3 Learning Objectives Your role and responsibility as a Group Administrator The process to create a new group How to manage your group and it s set up What it means to moderate a group Who is here to support you as a Yammer Group Administrator? 2

4 Group Administrator Role Your responsibilities and role as a group administrator are to: - Manage the settings and members of your group add, delete, approve or deny members as well as control group administrators - Toggle privacy settings to control who can see what content - Moderate posts within your Yammer group monitor and delete posts if necessary - Post a group announcement to instantly share important information with your group members - Respond to queries and provide basic Yammer support, if they are unable to provide assistance, then escalate to the Community Manager/s, which is Rachel Tan (Rachel.Tan@morriscorp.com.au) and Allison Roach (Allison.Roach@morriscorp.com.au) 3

6 What if I want to add a group? Yammer Groups creating a group: 1. Ensure your group is Morris related 2. IS&T it.support@morriscorp.com.au to seek permission to create a group with the following details: To be provided to IT Example Description and Purpose Who are the proposed members or target audience? What value will it add to Morris Who will be the group administrator/s? Cleaning Utilities ESB Cleaning utilities on the eastern seaboard It will be a space that utilities can collaborate and discuss site life and share ideas Harry Potter and Ronald Wesley (it s best to have more than one GA) Examples of Groups All Morris Region/Site groups Feedback groups Key Role forums Key System Groups Team chat groups Alumni Groups Career CEO messages; Companywide messages; Emergency alerts National Operations; CloudBreak; Spring Gully etc. 3B Share; Fresh Ideas; Work Safe; Ask Fiona VM; Chefs; Retail; HLC; Maintenance; Safety MEX, ConnX, JEDOX, RITEQ, SWIFTPOS, SharePoint Finance, HR, HSEQ, BD, HLC, Procurement, Indigenous, Women in the Workplace GROW, LEAD, VM Training etc. Career Opportunities 5

7 Creating a new group Click the + symbol next to the group page A box will show up for you to enter the group details: Internal Group must be selected An appropriate name for the group You can add members now or you can add them after creating the group Select private or public access private means a user will need to be invited or request membership to the group and public means anyone can join and collaborate within the group 6

8 Setting up your group page You will be taken to your newly created group page to customise. Click the top right settings to get started. Update your group s image and header colour Add or edit your group description Add and maintain memberships as well as group admin permissions. Here, you can assign or revoke group administration access Make sure you click Save Changes for the updates to take affect 7

9 Navigating a group Attach flies and notes that are relevant to the group Update your settings such as image, description, members and access here Here you can view settings and hover over the i for a description and purpose of the group Communicate through an update or announcement. Poll or praise someone in the group Add members and manage Group Admin privileges for the group here Pin important files, links or attachments for the group here Access the group by 8

10 Managing members Add new members to your group Firstly click the button under members shown below You will be shown a box where you can start to type an individual s name or address then click Add To Group They will automatically become a part of the group but can remove themselves at any time 9

11 Managing members Approve or deny membership request If the group is private and someone requests to join the group, you will see Pending requests above your group members, click on the Review button the another box will come up where you can approve or deny the member You will also see a notification on your homepage if someone has requested to join your private group 10

12 What does it mean to moderate a group Monitor, report and delete posts within your group Refer to the Morris Core Values, 3B, Yammer Guidelines and Social Media Policy for guidance on acceptable posts If you see a post that breaches Morris policies and procedures, please take a screenshot and to the following addresses then delete from Yammer ESB: hradvisor.esb@morriscorp.com.au WSB: HRAdvisor.WSB@morriscorp.com.au If it takes longer then 20 minutes per day to moderate your group, please escalate to your direct leader 11

13 Deleting a post If you need to delete a post, click on the ellipses (shown below) at the bottom of the original post then click the delete button You will then see a message to confirm you want to delete a post, if you re deleting a post due to a breach of Morris policies and procedures, ensure you send a screenshot to your relevant HR advisor then delete Once a post is deleted it cannot be recovered 12
