2 Session Description 2-5 Managing PJ Doc s Transmittals, Submittals & RFI s Lab Presenter: Don Bannister Knowledge Level: Basic Who Should Attend: Users new to the Project Management (PJ) module - project managers, project coordinators, project accountants and project assistants or experienced Sage 300 CRE accounting users who need to understand Project Management workflow Prerequisites and/or Advance Preparation: Attendees of this session should be familiar with construction project management techniques, basic Sage 300 CRE structure and workflow. Learning Objectives/Description: This class will focus on the step-by-step tasks involved in entering & sending Transmittals, Submittals and managing Requests for Information (RFIs), including: How to create & send a Transmittal Create and send an RFI Open & Log an RFI answer Create Submittal Log Enter Submittal and forward to architect Enter Submittal status and return to vendor Enter Submittal Revision

3 Transmittals What do we use Transmittals for? Transmittal documents are cover letters that you send with project documents or project items, such as samples. They provide a recipient, who might be a vendor or contractor, with the following information: What you are sending? How you are sending it? Why you are sending it and the response you expect?

4 Transmittals What do we want to do? Create a transmittal Add an item to a transmittal Change information on a transmittal Delete a transmittal Copy a transmittal Add an attachment Add internal attachments to a transmittal Enter information in custom fields Print a transmittal Send a transmittal

5 RFI s The request for information (RFI) is used for documenting a communication process related to a job or project. This includes requesting information, clarification, or direction from project participants. An RFI can originate from a variety of sources, such as subcontractor or general contractor (GC). RFIs typically are routed through the GC. The GC creates an RFI document and sends it to the party that can provide a response. When an answer or reply to the RFI is received, the GC records the answer and forwards the completed reply to the appropriate parties, such as subs, suppliers, and contacts in the field.

6 RFI s What do we want to do? Create an RFI Find an RFI Change information in an RFI Delete an RFI Add an attachment Create a change request from an RFI Create a transmittal for an RFI Send an RFI Enter an answer to an RFI Forward an RFI Print an RFI

7 Submittals Use a submittal to record and track the process of receiving, sending, reviewing, revising, and approving materials for a construction project. After a submittal is approved, contractors know what materials and products to use on a job.
