1 Referral forms for the EMIS Web clinical system To manage referrals, the staff member needs the relevant role assigned: B1700 Local System Configuration EMIS Web can convert EMIS-LV forms. Saving the referral forms To use the forms with your clinical system, you need to download them from the Knowledge Anglia site. nww.knowledgeanglia.nhs.uk Find the forms in the Forms section Right click on the SystmOne version, and select to save the xml file into a temporary location on your practice computer. E.g. desktop Google Chrome: Internet Explorer: To import EMIS-LV forms: 1. Save the file(s) to your desktop as above 2. Select the EMIS Button top left 3. Select Configuration Template Manager 4. From Template Manager, select Document templates NB. Relevant folders/subfolders can be created to organise the templates
2 5. Select required folder 6. Select Import 7. Select File of type: Non-Emis template 8. Select the file to be imported (downloaded from the KN website), e.g. tia_nnuh 9. The file will then appear in the selected folder:
3 Editing forms and changing mailmerge codes 1. To edit the file either: Select the file and click on Edit OR Right click and select Edit: 2. A test merge can be used to ensure that any existing mailmerge codes are performing as required. 3. To add new mailmerge codes, place the cursor where the code needs to appear, and double click on the required code to insert it. 4. Various codes, including Medication, can be set to specific requirements of the practice. Therefore you may wish to change this code. The code in the forms that carries across from EMIS- LV is set to merge all repeat medication, and all available fields. This can make the form very long and complex. Options available for the Medication merge code:
4 Each form can also include one free text prompt: 5. To save a file after testing/editing, select File, and Save As 6. Information to add to the Save Window: Template name and Description Document type Template status
5 Setting up Word on each PC 1. Select Customised Quick Access Toolbar 2. Select More Commands 3. Select Customize 4. Select Developer Tab from the Choose commands from downdown box 5. Select Protect Document (NB this is just below Protect Document without the dots!) 6. Click on Add>> 7. This will add the padlock icon to the Quick Access Toolbar 8. The following should also be added to the Quick Access Toolbar: a. Edit the QAT Customize Insert Tab Shapes - Add e.g. this adds the option to add shapes, which is useful if needing to annotate images on a form, e.g. for leg ulcer referrals etc. b. Edit the QAT Customize Developer Tab Design Mode - Add e.g. if the design mode needs to be exited, e.g.
6 Using Referral Forms in EMIS Web 1. With the patient open in a Consultation, select Document Create Letter 2. The top 10 used documents are displayed. Select one of these, or use the Find Button The search function enables filtering on a term, or browse through the hierarchy:
7 3. Double click on the required template this will then open and automatically merge data. To complete information in the form fields after mail merging: a. Click on the Padlock icon on the Quick Access Toolbar b. Tick Allow on this type of editing the document c. Select Filling in forms from the dropdown box d. Select Yes, Start Enforcing Protection e. If greyed out areas are not visible, click on the show field shading button to highlight these. 4. Save the completed template to the patient record File Save To follow the Hyperlinks 5. All forms with supporting text in the system have a blue hyperlink at the top of the form. These links only work if the document is unprotected.
8 To annotating Images 6. The Word drawing function can be used to annotate anatomical diagrams if they need to be marked as part of the form completion, the Word drawing function can be used. NB. This can only be done whilst the document is unprotected. 7. To See Drawing options select the Shapes icon from the Quick Access Toolbar (see earlier section of this document if this has not been set up) 8. Select an appropriate shape and draw this where required 9. Add a fill colour to the shape so that it is easier to see on the form
