2 Highway User Administration Login to Highway User Administration The RCRS is a Web-based system. To login to the RCRS Highway User Administration follow these steps: Open Microsoft Explorer Go to Yukon 511 Index site Select the Highway User Administration Link The Highway User Administration log in screen will appear. Enter your ID: and Password: Select the Login button Highway User Administration Page 2
3 Highway User Administration Overview The Highway User administration allows the Administer to: Add Users - add a new user to the system. Edit Users - update or change data and passwords of the user. Delete Users - remove a user. (select edit) Reminders allows set up of mandatory updates times as well as identifying which users will receive the reminders (notices). Administration screen overview: Add User Enter in the information *ID: *Password: six characters Name: Position: Notes: as needed *Access: *mandatory fields Highway User Administration Page 3
4 Access: allows the administrator to select the reporting base that the user has access to or create a New Admin person. You can add and delete the access as needed by using the edit section of the program. check the reminder: box if the user will receive be the first, second, or the third reminder. Example: a Lead Hand would receive the first reminder notification, a Supervisor would receive the second reminder notification, and the District Manager would receive the third reminder notification. Select the Add User Button Edit User Select the edit link next to the name of the User that you want to make revisions to The following may be done in the Edit mode: Change passwords Update reminders Adjust a users position Add notes Add or Remove reporting areas Passwords: The edit page lists current users, although it does not show the passwords. If a user password is forgotten, a new password needs to be created. You do not need to know the old one just type in a new password. (6 characters) Highway User Administration Page 4
5 Add or Remove: select from the drop down menu either Admin or select an area. Select either add new or select the remove next to the area the user will no longer have access too. Select the Done button when the changes are complete. Delete User Select the edit link next to the user name to delete. Select delete user Select the Done button when complete. 6 Reminders: Winter Season Reminder confirmation Overview Required update time: allows the set up the required reporting times. Select the mandatory reporting times in a day. Check the box the appropriate update times. You can have up to 3 required times. For example: 7:00 a.m., 11:00 a.m., and 5:00 p.m. How many minutes late before we send an time set up: ( 1: 2: 3:) You can use all three or disable any specific reminder. From 5 minutes to 4 hours late when an notification is sent to the specific user address For Example: Reminder 1: you may want the sent to the Lead Hand as a reminder to update road conditions. (20 minutes after the mandatory update times; 7:00 and 11:00 a.m.) Reminder 2: you may want the second reminder to go to the Lead Hand Supervisor for that Reporting Base. (45 minutes after the mandatory update times; 7:00 and 11:00 a.m.) Reminder 3: can be disabled or used to be received by another Supervisor or District manager. (Approx 4-6 hours in the case of Lead Hands are on vacation or staff changes. Select the Save button when done. Highway User Administration Page 6
7 Update window Provides the ability to set the amount of time before the mandatory time an update may be performed without an reminder being triggered. Update window can be from 15 minutes to 6 hours For Example: Required update time at 7:00 a.m. Reminder for 20 minutes Update window for 1 hour If you updated at 5:59 a.m. you will get a reminder at 7:20 a.m. If you update at 6:00 a.m. or 6:01 a.m. or 6:59 a.m. you will have updated in the 1 hour window and the reminder will not be sent. If you update at 7:15 a.m. the reminder is set for 7:20 a.m. then you will not get a reminder . If you updated at 7:21a.m.; when you check your you will have been sent a reminder at 7:20 a.m. *Users have numerous variations as to reporting times, reminder notification, update windows and also who will get the notification and how long after the reporting time.* Highway User Administration Page 7
8 Highway User Administration (IABR) Reminder s for Incident and Activities with start and end dates. If a start and end date have been added. Reminder s can be automatically sent out so that when the end date is approaching the creator will decide to; *update: to a later date if the incident/activity is still ongoing or not yet complete. *remove: if the incident/activity is complete. When to send reminders options are: For example Start date: April 23 rd to End date: April 30 th Who will be reminded: In addition to the creator Base Administrator Base Manager Systems Manager Remember to Save.
