3 Webinar Aims Familiarise you with the layout of Horus Take you through the common tasks you would perform as an administrator Show you how Horus looks to other types of users Submit questions in writing in the chat box we will answer as many as we can at the end Specific user issues should be submitted to the Helpdesk

6 Logging in When you first access Horus you won t have a password yet instead, click on the Unable to sign in? link - Enter your address and click Submit - Follow instructions in auto-

7 Home page Your home page provides you with all your menu options useful links and notices shortcut access to other parts of the portfolio

8 Creating forms Any user can create a form for any FD to whom they have access For a form to be valid it must have an trainer (e.g. supervisor, trainer, assessor, rater) assigned to it this user is required to validate the form To create a new form, click on the Forms (start new) menu item

9 People There are the following user types in Horus: Each type has different permissions and you as an administrator can interact with each type in a different way User Type What you can do F1 / F2 Edit some of their personal details Access their portfolio View which e-induction modules they have completed Supervisor Edit all of their personal details Trainers who are inactive Trainer: Doctor Edit some of their personal details for 12 months are marked as hidden. You can unhide Trainer: Nurse / Other / Teacher Edit all of their personal details them by clicking on Include Hidden Trainers Admin Edit all of their personal details on the search page. Deactivate users who should no longer have access Activate deactivated users

10 The FD Portfolio Search in People item in main menu Click Portfolio next to relevant FD Landing page Overview Sub-menu takes you to the various forms and activity for that FD

11 TAB Begins when FD completes self-tab and nominates 15 assessors 30-days to gather all responses If they run out of time before receiving the correct number/mix of responses, you have the option of extending the TAB by another 7 days should be agreed with the relevant FTPD/T You and the FD s ES can view TAB responses throughout the process ES needs to approve/release the TAB once complete

12 Teaching Horus allows you to share teaching programmes and materials with FDs, as well as to verify attendance/non-attendance at teaching sessions FDs are also able to provide feedback to their teachers this is only visible to the FD and their teacher This is linked into the ARCP process the ARCP summary of evidence report tracks % attendance at teaching sessions

13 e-induction Horus is linked to the North West s Core Skills e-induction system ( Your foundation school team will give you more information about this in due course Completion data is uploaded centrally you can view this through each FD s portfolio

14 Tickets Expire 7-days after sending New one automatically sent every 7-days for 3-months Available for another 2-months by logging in to Horus Hidden after 5-months

15 Adding users to Horus At the moment you can add all user types to Horus aside from FDs FDs are added by the Horus team Click on People in the main menu, then Create New User You can add the following users without linking to the GMC register: Nurses and Allied Healthcare Professionsals Foundation Programme Directors (FPDs) Foundation Programme Administrators (FPAs)

16 Adding New Doctors Horus has a direct link to the GMC s List of Registered Medical Practitioners (LRMP) All doctors can be added to Horus by first looking them up in the GMC s LRMP through Horus Click Add Doctor to Horus as a Foundation Trainer

17 Need address of the doctor (other details prepopulated from GMC register) Enter GMC number in text box and click Search If already on Horus, their details will show in search results may be assigned to a different hospital to yours If not on Horus, click on Search the full GMC register Select relevant doctor and click Add to Horus Enter address in text box and click Add Doctor to Horus

18 ARCP and Sign Off In the People menu, click ARCP and Sign Off Gives you an overview of all FDs in your hospital and their progress through the ARCP process You need to set up all ARCP panels and panel meeting dates in advance of the June ARCP period A dedicated webinar will be run later in the training year

19 ARCP: Setup 1. Set up reviewers staff who will be on the ARCP panels 2. Set up panels the group of staff members on each panel 3. Set up trainees link panels to FDs and specify date of panel meeting Further details on this process will be provided in a separate guide after August 2016

20 Placements Main menu > People > Placements You will see a list of all of your FDs, their placements and their assigned supervisors - you can add/edit this information Educational supervisors are added once and apply to the whole foundation year

21 User Search Straight-forward search for any type of user

22 Group s Use this page to send s to multiple users They don't have to be Horus users but there are quick links to typical groups of Horus users towards the end of the page You can see a history of your s at the end of the page - click on one to start a new based on that one

23 Trainee photos Only administrators can upload FD photos If you would like to use this feature, you need to request FDs to you their photo Images uploaded will be shown to everyone on the FD s portfolio overview page Images must be under 5MB - they'll be automatically shrunk and only a small thumbnail version will be used You can upload them individually or specify several at once and click any of the upload buttons

24 Form Search Use this page to find, view, edit and validate forms You can search by type of forms, placements they are attached to, whether they re validated, etc Make sure to select at least one tick box from each set of search criteria (otherwise the database is difficult for the system to search)

25 Teaching You can upload your whole teaching programme for the training year to Horus Split by Teaching Event and sub-sessions within this Attach a Teacher, time, place and who is required to attend your FD register Confirm who did attended Upload teaching material from the session Attendance is shown in each FD s portfolio FDs are required to submit feedback to their teachers Anonymised teacher can view specific feedback, administrator can view feedback across all sessions

26 Q.A. Quality Assurance Your reporting page lots of different ways to view the information in Horus Many reports can easily be copied and pasted into Excel Some reports involve summaries such as pie charts and aggregated numbers
