1 Instructions for using pre-defined EMIS Web searches with CHART We would be grateful if you could feedback your experience of using the EMIS Web versions of our tools, particularly if you identify any anomalies in the data output. Please your feedback to: Accessing the searches In order to access the pre-defined EMIS search files, CHART and the relevant quality improvement tool(s) need to be installed on your computer. Please refer to the CHART instructions for help with this. You must also periodically check for updates (on the CHART home page) to check whether you have the latest versions of the searches downloaded. During installation/update of the quality improvement tool(s), the EMIS XML search file will be copied to the CHART folder on the C:\ drive of your computer, within the relevant tool sub-folder (e.g. Diabetes). Importing the searches 1. Within EMIS Web, open Population Reporting (click the round EMIS button in the top left of the screen and select Reporting, Population Reporting ). 2 2. Look for a folder called PRIMIS. If it does not exist, create one. To do this, click your practice name (blue bar) and then right click on the practice name underneath (where it shows the organisational icon - see image below and right). Select Add and then Folder. If the PRIMIS folder already exists, check whether a sub-folder for the chosen search topic also already exists. If so, check whether this is an old version of the search that can now be removed. Right click on the folder to delete it and then import the latest version (see below). 3. Import the xml search file into the PRIMIS folder (first ensuring the PRIMIS folder is highlighted by clicking on it). Click the Import button on the toolbar. A window similar to that shown below will appear: 4. Click on the three dots to the right of the Enquiry Document section and browse to the location of the xml file e.g. C:\CHART\Diabetes\EMIS XML Searches. Double click on the relevant.xml file and then click the OK button. The xml file will be imported and a new topic folder will automatically be created (this new folder name will automatically include the version number of the searches). In this new folder you will see further sub-folders containing the actual EMIS searches and reports (see image on next page). EMIS_Search_Instructions_V2.0 2 of 7 25 th October 2018

3 Running the searches 5. Right click on the topic folder (i.e. not the individual sub-folders but the main topic name with version number folder as shown above) and select run. A window will appear (shown right) asking if you want to run all the reports in the folder. 6. If you want to run the searches with a Reference Date of today s date, click Yes (the Reference Date is the date up to which the search will look for data entered). If you want to set a specific Reference Date, click the Advanced options link and the window will extend so that you can set your own Reference/Relative run date (shown below): 7. 4 8. To see if the searches have finished running, open the sub-folders one by one. Each search should have a number showing in the Patient Count column. Exporting the search results Search results cannot be exported en masse. They need to be exported individually. The sub-folder(s) containing files to export will say (files for export) at the end. Note that there may be more than one folder with items to export particularly where tools have case finder elements (e.g. Diabetes). 9. Open the first sub-folder with files for export. Right click on the first item shown and select View Results (you cannot export without first viewing the data). The results will now load on screen. 5 10. Click Export on the toolbar. Depending on the type of report being exported, you will be shown one of the following two export boxes: EXPORT BOX 1 EXPORT BOX 2 Whichever box is shown, ensure you select the CSV option. If you get Export Box 2, you can also choose to tick Override hidden patients where possible if you wish to include any hidden patients on your system (if this is enabled on your system setup). 11. Browse to the location where you want to save the responses. This should be the folder that CHART is mapped to (refer to CHART instructions for more information). This folder must be located on a secure network drive eg. S:\CHART\Responses EMIS_Search_Instructions_V2.0 5 of 7 25 th October 2018

6 Important Notes: DO NOT change the default name given to the response by EMIS DO NOT save EMIS Results and Results in the same folder Some reports (particularly from case finder audits) may take several seconds to save 12. You must repeat this for every file within the sub-folder (in our illustrated example, this would be seven files). 13. You also need to repeat this process for the content of any other sub-folder that is labelled files for export. 14. Once you have done this for all the results you can then load the responses into CHART and view the analyses immediately. Loading results into CHART 15. Open up CHART. 16. Click on the Display Practice Results button 17. Browse to the location of your exported search results e.g. C:\CHART\Responses\EMIS Search Responses 18. Select your responses and they will now be analysed and presented within CHART EMIS_Search_Instructions_V2.0 6 of 7 25 th October 2018

7 Information about and EMIS population reporting files GENERAL A HQL query file will create a CSV response file with the same name. A XML query file will create a CSV response file with the same name. All queries that are for importing into EMIS Reporting Manager will be xml files and have a suffix of _EMIS SUBSETS These queries create a response file which contains a single number, which represents the number of patients who have specific characteristics subsets begin with AA EMIS subsets have weird names, but will all be found in the Searches folder ANALYSE FILES These queries contain multiple numbers, as they break down a subset of patients into bands, e.g. by age or sex. and EMIS Search Analyse queries all begin with CC RESPONSE FILES These contain extracted information, e.g. codes and dates. Some will contain patient identifiable data and some will contain pseudonymised data. Response files tend to end with REP or REPA Response files containing pseudonymised data will end with A DIAB.HQL will create DIAB.CSV AADIAB.CSV CCALL.CSV ASTREP.CSV ASTREPA.CSV INRTTR2_EMIS.XML Will create INRTTR2_EMIS.CSV INRTTR2_EMIS.XML CCALL_EMIS ASTREPA_EMIS.CSV ASTREPA_EMIS.CSV It is strongly advised that you do not put and EMIS Response files in the same folder.
