1 Black Diamond Investor Experience - Frequently Asked Questions Document Storage/Document Vault How much document storage is available? Each advisor (firm user) has one (1) GB of storage available, per investor, for document downloads. When the same document is made available to a group of investors, the size of the document only counts once towards the document storage limit. Black Diamond PDF reports do not count towards the document storage limit. Each investor has 1GB of available storage to upload documents to their advisor. When should I use the Reports cards instead of the Document Vault? The Reports card was designed to allow report-sharing by firms who prefer not to use the Document Vault. My firm does not use the Document Vault, but we don t want the documents folder to appear empty to our clients. Firms can populate the documents folder with, for example, a welcome message, so the folder won t be empty. Is there a character limit for document titles? The maximum length of a document file name is 50 characters. What types of files can advisors share? The Document Vault supports the following file types:.pdf (Adobe Acrobat Portable Document Format).doc and.docx (Microsoft Word).txt (Plain text).csv (Comma-separated values).xls and.xlsx (Microsoft Excel).ppt and.pptx (Microsoft PowerPoint).jpg,.png,.tif,.gif (Graphic file formats) Video and audio files are not currently supported. Can I send password-protected docs through the vault? While the document vault does not incorporate password functionality, the firm can use the built-in encryption features available in many software programs (including Microsoft Office and Adobe PDF files) to protect a file prior to sending it. 2 When I send a document notification, is the document attached to it? No, the user must log in to access the document. Can my firm s employees open any document sent to us? Can they send a document to any client? The firm can restrict its own employees access to files in the Document Vault, including the ability to download or upload content. Can Black Diamond personnel download documents from the Document Vault? No, that would violate security protocol. Black Diamond personnel can only view the Recent Activity stream on the Documents page, which logs the file name, date, and both the sender and recipient of the shared file. BD personnel cannot open or read any document content. Security What are the general security features of Investor Experience? General: Only authorized users have access to Investor Experience and must log in to access the web site. The firm can adjust the site s security settings to enforce requirements for password length and complexity, number of login attempts, and more. Roles: The actions that can be performed by a firm s employees are defined by the permissions associated with their assigned Role. Document Vault: The firm can restrict its employee s access to files in the Document Vault and set restrictions on the uploading or downloading of content. Black Diamond users cannot download documents that the firm puts in the vault. Client Communications: As part of its security settings, the firm sets up a compliance address that allows the firm s existing retention system to receive a bcc version of every message sent to clients from within Investor Experience. What will happen if I don t enter a compliance address in the Security Settings of Firm Administration? If there is no compliance address set up, the Investor Experience will not send messages to notify investors that new documents and highlights are available. Will Black Diamond provide a security certificate for Investor Experience or for the Document Vault? Black Diamond has documented its corporate security standards to provide its clients with transparency into the means by which client data is protected. We do not have a security certificate specifically for Investor Experience or the document vault. 3 Roles What is the purpose of Roles? Roles, which are assigned to firm users, allow the firm to control each user s level of access to the site. Each Role has its own set of permissions and every firm user must be assigned to one. Each user should be limited to only the permissions needed to effectively do their job. If job responsibilities change, the user can be assigned to an upgraded Role. What access does the Firm Administrator have? Anyone who is assigned to the Firm Administrator Role automatically has access to edit all Investor Experience settings for their firm. The Firm Administrator settings cannot be edited. The firm can assign more than one person to the Firm Administrator Role. Mobile Device Responsiveness/Limitations What does Investor Experience look like on a smartphone? The default view on a mobile device is a single card of data. Why can t I see the full-page card view on my mobile device? The Investor Experience display is based on the features of the mobile device and its associated browser. Since each screen on a phone represents a single card, the full-page data display is not part of the mobile device experience, even in landscape mode. The card settings for a Client Profile can be used to limit the amount of data displayed on a card to optimize the mobile experience. Is the Investor Experience available as an app? No. Investor Experience is a responsive platform that automatically adjusts its display to the size of the screen on the user s device. The user visits the same Black Diamond web address, no matter the device used. Client Profile What is the purpose of the Client Profile? The settings in the Client Profile define everything about the user experience except the branding, which is set at the firm or team level. The settings determine the default investor view for an individual Profile. Is there a limit to the number of Profiles that can be created? No, there is no limit. The investor view is defined by the cards displayed to each user. What is a card? Cards are the building blocks that allow the firm to create a customized user experience. Each card includes content that presents a different view of the investor s financial picture. Guided Last Modified May 6,

4 by the type of investor, the advisor can select and customize a grouping of cards to present information in the manner most appropriate to each type of client. Can I limit the number of cards displayed? Can I customize the way that cards are displayed? Investor Experience is fully customizable using the Client Profile settings. The advisor selects the number and type of cards to be displayed and how they are arranged. Multiple versions of the same card can be included in a Profile. Many cards have options that control the amount of detail displayed to investors. Can the card display names be changed? Yes, the firm can change any card display name. Does Investor Experience include a default Profile? Yes, two default Profiles are pre-loaded for each firm to use as a starting point. Browser Requirements Does Investor Experience support all Internet browsers? The only limitation is for users of Internet Explorer (IE), since all other browsers automatically update to the latest version. BDIX requires IE Version 10+ in order to deliver the full user experience. Any user who logs in to Investor Experience with an older Internet browser will encounter a warning message. They can still use the site, but the message tells them that Investor Experience may not function as intended. The warning message will include links to the latest versions of popular Internet browsers. Username Requirements Is there a maximum or minimum length for the username? The maximum length is 25 characters, with no minimum. Can I use an address as a username? Yes, but be mindful of the 25-character limit. Why is the system telling me that my username is already in use? The username directory is global so your preferred username may not be available. Can I change my username after I set it up? 5 Firm Administration and Branding Can a firm change its customized Investor Experience URL after initial setup? No. My firm uses multiple logos. How do I set up the Investor Experience to accommodate that? The only way to accommodate multiple logos within a firm is to set up Teams. General What price does Black Diamond charge for clients to use the Investor Experience? There is no charge associated with use of the Investor Experience. It is available to all Black Diamond client firms to be used, at their discretion, with all of their clients. Can I associate more than one address with an individual user? Only one address can be associated with a user name and login. Investor Experience notifications will only go to a single address. Should I set up new firm users in BlueSky or in BDIX? New firm users should still be created in Black Diamond s BlueSky platform. A BlueSky user can be enabled for Investor Experience. Should I set up new client users in BlueSky or in Investor Experience? New clients should be set up in Investor Experience and assigned to a Profile. This allows you to customize their user experience. An existing client who has a BDIX profile, but tries to log in to BlueSky, will be automatically redirected to BDIX. What data is carried over from BlueSky into the Investor Experience? All account-related data in BlueSky is carried over into BDIX. Last Modified May 6,
