3 Using the improved DXS built in Client Introduction Please note: this functionality is only present in DXS version x and above A much improved built in client has been implemented in the latest version of the DXS software so that the user does not have to navigate away to an external client or the web to a DXS Referral form or other document. As a result of customer feedback we have simplified the DXS setup process, put the Preferences tab in by default and incorporated some powerful new features including Read Receipts, Practice wide settings and Reply-To address. The improved DXS client with some of the new features is shown in the image below: The DXS client can also now be configured per User or Practice Wide to align with the way your practice manages Referrals. NB: There is a current known problem with the functionality: Those using Outlook online through an OWA interface, commonly known as Office 365, will not see a record of the in the Sent items box in your account. This problem only occurs when using Outlook online which is likely to affect practices who don t have Outlook installed or are using a hosted solution. This can be found in our known errors database under reference PRB As an interim workaround, users can utilise the b cc functionality in order to send a copy of the to the account that is set up. Please see the step by step guide below that details the tickbox functionality to Send copy of to in order to b cc the address setup. DXS Functionality Overview 2

4 Using the DXS client to send an 1. When you are ready to the referral form or other document from DXS please click the button located on the DXS Toolbar: 2. A confirmation box appears asking if you would like to Mark Form as Complete, which will also remove the Draft watermark. This is the default setting: N.B. If for some reason you need to the form as a draft BEFORE it is completed please untick the checkbox. 3. If the form has Required Fields that have not been filled in then you will get this box instead: Please go back to the form and fill in the required fields then try ing again. You may the form as is but please be aware that the form may be rejected by the Service Provider. DXS Functionality Overview 3

5 4. Informational boxes may appear such as this one which offers to add the entry to your PDP log: Please make your choice. N.B. If you put a tick in the Do not prompt again box DXS will remember the choice you make this time forever. 5. A message advising you that the form is saving to the patient record will appear while DXS works away in the background: 6. You will now see the Send screen similar to the one below: 7. 6 Automatic populating of To field Where the Service Provider has specified an address for referrals to be sent, that address will be automatically populated into the To: field to save you having to type it in manually and avoiding mistyped addresses: s not showing in Sent items - workaround Send Copy of to now shows the name of the account that the DXS client has been configured to use rather than the ambiguous Send to myself : This setting is by default turned on as it is the workaround to overcome the fact that s sent using the DXS built in client cannot appear in the Sent Items folder. Options you can change for this specific The DXS client gives you the opportunity to de-select certain options just for the current . Simply find the option that you don t wish to use for this one and click into the box next to it to remove the tick. Attaching files You can now choose to attach supplementary documents to your Referral including DocMan file extensions (.TIF.xx2) saved to disk. 1. 7 2. You will be presented with the Select Attachment window: 3. You can now Browse to the location your file is stored using the standard file explorer icons (outlined in red above). 4. Next, click the Files of type drop down (outlined in blue above) and choose the file type you require. By default it is set to All files but you may narrow your search including the option for just DocMan Files (see below): 5. The filtered list of files will now show in the main pane (highlighted in red in the screenshot on the next page): DXS Functionality Overview 6

8 Filtered List of files: 6. Please click on the file you wish to attach and then click the Open button (highlighted in blue above). 7. You will now be taken back to the Send screen and your file will then show in the list of Attached files: 8. When you are happy that all the files are attached click the Send button to send the sent confirmation As requested by many people, when you send an a message will now appear with the words Your was successfully sent to confirm that the has been sent: Simply click OK when you are ready to move on.
