1 Horus eportfolio Familiarisation document

2 Introduction Horus eportfolio Familiarisation document February 2016 The aim of this document is to familiarise new users of the Horus eportfolio for Foundation Training in England with the system s basic layout and features. Horus is currently undergoing developments to allow for it to expand into use across England; therefore, some of the features mentioned in this document may change slightly, as will the look and feel of the website. Detailed training documents will be made available in due course. Please remember that some of the functionality and look and feel demonstrated in the screenshots below is subject to change due to the developments currently taking place. Therefore, this document should not be used for training purposes. All of the screenshots are based on a postgraduate centre administrator s account. Foundation doctors and trainers will have access to many of the same features. System walk-through Contents 1. Logging in 2. Home page 3. Creating a new form 4. Administration menu 5. 3 Horus eportfolio Familiarisation document February Logging in All users can login to the main site through this screen. Foundation doctors accessing the site on a mobile device also have the option of logging in to the mobile site, which presents app-like (simplified) functionality through the browser (no requirement to download anything). The app allows foundation doctors to add SLEs to their eportfolios. 3

4 Horus eportfolio Familiarisation document February Home page The user sees a number of different modules within Horus summarised on their home page. This includes any notices posted by administrators with the same or higher location settings as the user, any outstanding actions they are required to take and quick links to the Help and Personal Settings sections. The main menu can be found in the top right hand corner of the screen this is tailored to each type of user. 4

Creating a new form Horus eportfolio Familiarisation document February 2016 From this screen users are able to create any forms they have access to, for any foundation doctor they have access to. This screen also shows the minimum requirement for each mandatory form, whether per placement or per training year. Quick links to guidance documents for most forms are accessed from this page. The guidance documents are mostly based on information found in the FP Curriculum, FP Reference Guide and the UKFPO Curriculum and Assessment web page. 5

Administration menu Horus eportfolio Familiarisation document February 2016 Through the People menu administrators are able to access functions to manage: - ARCP - Placement and supervisor data - ILS/ALS validation (certificates can also be validated by supervisors) - Medical school data - Supervisor location permissions - Horus users - Group s within Horus - Foundation doctor photos 6

7 Horus eportfolio Familiarisation document February Foundation doctor portfolio overview Administrators are able to see the list of foundation doctors they have access to through the People section of the top right-hand menu. Once they have chosen a foundation doctor, they will land on the Overview page for that doctor. This page, which is accessible to all users who have permission to view foundation doctor profiles, collates information from all other sections of the foundation doctor s portfolio and allows the user to see relevant information using the quick links. It is possible to contact supervisors directly from this page by clicking on the Contact Supervisors link this presents hyperlinked addresses, which when clicked automatically open an in the user s client (i.e. Outlook). 7

8 Horus eportfolio Familiarisation document February 2016 The foundation doctor profile is split up into the following menu items (found on the left-hand side of the screen below the main top right-hand menu): - Curriculum - Core Procedures - Forms - Teaching - e-induction - Reflection - TAB - ILS/ALS - Lessons Learnt - E-LfH Some of these sections have been developed locally by HEE North West foundation team. The user is also able to toggle between a foundation doctor s F1 year and their F2 year from this overview page (top right-hand corner). 8

9 Horus eportfolio Familiarisation document February TAB report The user is able to bring up a list of all foundation doctors they have permission to view and check their progress with TAB. Only educational supervisors have permission to sign off TABs, but administrators are able to check results. Any concerns are clearly highlighted. In Horus, TAB runs for 30-days following the sending of requests to 15 raters. Administrators are able to extend this for individual foundation doctors by another 7-days should this be required, using the manage link in the Results column. 9

10 7. Quality Assurance reports Horus eportfolio Familiarisation document February 2016 A variety of on-screen reports have been developed in Horus. Most of these show results linked to individual foundation doctors, allowing administrators to get a quick overview of whether foundation doctors they are responsible for are on track for a successful ARCP at the end of the training year. These on screen reports are formatted so that it is easy to copy them into an Excel spreadsheet should this be required. The Surveys reports show results summarised into graphs and charts. It is currently possible to extract individualised survey results (for example the Career Destination Survey for the UKFPO annual report) by contacting the Horus Helpdesk. Foundation school-level administrators are able to run an individualised report of ARCP outcomes in the format required for the annual GMC ARCP report. 10
