2 Addition of new Item Formats: Movie DVD Spoken Book CD-ROM Music Recordings (CD, LP, DVD) Sheet Music We are considering adding all of these Formats to ZPortal and VDX. What do you think? Sort options: 2 possible levels / criteria Available sort options are: ILL Number Requested Title Need Date (ascending) Expiry Date Current Responder Location (Code) Current Responder Name (Long Description) Requester Name (Long Description) Requester Location (Code) These sort options are available when creating a new search in the Requests / Advanced search module as well as from the results display for a Standard or Advanced Search, or from the results display of any Work Queue heading. Saving a search also saves the sort options used. / New Title / Author Keyword search option. The new fields composer, artist, performer, etc. are treated as authors. New field Patron Name: automatic truncation (right / left). ILL Numbers Search includes all numbers (Illno, TGQ, TQ, STQ, Supplier ref., etc. Supplier Reference = OCLC number Truncation allowed
3 Not case-sensitive ISBN and ISSN search are combined in the same search: ISBN/ISSN Location code search (any symbol) Before CODE only (upper-case) Not case-sensitive Date search: Due Date, Date Created, Date Shipped, Need By Date, Expiry Date Standard Search includes Borrower and Lender requests. (There are no longer separate menus for Borrower and Lender roles) The ILL Numbers, Borrower Code, Lender Code, Patron Name, and ISBN/ISSN searches are as described for the Advanced Search For the WEB Administrator, it is now possible to run a search against all locations within the same Bureau Enables a search to be run against all locations within the same Bureau Available for both Standard Search and Advanced Search in the Request module Will not be available to everyone TBD per site Allows searching against a specific location within a Bureau Available for both Standard Search and Advanced Search in the Request module Will not be available to everyone (Tell us who for your site) Note: All the options available with de Standard Search and Advanced Search may be used, i.e. Authorisation, Action, etc. REQUESTS: Clickable Note icon ( ) in the hitlist display Displays the last Note received or sent

Process Status: No longer used in VDX version 6.0 Will still show under Requests Advanced search, until September 2012, for follow up purposes. (This date may be extended) No longer usable in Request Details, once VDX version 6.0 is implemented Process Status replaced by Site Actions. These actions will appear or not depending on the Status of the request. New Actions: SA Cancld as Requested SA Received 2nd SA Not available SA Not located SA No ILL SA Overdue SA Renewed SA Renewl denied Ability to Lock/Unlock requests Bureau Admin: Can lock and unlock any ILL request, in their name or for any ILL Staff in their Bureau. ILL Staff: Can lock and unlock any ILL request in their name. 1) Operation: Lock a request Select the request to Lock by clicking in the checkbox which appears in the upper left-hand corner of the request hitlist display. Then click on the Lock button. The requested title will appear in red and a Padlock icon will appear to the left to indicate that this request is locked.
5 No other ILL staff will be able to take an action on this request, except for the user who originally locked the request. (The dropdown Action menu will no longer appear). 2) Operation: Unlock a request Only the ILL staff member who locked a request may unlock a request, as well as the Web Administrator. To do this: Select the request to Unlock by clicking in the checkbox which appears in the upper left-hand corner of the request hitlist display. Then click on the Unlock button. Or If you are the ILL staff member who locked the request, you may take an action on it, which will have the effect of automatically unlocking the request Reports (Printable Lists) available at any time for a specific request (Details display) Pick List Shipping List Received List Returned List Etc. ILL Request Details: Possible to display or hide each section of the request These options are retained after the session is logged out
6 Simplified entry of a Call Number for a location in the Rota dummy control number no longer required Notes: User notes (Special Instructions in ZPortal) display when the Request action is taken, with an option to copy the content to an Item Note Public Notes now display the author of the note Public Notes, Private Notes and Patron Notes are available when taking an Action : The note is transmitted with the action but the partner or the user is not alerted (unlike message Actions Send Public Note, Send User Alert) Patron note entered during an action taken by ILL staff: this note is not sent by , but rather added to the request details in ZPortal. Other: Staff members are identified for actions in the request History Number of physical items shipped for a request (New field) Not on the Shipping List or Received List (to be added) Only partners using VDX version 6 (Laser/ISO) = Transmitted
7 Published Searches: Ability to create new Work Queue Headings Will be primarily used for the complex searches found in Daily Management of Requests We can create searches for the specific needs of each institution Ability to customize by institution, i.e. select which new Headings will appear or not in your Work Queue Other: Default DUE DATE and SHIPPED bulk action COPY: DON T FORGET to remove the DUE DATE if the service provided is COPY. If not, the DUE DATE will appear on the Shipping List and on the borrower s Receiving List. COPY with DUE DATE: No effect. The transaction will be Completed for the lender with the Shipped action and for the borrower with the Received action. AUTOMATED overdue notices to the borrowing library First Notice sent based on number of days after the Due Date. Following notices sent at regular intervals based on X number of days after the first Notice. Possible problems: 1) Generic Script (Informed Returned). 2) OCLC- WCRS: Not transmitted to OCLC partners. AUTOMATED overdue notices to the user First Notice sent based on number of days after the Local Due Date. Following notices sent at regular intervals based on X number of days after the first Notice. Only one User Alert configurable by the lending library Possible to limit by par Status (Received / Overdue / etc.) Mandatory Due Date It is possible for the lender to make the Due Date mandatory for a request where Service Type 1 = Loan The online ILL Request Form now requires a Service Type to be selected:
