2 There are several different methods for getting word out to the Portland-Metro Community about your event or item: Oregon Tech Smart Phone App TV Displays in lobby (big screen) and common areas (small screens) Oregon Tech Weekly (Published each Monday during term, hung around campus & ed to students) Stall Street Journal (Monthly-ish ASOIT publication hung in bathrooms) Social Media - Facebook and Instagram Bulletin Boards around campus University Calendar (On Web site, displayed on home page, feeds into the app)
3 The following slides will go more in-depth about each method, but the first thing you need to know is that most methods* will be routed though the Portland-Metro On-Campus Marketing Form: * University Calendar and some postings on the Portland-Metro app are selfservice

5 Oregon Tech Smart Phone App
6 Oregon Tech Smart Phone App If you are a club on campus the first place you need to advertise your event is on your club s group within the Oregon Tech Portland-Metro Smartphone app. This will be the most direct way to reach people already interested. Advertising on your club page is self-service (by the club s app administrator) If you have an event that is not sponsored by a club, we can help determine how to best use the app to help advertise. This include everything from having it as a calendar item to having it as a Featured Event button. Please select the Oregon Tech App option within the marketing form.

14 1. Open Powerpoint, Create a Blank Slide 2. Click on the Design Tab > Slide Size > Custom Size Easiest way to create a slide for the TVs is to: 3. Set Slide size to 56 x Design Your Slide Remember: Slides only display for a short time (15 seconds) and people are generally not engaged in watching very long. So KEEP IT SIMPLE but don t forget WHO, WHAT, WHEN, WHERE, and sometimes WHY and HOW if applicable. Once your slide is received by staff, we will upload it to the screens around campus to join the slide rotation.
15 When your slide design is complete: 1. Click on File > Export > Change File Type > JPEG File Interchange Format > Save As 2. Once your file is saved as a jpeg, submit your event and upload the file though the On-Campus Marketing form
16 Oregon Tech Weekly 11 x17 paper newsletter publication Published each Monday during when classes are in session Hung around 25 different spots on campus Also ed out to students Includes small graphics, text blurbs, calendar of events Deadline is noon on Friday To submit your event, please use the On-Campus Marketing Form to upload details and graphics
17 Stall Street Journal The Stall Street Journal is a 11x17 student produced publication that was created to connect students to their campus, fellow students, professors and faculty, and ASOITW. Each month, the newsletter features a calendar of events, an interview with a student and professor, and various sections about club and campus activities. If you are a club that would like to have a section in the Stall Street Journal, or you are a student who would like to get involved, please contact the ASOITW Communications Officer or select this option on the On-Campus Marketing form.
18 SOCIAL MEDIA
19 We current utilize Facebook and Instagram as our social media platforms*. To submit an item for social media publication, please submit your details on our marketing form. The ASOIT Communications Officer or Student Services Staff will post on your behalf. *Both of these are specific to Portland-Metro, but if warranted and relevant to the entire community we can reach out to the University-wide social media administrator to widen the reach.
20 A few tenets that will factor into what we post on social media We will try to avoid posting multiple times per day We will keep content varied (representative of all programs, activities, campus programs) Content will need to reach the entire Portland-Metro audience (i.e. not just your club) Be positive and uplifting Has a specific purpose and desired outcomes Anticipation of potential comments or responses Creating events is preferred over wall posting We will avoid sharing posts from external sources Social media postings are public and content will be appropriate and relevant for all
21 Bulletin Boards Around Campus There are currently eight bulletin boards on campus. These are maintained in a joint effort between ASOIT and Student Services and there are certain rules you should be aware of before you hang up your flyer:
22 Flyers/Posters must be approved by ASOIT or Student Services admin before being posted. Anything not stamped approved is subject to immediate removal. Flyers/Posters may only be posted on approved bulletin boards. DO NOT tape flyers to walls or windows; DO NOT tack to walls or surfaces other than bulletin boards; do not leave flyers around to create paper waste in common areas. Please remove your flyers within a timely manner (i.e. upon event conclusion or offer no longer relevant). Bulletin boards will be completely cleared between every term. Please see ASOIT or Student Services for full rules and guidelines regarding bulletin boards and advertising around campus.
23 Portland-Metro Web Site Calendar Self-Service (Mostly) 1. In your Web browser navigate to (You can also click on View All Events under the calendar listings on the Portland-Metro home page) 2. In the upper right corner, hover your mouse over the arrow by guest and then click Submit Event 3. Fill in as many relevant details for your event as possible. If you would like your event to be a Featured Event you must upload an image. Don t forget to select the Portland-Metro calendar option for your dropdown as well! 4. When you are ready click Finished to submit your event. Staff will receive a notification and will approve/edit/deny your event.
24 Your event will appear on Portland Metro Web site as well as the app!
25 What about campus-wide s? We have a very difficult time with students reading s from us so every communication is important. The student distribution list is for: Messages that directly relate to University business Messages that alert the campus community of health and safety issues Messages that relate to changes in University policy or time sensitive procedures Messages that inform a select group of people (e.g. students in a specific class, members of a business organization, all financial administrators, etc.) of an event related to their specific role within the University. Therefore we cannot send out messages about club events and activities via the distribution lists, campus-wide surveys relating to a specific class or project or individual requests for assistance or announcements.
26 Helpful Hints to Effectively Communicate and Advertise Do not forget to include: Date/Time, Location, Contact, Cost and essential event details/procedures (but don t get overly bogged down in minute details) Do not use profane language or images that may be deemed inappropriate, graphic or offensive (nudity, drug/alcohol references, derogatory terms, etc.)
27 Make your images eye-catching with colors, logo or relevant picture, but don t overload with graphics or too many design elements (i.e. limit fonts to two). If in doubt take a less is more approach. Proofread, proofread, and proofread again! Glaring spelling and grammar will distract the reader from the actual information. Have a friend review your content or stop by ASOIT or Student Services for assistance.
