4 1 PROJECT OVERVIEW 1.1 PROJECT INTRO. In order to demonstrate the functionalities of the payment portal, it is important to review the back end application where the payment portal is going to gather the information from, by presenting the end user with the same information that customer service reps can view when doing data entry or taking a customer service call. 1.2 CUSTOMER SERVICE CALENDAR. This screen is used by the organization customer service reps to view the current service status on the account, the reps can easily find the service days along the route numbers assigned to service the specific customer. 5 1.3 CUSTOMER A/R HISTORY The AR history screen is used by the customer service reps to review the current payments and charges history applied to the end users account. 1.4 CUSTOMER SEVICE SCREEN The customer service screen from the internal billing system provides the customer s service reps with the overview of the customer account, by displaying the customer information along with the customer balance, and service status. 6 1.5 APPLICATION DATABASE The internal payment application currently stores the information by utilizing the MS SQL 2008 server database and utilizing over 80 tables to properly store and maintain the integrity of the data. OPP Page 5 of 33
7 1.6 PAYMENT PORTAL EXPECTATIONS As requested in the project expectation and charter, the portal needs to bring to the end user the same touch and field in order to communicate and view the same information available to the organization customer service reps. 2 PAYMENT PORTAL DATABASE To project the integrity of the information provided by the end users, the payment portal will have its own database built in the MS SQL 2008 infrastructure in order to fully integrate with the internal payment system. By utilizing the same type of database, the portal warranties to display the same information available to the customer that is available to the end users, without any delays or waiting times, the same information that the customer service rep is viewed will be the information that the end user will be able to view over the secure payment portal. The database consist of 26 different tables utilize for the portal to search and store the information regarding the end user portal account like names, phone numbers, address, portal menu options, access security level, and the data necessary to link the account portal to the organization billing application in order to give the end user access to the some information stored in the organization billing system. 8 3 DELIVERABLES 3.1 LANDING PAGE By selecting the following link or typing in your internet browser address bar, the end user will access the landing page or Home/Main page of the payment portal: OPP Page 7 of 33

10 3.2 FIRST TIME USER ACCESS LOGIN First Time The end user needs to select this option if this is the first time that he/she is trying to access their account via the payment portal. OPP Page 9 of 33
11 3.2.2 Register New User Screen By selecting the First Time? Click here to register option in the landing page the enduser is directed to the Register New User screen, where the end user needs to provide the requested information in order to create an account in the payment portal, and most important in order to link the new account to the organization billing system. The new user screen needs to be populated with the end user information based on the information displayed in the end users invoice, the end user has the option to enter: First Name: Last Name: End user name based on the paper invoice information. End user last name based on the paper invoice information. End user address based on the paper invoice information Confirm address: End user needs to confirm the provided address, the address field and confirmation address field must match, in order to sucessfuly create the account. Desire Password: End user needs to provide a password for the new payment portal account Confirm Password: End user needs to confirm the provided password, the desired password field and confirmation password field must match, in order to sucessfuly create the account. Security Question: The end user has the option to select a security question, the answered question will be stored and utilized to unlock or reset the end user password if needed. The end user can be selected from the following: What was the name of your first pet? In what city where you born? What is your favorite color? OPP Page 10 of 33
12 Security Answer: The end user needs to provide and answer to the selected question on the security question field. Servicing Company: The current setup will only have one option City Of Kennesaw Customer Account Number: This information is provided in the current montly paper invoice sent to the customer, as noted on the screen the account Leading zeros are not required The end user needs to confirm the account authenticity by providing either the account phone number or the last invoice number, based on the monthly paper invoice sent to the customer. The end user is presented with three different buttons: Register: By selecting this option, the system will create an account with the information previously provided, the system internally will match new account with the internal biling system, and a confirmation will be sent to the end user to the provided address with a link on the login screen to give full access to the user to his/her s new payment portal account. Reset: This option will clear out / remove all the data from the previuos fields. Return To Login: This option will take the end user back to the main page of the payment portal. OPP Page 11 of 33

14 3.2.3 Register New User Screen Required Fields By the end users selecting the Register button in the button of the Register new user screen the system will confirm that all fields are entered successfully. If a field is left empty, the system will advise the end user that this field is required in order to create the account. When the system finds required fields left empty the system will displays as follows: OPP Page 13 of 33
15 3.3 FORGOT YOUR PASSWORD The Payment Portal Project presents an option to the end users to reset their account password if they forgot the original password by selecting the Forgot Password? Click here for assistance option. Upon the selection of this option, the user is presented with the following screen: The end user is required to provide the address originally entered when the account was created. By doing so, and by selecting the submitted option, the system will send the end user a remainder , and the following screen will display confirming the end user submission. OPP Page 14 of 33
16 After a few minutes and based on the end user connection to the internet and their address server, the end user will receive the following confirmation with the account information. With this information, the end user will be able to login to their account and reset the password or account information if needed. OPP Page 15 of 33
17 3.4 WAITING FOR YOUR CONFIRMATION OPTION The third option available on the landing or main page of the payment portal is utilized to resend the confirmation . In occasions, and based on the end users account setting, the original confirmation can be considered to be SPAM or a faulty , and can be sent to the recycle bin or totally destroyed. For this reason, the end user is presented with an option to resend the confirmation . By selecting this option, the following screen will display where the end user can enter the address originally added to the account and the system will resend the confirmation to activate the end users account. The end user has the option to submit the request or to return to the landing page of the payment portal. OPP Page 16 of 33
18 4 PORTAL OVERVIEW 4.1 WELCOME TAB After a successful login, the system will give the end user access to the payment portal account by landing the user in the Welcome tab. This screen presents the user with general, but effective information about the end user account, like: Account Information: Providing the account number and the billing name assigned to the account and the account billing address, all this information is being rendered to the payment portal from the organization billing system. Account Activity: Displaying the account current balance, and the 30, 60, 90, over 90m, and the Total account balance. Last 5 Transactions are displayed to give the end user a quick overview of the account financial activity. Make a Payment Link, to give the end user a quick link to place a credit card payment to the current balance in the account. Update Automatic Payment link, giving the user access to create a recurring payment arrangement. Paperless Invoice Option link, offering the option for the end user to received only electronic information about the account, and cancel all printed invoices and literature send by the organization. Location: This drop down menu will display the different service addresses attached to the end user billing account. Service Schedule: This option will display the specific pickup schedule for the selected Location or service address. OPP Page 17 of 33
19 4.2 MAKE A PAYMENT TAB This tab will present the end user with the option to make an online payment using previously stored credit card information, or by adding a new credit card to the account. At the present time and due to transaction cost, the organization selected only to take Visa & Master Card payments. If the end user chooses to make an American Express, Cash, or to pay with a check, they need to visit the customer center of their choice Make a Payment In order to successfully enter a payment, the end user needs to select the desired account by choosing one account form the Account drop down menu. The system will display a quick description on the account and the account status, like Active or Inactive. After selecting the desired account, the user needs to enter the Payment Amount, add a payment note. OPP Page 18 of 33
20 Next, the user needs to select the payment account by selecting a previously used credit card or by Add Credit Card Account. To complete the transaction, the user needs to click the Post Payment button. The system will send the information using the secure link to the organization merchant bank, and then the bank will process the transaction and returns the end user with a payment confirmation number. By receiving the payment confirmation number, the system will add the payment to the billing system updating the account balance instantly, giving the end user a current update on the account balance Automatic Payments The payment portal has the option for the customer to schedule automatic payment on the account by using the Automatic Payment option, selecting from the Method drop down menu to pay Credit Card Full Balance or Credit Card Invoice Amount. The Maximum charge Amount window can be used to enter the maximum amount that can be charged to the customer credit card based on the previous changes on the account. OPP Page 19 of 33
21 The Confirm Charges button needs to be clicked in order to successfully schedule the automatic payment to the account. OPP Page 20 of 33
22 4.3 VIEW SERVICE HISTORY This option will present the end user with the account service history by displaying the Account number, name, and address. The service location with the name and full service address, at the same time the user can view the account status of Active or Inactive. The service history is being displayed using a calendar with navigation bar for the end user to move back and for between years and months. The calendar displays the different types of services along with the pre-assign pickup route number; any additional charge and invoices will be noted in the calendar based on the date that the charge was issued. 23 4.4 AR HISTORY The AR history tab will display all financial activity in the account, like charges, payments, credits, and payment schedules. The end user can select the Account by selecting from the drop down menu, and view the account status as Active or Inactive, the view drop down option will give the user the option to select only the Open Documents or current charges, or view the entire account AR history by selecting the All Documents option. Ten transaction will be displayed per page and if needed additional pages will be noted on the button right side of the screen. OPP Page 22 of 33
24 4.5 SERVICE REQUEST TAB The service request tab is an interactive tool where the customer can request additional services for the specific account, or to send notifications or request to the customer service department. On the service request, the customer has the option to select from the dropdown Service menu on any of the containers already assigned to the account, the Request menu will present the end user with the following options: Damage Container Please Replace. Miss Service. Repairs to container/bins Extra pickups The end user has the option to add additional information in the free text Notes field. After completing the selection the end user must click the Submit Service Request button to complete the order. OPP Page 23 of 33
25 The second option in the service request tab will give the customer the option to communicate with the customer service department, by selecting from the calendar the Effective Date, and selecting one of the options from the dropdown Request menu from the following options: Billing Is- Contact customer to review billing. CallMang Phone call from manager Damage Customer complained of equipment/property damage, please contact and resolve. General Qu General Question NewCus New Customer, please contact to advice of recycle/trash rules. Service ls Contact customer to review service issue. The end user has the option to add additional information in the free text Notes field. After completing the selection the end user must click the Submit CSR Request button to complete the order OPP Page 24 of 33
26 4.6 MANAGE ACCOUNT TAB This tab is used to manage the payment portal account, nor the service or the billing account, but just the individual account utilized to login to the payment portal. The screen presents the end user with additional tabs as follows: Add Account: Utilize to add additional account feature that can be really useful for customer with more than one property by consolidating all the account under one log on. The user can select the Service Company and identify the account by Account number, additional information is required to confirm the end user account by requesting the Account Phone Number or the Invoice Number. The process will be completed by selecting the Add New Account button. OPP Page 25 of 33
27 Manage Account: This option gives the end users the ability to change the default billing account in the web payment portal by selecting from the different accounts under the New Default Account dropdown menu, at the same time the user can remove old accounts by selecting the account from the Available Accounts dropdown menu. For either option the end user needs to click the Update Default Account or Remove Account button. Customer Information: this tab will give a quick glance of the customer information, Customer Address, Billing Address, and Site Address in different tabs. Each tab will display the information available in the organization billing system, the end user only has viewing access to the field, no changes can be requested or completed on these tabs. The end user can select to make changes to the displayed information by selecting the Edit option presented in the bottom right side of the screen. After completing the desired changes, the end user can select the Update or Cancel options to make or cancel the changes. OPP Page 26 of 33

29 Change password: This tab presents the end user with the option to change the original password by typing the current password and the new password two times; the password change will take effect by selecting the Submit option on the bottom right side of the screen. Paperless Billing: This option can be used to change the way that the end user receives the invoice, the paperless invoice options presented to the end users are: Delivery Options Paper Invoice = Physical invoice mail to the customer billing address Invoice Notification = Customer will be notified via when a new invoice is generated. Invoice in Adobe PDF = the system will the customer invoice in using the Adobe.pdf format. OPP Page 28 of 33
30 Paper Invoice and notification = the customer will receive a physical invoice along with and advising the customer of the generated invoice. Paper invoice and invoice in Adobe PDF = the customer will receive a physical invoice along with and an invoice with.pdf format attached to an . Address: The end user must enter their address in this field in order to use the notifications previously described. The user needs to click the Save Paperless Option bottom in order to submit the requested changes. OPP Page 29 of 33
31 5 BACKEND STRUCTURE 5.1 WEBSERVER In order to build an easy to use application, the entire payment portal is hosted using the Microsoft web software server IIS (Internet Information Services) 5.2 SECURITY To fully protect the integrity of the data displayed and the financial information transferred in the payment portal, the website is secured by three different SSL (Secure Socket Layer) certificates. Each certificate secures the data integrity by protecting the transaction with the etower SSL certificate, the notifications protected by the webmail.kennesaw-ga.gov certificate, and the financial transfer protected by the gd_iis_intermediates. To fully protect the integrity of the data displayed and the financial information transferred in the payment portal. OPP Page 30 of 33
