2 With Sammy, you can the following to your patients: 1) Messages directly from the patient chart 2) Letters from the Letter Generator program 3) Patient Statements (single/multiple) 4) Clinical Summaries 5) SamNotes Referral Letters In order to use these features in Sammy you must first configure the settings for . Setup To send through Sammy, Office Setup must contain an address for the practice. This address will show as the reply-to address on all s sent through Sammy. 2 P a g e
3 An address must exist in each patient chart you wish to to. Feature Flag 133 (Turn feature(s) off) must also be unchecked. 1. At the Patient Chart, Click 'Make Changes' so that you can edit the chart. 2. Click 'More Patient'. 3. On the Patient Info Screen, click 'Make Changes'. 4. Type an address for this patient on the first line. 5. On the Patient Info Screen, 'Save & Exit'. 6. On the patient chart, click 'Save / Exit'. 7. Click the green button labeled 'EML' that now appears on the patient chart next to the patient's name. 3 P a g e
4 8. At the To: window, Click ' Settings', ' Setup'. 9. Enter the outgoing mail server (SMTP server) and Port you use for . If you have an program on this computer, you can check your settings to make sure you have the right outgoing mail server. In most cases, the port will be 25. For Verizon or other ISP that require authentication, the Port should be 587. * Port 465 (SSL) is not supported by Sammy at this time Depending on your ISP (internet service provider), you may be required to use your username and password to send (many only require it to receive ). If you are unsure, check 'My outgoing mail server requires authentication'. 11. If you checked the box, enter your username and password. Your ISP may require your full address for the username. (Verizon DSL in NY requires authentication with the full address.) 4 P a g e
5 12. Click 'Save'. is now setup. from the Patient Chart 1. At the patient Chart window, click the 'EML' button next to the patient's name. If the button does not appear for this patient, they have no address setup. 2. Type in a subject and body of the e- mail. 3. Click the 'Sign It' button to add your name and date to the end of the e- mail. 4. Click 'Send E- mail'. 5. Click 'OK'. Your has been sent. 5 P a g e
6 from the Letter Generator At the main window displaying the letter, a new button labeled ' ' appears at the bottom of the window. This ' ' button will not appear if the setup is incomplete. Make sure the patient exists in the patient's chart, the practice address exists in office setup, and the server has been set up (see above instructions) 1. To Send an , complete the letter. Click ' '. 2. Check to make sure the address is correct. 3. Click 'Yes' to send the . 6 P a g e

Patient Statements You must allow patients to receive their statements via by: 1) entering in the patient address, and 2) checking the statements box These options are located in the more patient area of Sammy. If you want to send a statement to one patient, click the statement button on the patient chart screen. When the statement appears (as below), click statement to send it out. If you position the mouse over the statement button, you will see the address that this will be sent to. 7 P a g e
8 The reports area of the system is where you normally print patient statements for some or all of your patients. In order to activate this section for , you need to check the option on the bottom. If you do not check it, Sammy will ask you how to handle the statements each time. If you will always statements to those patients that have addresses and have been allowed to receive ed statements, you may as well check it. You may get a message with a choice of how to handle the statements. This message may include a choice of printing only non- statements or other like combinations/choices. 10 You can select patients for statements by holding down the CTRL key and clicking on as many as you want. You can also drag the mouse over the list to highlight your group. Then click on the bottom button and the rest will disappear from the list. Patient claim history will show which were printed and which were ed. Clinical Summaries You must allow patients to receive their statements via by: 1) entering in the patient address, and 2) checking the statements box These options are located in the more patient area of Sammy. 10 P a g e
11 To clinical summary, you must first bill claim and then click Process My Work. When the copy of the claim form is displayed, click the yellow Clinical Summary button. For a patient who has an address in the more patient section of chart, you will have the option to click To Patient (pink button), and a password-protected will be sent to the patient. 11 P a g e

14 Appointment Reminders From appointment calendar menu, click Calendar Printouts, and choose Appointment Reminders. Click options and click Setup For to Display Formatting Options for Appointment Reminders as shown below. After making selections and choosing date(s), click Appts to generate s. A list of all s that were sent to patients will then be printed. Troubleshooting Problems If your does not send, it is likely caused by one of two problems. The is being blocked by your firewall/ antivirus program, or you did not correctly set up the . Firewall / Anti-Virus: Depending on your antivirus/firewall software, the software has options for allowing exceptions to rule to allow particular programs to send s. Normally that software prevents viruses and spyware from e- mailing from your computer. If you do not know how to configure your firewall/antivirus to allow Sammy to run properly, contact your hardware support technician to assist you. 14 P a g e
15 Settings: If you are receiving errors, it could be that your settings are incorrect. Your ISP (internet service provider) may require that authorization. If you do not have authorization turned on in the setup, turn it on and enter the username and password. Also, the authorization may require the entire address, instead of just the username. Example: Verizon DSL on Long Island requires authorization and requires the full address. The outgoing mail server has to be 'outgoing.verizon.com' (the will fail if the outgoing mail server is incorrect) The 'My outgoing mail server requires authorization' option must be checked. (The will fail if authorization is not turned on) The username must be (The will fail if is not in the username') Port 465 (SSL) is not supported by Sammy at this time. NOTE: At this time, you can not use an AOL account for you server and authorizing username and password. You should use the account that came with your broadband connection (Both Optonline and Verizon supply you with accounts with broadband service) 15 P a g e
