These days, the production of print originals is spread across various locations and involves a number of different people, not all of them specialists. It is common for pages to be created by advertising and marketing professionals or administrative staff who have no experience in prepress production. It is therefore highly likely that errors will occur at some point during the page-creation process. Some errors can be spotted simply by looking at a page on the monitor, but some unfortunately only become apparent when the page is being processed by the PostScript RIP in the imagesetter or platesetter. By that stage, it is often too late to correct them, and a tight deadline can be jeopardized by one small error. The later an error is identified in the process, the more costly it is to correct it (see graphic). Cost of error correction in print production Customer Preflight Film Plate Print PDF helps identify errors as early as possible. The cost of error correction increases as the production progresses.

12 12 A preflight check is performed by a special piece of software that examines files from desktop publishing programs for potential problems prior to output. The term preflight check comes from avia- Preflight Check If errors (such as missing fonts, incorrect image resolution) are identified at this early stage, it is a simple operation to correct them in the original files, and then create the PDF file again. If errors are not discovered until the files reach the recipient, it is usually already too late to do anything about them. The recipient has to request a corrected file from the person who created the pages, and the files have to be transferred a second time. For this reason, some printshops give their regular data suppliers a preflight plug-in. [anagement 20] tion and refers to the checks carried out on a plane before take-off. Preflight programs for layout files have been around for quite a while. However, PDF files need to be checked against some specific criteria, and specialist preflight plug-ins have therefore been developed for Acrobat. [Production P10] At the moment, however, the preflight check often takes place in the wrong place at the wrong time. Normally, the transferred data is checked in the printshop. However, rather than the recipient checking files on receipt, it would be better if the sender (advertising agency, graphic designer, customer) were to check the files before passing them on. A preflight check should be carried out by the person who produces the PDF file. PDF files should be checked before being passed on in the same way as pilots check their aircraft prior to take-off.

13 Files sizes play a major role in digital production. A signature containing a few images can easily be several gigabytes in size. PDF helps to dramatically reduce data volumes, because any type of data The small data volumes obviously greatly facilitate the storage (incl. archiving) and transfer of data. [anagement 14] Page output is also speeded up by compression, as decompression in the RIP is normally faster than the transmission of uncompressed data over a network. 13 Data Compression can be compressed individually in a PDF file [Creation C20]. Particularly impressive results can be achieved when compressing contone images. PDF uses the JPEG compression method to reduce the data volume of contone images. Various levels of compression can be selected with JPEG. The author recommends using the high quality level (in Distiller 4.0) or the medium-low compression level (in Distiller 3.0) The graphic opposite shows the effect of the different compression levels. With the recommended settings, our test left B of the original 1,175.8 B. All the information required to image the PDF documents is still available and there will be no visible difference in the final results. This represented a reduction of 88% in data volume. 12% 4,8% 3,1% 2,4% Data compression of PDF facilitates the handling of large files.

14 PDF is currently the most cost effective file format available. Compared to normal PostScript files, PDF documents are almost 90% smaller when optimally compressed, and yet are still fully usable for regular PostScript file 100 B compressed PDF file 12 B regular PostScript file 100 B compressed PDF file 12 B 14 Transfer Costs imaging [anagement 13]. In our example, a normal PostScript file of 100 B that must be transferred through a network or on a data medium could be reduced to just 12 B with PDF! Because of their smaller size, PDF files are ideal for transmission via ISDN or over the Internet. In a PDF file, all the elements are optimally compressed and therefore lend themselves perfectly to digital transmission. In our example, almost 90% of digital file transmission costs can be saved. Courier transport is no longer the most costeffective solution. It is faster, simpler and cheaper to send jobs by online transfer (ISDN or ). 2,58 min 3,05 min Burning of a CD-R (4x) 0,3 min Ethernet transfer (10 bit) 0,36 min 133,3 min ISDN transfer (128 kb) 15,9 min Using PDF saves a considerable amount of time. Optimum compression can cut data volumes by almost 90%. This example shows transfer times for PDF and Post- Script files by ISDN and Ethernet and production time for burning a CD-R. Because of their smaller size, PDF files can be sent digitally at a far lower cost than other file formats.

15 15 The most important change that occurs when using PDF in the production of print originals is in the company's workflows. It is not only internal operations that are affected, but also the company's cooperation with its data suppliers. If full benefit is to be drawn from the advantages of PDF, the company's partners have to adjust the way they work too. They have to be persuaded to perform an additional operation that of generating a PDF document. However, this is also helpful for page creators, since one of the great advantages of PDF is the simple, reliable data transfer that it permits. The workflows inside the printshop have to be adjusted to accommodate PDF. The printshop has to find a way of imposing PDF pages and imaging their color separations. Its staff also has to learn how to check whether PDF documents are suitable for imaging or not. [Production P08] The best approach is to conduct a pilot test with a partner who is also interested in this workflow. This will allow both sides to gather experience in the new technology. Introducing a PDF workflow The good thing about the PDF workflow is that it can be operated parallel to a traditional PostScript workflow. Therefore, no printshop need feel obliged to convert its entire production process to PDF overnight, as has often been the case when changing to new technologies in the past. Instead, the changeover to PDF can be made step by step, one job at a time. Automatic PDF workflow systems such as»prinergy«also offer options for converting data formats from other systems (e.g. PostScript, TIFF-IT, CT/LW) into PDF [Basics B16]. The changeover to PDF can be made step by step. The introduction of a PDF workflow needs to be discussed with a company's data suppliers too.

16 Compared to the cost of changing over to PostScript ten years ago, the financial outlay involved in introducing PDF in a printshop or prepress business is relatively small. For most companies, changing 16 Investment Security with PDF to PostScript meant replacing all their technical equipment and buying new computers, programs, networks, servers and RIPs. With PDF, the company can continue to use its existing infrastructure. In addition, the use of PDF enables a company to benefit from the advantages of the digital workflow at a much lower startup cost. A good standard computer (PC or acintosh), the»adobe Acrobat«software package, and a few plug-ins are all that is needed to process PDF files. [anagement 20] However, these basic tools only permit manual operation. If a customer wants to tap the automation potential of PDF, they should invest in a PDF workflow system such as»prinergy«from Heidelberg/Creo. [anagement 17] With PDF, users need not be afraid of investing in a data format that might soon become obsolete. PDF is a well-supported standard format. ANSI and ISO are currently drawing up standards for declaring it the standard format for the exchange of printed pages and advertisements. It would be difficult to find a large, important manufacturer in the printing industry that does not support PDF. Adobe Systems commitment to PDF guarantees the continuity of this data format. The major system manufacturers in the printing industry all support PDF. The financial outlay involved in introducing PDF is relatively small, since a company can continue to use its existing infrastructure.

17 The use of PDF as the standard data format for output offers enormous potential for automation. All jobs regardless of the program in which the pages were originally created can be prepared for the first workflow system to operate endto-end with PDF files. The system architecture is scalable, this means that the performance of the system can be continually adjusted to suit the individual requirements of the user. If conversion programs are used during input (e.g. for TIFF-IT, CT/LW, DCS), Prinergy can be fitted into existing frontend systems very smoothly. 17 PDF Workflow Systems output in exactly the same way. A couple of steps are required before imaging. First, the data is checked for completeness, and the images are optimized. Then colors are converted to the requirements of final printing process, traps can be generated, and page proofs output if required. Next, an imposition layout is assigned to the pages and a form proof is produced. Once the proofs have been approved, output is performed on an imagesetter or a platesetter. These tasks can all be automated using a PDF workflow system such as»prinergy«. Prinergy was developed jointly by Heidelberg and Creo. The system is based on the»adobe Extreme«architecture. Its performance can be adjusted to suit the requirements of the user by integrating additional servers.

18 The core of the»prinergy«workflow system is an»oracle«database. This not only stores job information, but also keeps a record of the activities of the whole system. Each operating step is 18 Database recorded and can be checked at a later date (see illustration). The database also keeps a precise log of any errors that occur. Analyzing these logs helps to eliminate common errors, thereby increasing the cost-effectiveness of the system. Prinergy also incorporates a color database that stores all spot colors together with their trapping parameters and values for conversion into process colors. A database can considerably improve the cost-effectiveness of a workflow system. The History log can be viewed at any time to see which operating processes a job has been through and when. Additional information can be called up about each entry.

19 The»Portable Document Format«(PDF) is more than just a data format for output on paper, film, or plates. It was originally developed by Adobe for digital publications on CD-RO and the Internet [Basics B04]. 19 New edia The advantage of PDF over other data formats for digital publications is the fact that it is not necessary to learn any new application software in order to be able to create PDF pages. Any familiar publishing application used to create pages is suitable. The PostScript output from these programs can be converted into PDF simply and automatically using»acrobat Distiller«. [Creation C17] PDF is therefore the ideal format for converting existing print originals into digital publications without much time and effort. This means that anyone who currently produces printed pages can also produce originals for new media without having to master any new tools. PDF therefore offers a great opportunity for traditional prepress companies and printshop to offer their customers new services in new media. ajor investments in software or knowhow are not required. The production of digital publications for CD-RO and the Internet directly from existing print originals also creates stronger customer relations. PDF enables printshops and prepress companies to offer new services. PDF files can be used in many different media. They are particularly well suited for CD-RO and Internet publications.

20 Only a few programs are required to process PDF files. It is essential to have the»acrobat«software package. In addition to the»acrobat«program, the package includes the»acrobat Distiller«,»PDFWriter«and»Acrobat Catalog«for creating full-text indexes.»adobe PhotoShop«and»Adobe Illustrator«are also recommended to assist with the editing of individual PDF objects from Acrobat [Production P13]. There are also a few useful plug-ins, but not all of these are essential. Demonstration versions of all the plug-ins are available on the Internet, and can be accessed via the»vision+work«link page. 21 The electronic version of the»vision+work«brochures is very simple. The buttons on the right-hand side of the page are used to navigate between the pages. File>Preferences>General... CD+K. These settings are only important for the off-line version. They have no impact in the Internet. The Find button can be used to Previous view Next page Instructions for Use Previous page The pages have an article thread. Clicking on a column enlarges the text to full screen width. Clicking again calls up the next screen fill. Hypertext links are built into the text. These lead to pages containing related topics [Basics B02]. Clicking on one of these links opens the relevant page. The top button Previous View takes you back to your previous page. The links not only take you to pages in the same brochure, but also to pages in the other files. Unfortunately, with its standard settings, Acrobat closes the first file when you jump to another one. It is therefore important to disable the Open Cross-Doc Links in Same Window option in the basic settings search for words in the brochures. A fulltext index is also supplied on the CD-RO. This allows you to search through all the brochures. Unfortunately, this does not work on the Internet, so the normal search function of the Reader is called up in the Internet version of the brochures.
