4 Customizable Agent s Customizable Job Agent s The top portion of your Job Agent is now customizable! This new feature will allow you to customize the content of the students will receive with their job agent results. This is available on all CSO systems. To change the intro paragraph on your Job Agent , follow these steps: 1. Go to Tools > Setup > Memos 2. Select the Student Role 3. The Memo you will select will be Job Agent Intro 4. Make applicable changes 5. Click Save and Refresh Page 4 of 18
5 Customizable Event Agent s The top portion of Event Agent s are also now customizable! This new feature will allow you to customize the content of the students will receive with their Event Agent results. This is available on CSO Basic, Pro, and Enterprise Systems. To change the intro paragraph on your Event Agent , follow these steps: 1. Go to Tools > Setup > Memos 2. Select the Student Role 3. The Memo you will select will be Career Event Agent Intro 4. Make applicable changes 5. Click Save and Refresh Page 5 of 18
6 Timeline Templates Timeline Templates for Interview Schedules This new feature will allow Admins to set up specific times for Interview Schedule Timeline actions to occur. To add the start and end times you want for your Schedule Timeline Templates: 1. Go to Tools > Setup > Schedule Timeline a. Each signup method will have a time associated with it, which defaults to what it currently is in the system (12:01 am and 11:59 pm) 2. Update your default time. Setting up defaults means you will not have to edit them every time. a. NOTE: These apply only to new schedules 3. Press Save and Refresh Page 6 of 18
7 Rooms-Only Scheduling Rooms-Only Feature If you need to reserve a room only using the Interview Schedule Wizard, you can now use our newest schedule type, Rooms-Only. This new option will allow you to reserve an interview space for an employer or other event without requiring you to complete the same steps and fields needed to create a full interview schedule. This is available on CSO Pro and Enterprise Systems. To use a Rooms-Only schedule, follow these steps: 1. Go to Tools > Setup > Codes 2. Choose Code Type Schedule Type 3. Choose Value Rooms Only 4. Make sure Code is Active is checked. 5. Click Update Selected Code to Save 6. Click Refresh When you create a Rooms Only schedule, there will be fewer steps/requirements than other schedule types. 1. No Interview Session Preference field 2. No Configure Timeslots section 3. No Schedule Timeline Template field 4. No schedule timeline at all in the schedule 5. Your session does not need any timeslots Page 7 of 18
8 A Rooms Only schedule is viewable only by admins & employers (not by students). A memo will appear at the top of the Rooms Only schedule to admins to remind them that students will not see the schedule. This memo can be customized & is called Schedule - Rooms Only Notice. 1. Go to Tools > Setup > Memos 2. Choose the Role: Admin 3. Choose the Memo: Schedule Rooms Only Notice 4. Make necessary changes 5. Press Save and Refresh The schedule will become inactive once the last session date has passed. Page 8 of 18
9 Student Passthrough New Option with Student Passthrough Login If you use Student Passthrough, you will now have the option to not have to run regular uploads of student data. With this new feature in Student Passthrough Login, when a student s username is not found in the passthrough token, the student will be routed to the Registration Page rather than receiving a login not found message. This will also prevent the need for running regular student data uploads. This is available on CSO Pro and Enterprise Systems. To Enable Passthrough Registration, you must call CSO Support. Once it is enabled, follow these steps: 1. Go to Tools > Setup > Settings 2. Click Edit next to Student Allow Student Passthrough Registration 3. Change this value to True 4. Press Update and Refresh Room Reservation Billing Fees for Room Interview Space If you have ever thought you might want to charge a fee to Employers for interview space, you re in luck! We have added the ability for you to use CSO Credit Card Processing to incorporate billing into your room reservation process. Note: If you choose not to use paid room reservations, you will still gain some great new features, including: 1. The memo on the Room Reservation page 2. A new field on the Room Reservation page (Interview Type) 3. Column headers on each page of the Room Reservation search results 4. An link in the Room Reservation search results Page 9 of 18
10 There are several Administrator Setup Options available for this feature: 1. Determine charge amount per room reservation: a. Tools > Setup > Settings >> Room Reservations - Payment Amount b. NOTE: This option also turns ON the payment option! 2. Determine how many days an unpaid reservation stays in the system: a. In Tools > Setup > Settings >> Room Reservations - Unpaid Pending Lag Days 3. Modify the memo that will appear to employers on the Room Reservation pop-up box a. In Tools > Setup > Memos >> Contact: Room Reservation Make Reservation Page 10 of 18
11 4. New field called Interview Type in the Room Reservation process a. In Tools > Setup > Codes>>Room Reservation Interview Type 5. Modify the Room Reservation (the sent after the room is paid) a. In Tools > Setup > Templates >> EMPLOYER Room Reservation Complete 6. Modify the text that will appear in receipt a. In Tools > Setup > Memos >> Contact: Room Receipt Header (and Room Receipt Footer) This will also add some new steps for Employers: 1. Log in & go to Interview Schedules > Room Reservations 2. Click Add New Reservation on the left Page 11 of 18
12 3. Select Make Reservation on a calendar date 4. Note that there are some additions on this pop-up window: a. New Memo at the top b. Amount to be charged (and this will change based on the number of rooms employer selects) c. Interview Type 5. Once you click Reserve, you will be taken to Credit Card page. 6. Enter Credit Card info 7. Once the Credit Card info is accepted, employer will a page with 3 options: a. Reserve Additional Rooms b. Create an Interview Schedule c. View Room Reservations List 8. After employer successfully submits payment, their reservation is automatically approved. Page 12 of 18
13 a. Unpaid reservations will remain pending (so the only reservations you ll see in the Pending Bin will be unpaid). b. After X number of days (as set in Settings) unpaid, the reservation will be removed from the system. Next, you might be wondering what the processes are from the Admin side: 1. Databases > Room Reservations > Search a. You ll see this search page is more robust. The search results include: i. Column headers ii. link to contact those with room reservations (the golden icon) iii. A drop-down box to change the status of a reservation for any that aren t assigned to a session yet 1. Primarily you will use this to change a reservation to Cancelled. You likely won t be changing from Pending > Active since it will be made active automatically once the employer pays. iv. A refund link on the far right for those reservations that have been paid. 2. You can set a specific contact to never pay for Room Reservations a. Databases > Contacts > Search b. Look up contact profile c. There is a field called Payment Waiver. If you choose yes this for the contact, they will see their fees waived with every reservation (and all reservations will automatically be made Active) 3. To make a reservation on behalf of a contact, you ll need to Login As the contact & follow the steps noted above for employers. Page 13 of 18
14 4. To request a check, go to Databases > Room Reservations > Request Check. a. Once a check request is made, any reservation payments included in that cannot be refunded. Page 14 of 18
15 Check-In Encrypted Check-In We know how important data security is to you, your students, and to your institution s IT staff. With Encrypted Check-In, student ID data collected at check-in (the Check-In ID) is encrypted. If you need to encrypt the Student ID (for example, ISO number) within the student profile, your Client Relations Manager can activate this feature for you for free. In addition to that, if you use the Check-In module, you can use it against the encrypted Student ID. This is available on all CSO Systems using the Check-In Module. If you would like to change this setting, go to Tools > Setup > Settings and change the setting System Checkin Encrypt Checkin ID, set to True. Login Page Unique Alumni Login Page If you have longed for unique login pages for Alumni, the wait is over! With this feature, you will be able to have a unique Alumni Login Page in addition to your existing Student Login Page. The Alumni Login Page will have its own memo section, so you will be able to tailor the instructions specifically for your Alumni. This is available on CSO Pro and Enterprise Systems using the New Student Face. Note: For schools who were not able to use LDAP because they had students but not alumni users logging in through their LDAP server, you can now enable LDAP and allow students to use the Student Login Page with LDAP and have your Alumni register in your CSO system on the Unique Alumni Login Page. 16 The new login page is at This is a separate login page that still logs the user into the student portal. There is a new memo on this page called Alumni Login Page. In the student profile, there is new field under Control Information called Login Portal, and the allowed values are Student and Alumni. The purpose of this field is to determine which URL students/alumni receive in s. This field can be populated by individual editing, custom upload, or mass change. The <Login URL> merge code will populate in s to users designated as alumni. NOTE: Schools that uses LDAP for students, but not Alumni, are required to use this field. Page 16 of 18
17 To turn on the Login Portal field, follow these steps: 1. Go to Tools > Setup > Permissions 2. Click on the plus sign next to Forms and the plus sign next to Student 3. Locate the Control Information permissions 4. Change the permissions for Login Portal Edit and Login Portal View 5. Click Refresh NOTE: If you are using LDAP, you will want to upload Student and Alumni into the Login Portal Field. There is also an ability to Mass Change. Employer Login Page 17 of 18
18 LDAP for Employer Login If you have an existing employer database, you will be able to use the LDAP Employer Login to authenticate employers in the database and route them directly into your CSO System. You must upload all of your employer contacts and turn off CSO s employer registration. For Employer LDAP, you will need to use the same LDAP setup. If you are already using LDAP for Students, Alumni, or Faculty, you can utilize this feature at no additional fee. If you think this is something you want to use, please contact support. NOTE: This feature is primarily for Student Employment/Work Study and Financial Aid Office Clients where all of the employers are on-campus and are able to login through your LDAP server. What is LDAP? LDAP stands for Lightweight Directory Access Protocol. It is an Internet protocol that and other programs use to look up information from a server. If you do not use LDAP as part of your student login process or you do not use your CSO System to manage student employment/work-study, these last two features do not pertain to you. If you do use LDAP, you are probably pretty excited about these last two features! Page 18 of 18
