1 Collegium Laureatum Choir Information for members Subscriptions Enrolment Evening This year's subscription is and Rehearsal 140 In the Community/Dining Room at Milton Road Primary School, Ascham Road We have had to raise the subscription this year partly due to the poor ticket sales last year. The amount would have been approximately 20 more if it had not been for the money recovered from Gift Aid. There are no reductions for people joining for less than the full year. We are offering a special rate for people aged 25 and younger. There are also discounts for anyone who has sold more than 12 tickets in the previous year. Anyone who introduces a new member to the choir will be entitled to a one third discount on their subscription. We may also be able to help if you have difficulty paying the full subscription. See the Treasurer or Secretary for details. 2018/2019 Annual General Meeting The AGM will be held on Mon 19 November 2018 at at the start of the rehearsal Please notify the Chairman or Secretary of any items you wish to be discussed. Formal motions must be submitted in writing, at least 3 weeks in advance. Gift Aid Last year's Gift Aid application resulted in over 2000 being received by the choir from HMRC. This enabled us to reduce the subscriptions by 20 per person. If you are a UK tax payer and have not yet filled in a Gift Aid form it is not too late to do so. Once completed you do not need to do anything else in subsequent years. The form is available on the web site.. As a service to members the choir will still be offering a bulk buy facility where we will purchase copies on your behalf, usually at a discount. Vocal scores for the St John Passion will be provided by the choir as we will be using a special translation (by Peter Pears and Imogen Holst) which is not generally available. Please ensure you indicate whether you wish the choir to buy music on your behalf on the enrolment form. If you wish the choir to purchase music for the first term you will need to return the form by the date shown. There may be additional works for the final term but details of these will be provided nearer the time. Note: The information in this document is intended to supplement the information provided in the Rules of the Choir which can be found on the web site

2 Enrolment You will find the enrolment form on the web site ( in the Enrolment section). Please fill it in and either post it to the address specified or bring it with you to the Enrolment Evening or first rehearsal. Members should note that if they change their address or telephone number during the year, they should inform the Secretary. Please be sure to include your current address if you wish to receive mailings about concert publicity, choir events, rehearsal changes etc. GiftAid As a registered charity we are able to reclaim refund of basic rate income tax (or Capital Gains Tax) on a substantial proportion of your subscription under the Gift Aid Scheme for charitable donations. It may seem surprising that this is the case for subscriptions as well as for charitable donations; it is a concession which has been put in place to support community arts activities such as choirs instead of the grants which used to be made available. Claiming this is fully supported by HMRC and they have come to agreements with Making Music regarding the proportion which is reclaimable under the law. We would therefore be very grateful if you are able to sign a Gift Aid form and return it with your subscription at the enrolment evening or let Anthony Clay have it at rehearsal or by sending it to him at 14 School Lane, Longstowe, CB23 2UU. Forms may be submitted via (to GiftAid@collegium.org.uk) but only as a scanned copy of the original signed form. You can find a copy of the Gift Aid form in the Enrolment section of the website. You might also like to consider leaving a legacy to the choir in your will,. This can be put towards general expenses or help fund something you are particularly interested in e.g. workshops, copyrighted music etc. Please feel free to discuss this with the committee. Data Protection The choir keeps your details on a database for as long as you are a member of the choir and for one year after your last enrolment. This helps with day to day administration of the choir and your details are never given to a third party. The personalised enrolment form contains the details we hold on you. Please check and verify that these are correct. If you no longer wish the choir to keep this data please let us know. Note, however, that this may hamper our ability to send you relevant information such as the enrolment data. We also maintain two mailing lists on Yahoo! Groups. One is purely for official choir use, such as notes from rehearsals, changes in times/venues/notes etc. You will be invited to join this list once you have enrolled. The second list is for items of general interest (see below) Full details of the choir's Data Protection Policy can be found on the choir's web site. start promptly at 7:30 p.m. on Monday evenings but normally exclude school half terms. will be held in the hall at on Ascham Road (see map). Full details of the rehearsal schedule for the forthcoming year are shown below. Please ensure you sign the registers at every rehearsal. If your name is not on the register, please add it to the bottom of the relevant section. Tickets Every member will be issued with 3 sale or return tickets for each concert with the expectation that they will be sold. If you can sell more than 3 tickets, so much the better remember that selling more than 12 tickets could result in savings on your next year's enrolment (see Subscriptions above). Please note that unsold tickets should be returned by the Friday rehearsal before the concert otherwise you will be asked to pay for them. Publicity The only way to get people who do not know members of the choir to come to the concerts is by ensuring there is adequate publicity. Members can help in this by ensuring that local shops, places of work, churches, etc. have posters and an adequate supply of handbills. Handbills displayed in cars or on bicycle baskets are another method of getting them seen by a large number of people. For each concert we will put out lists indicating where we think it would be useful to display our posters. If you put a poster in one of these locations, please mark it off to avoid duplication. If you have additional places you think posters should be displayed, please add them to the list once you have placed a poster there.

3 Stewards We also need people who are not singing in the concerts but who are willing to assist with Front of House. If you know of anybody who may be interested, please contact the Secretary. Social Events As long as there are sufficient people interested to make it worthwhile, the choir usually goes carol singing, usually in the week after the Christmas concert. Dates and venues will be announced nearer the time. Suggestions of other social events are always very welcome and should be discussed with the committee. If you would like to organise something we would be delighted and supportive. Events Mailing List We increasingly get a lot of publicity about concerts and other musical events and rather than send them to the whole choir we decided to set up a special group. If you wish to receive such information then you need to send an to collegiumevents-subscribe@yahoogroups.co.uk once your enrolment has been approved an will be sent to you with further details of how to complete the registration process. Once a member you can also send messages to the group but these will be vetted before being passed on. To do this simply send or forward the to collegiumevents@yahoogroups.co.uk If you should wish to leave the group at any time send a message to collegiumevents-unsubscribe@yahoogroups,co.uk Message content and subject for the subscribe and unsubscribe messages does not matter. Committee assistance At certain times of the year the various members of the committee find themselves with a lot of work to do on behalf of the choir. For example, publicity before concerts, music at the start of term. If you are willing to help out various members of the committee with their jobs (without necessarily being a member of the committee) we would be interested in hearing from you.
