1 Matrix Technical Support Mailer 54 How to approve Leave or Tour through E Mail Dear Friends, This mailer helps you to configure COSEC for Leave/Tour approval through E Mail feature. Scenario: Member 1 Team Leader User ID 101 Member 2 Team Member 1 User ID Member 3 Team Member 2 User ID Let us take a scenario in which there are 3 employees in a department. Team Leader 1 no. and Team member 2 nos. Team Leader approves/rejects Leave of their team members.

2 Step1: Go to Home Page Users User Configuration and create members. User details: Member 1 Team Leader Steve Smith User ID 101 E Mail ID: steve.smith@matrixcomsec.com

3 Member 2 Team Member1 Jessica James User ID 201 E Mail ID: Jessica.James@matrixcomsec.com

4 Member 3 Team Member2 John Doe User ID 202 E Mail ID: John.Doe@matrixcomsec.com Step2: Go to Home Page Enterprise Structure Reporting Group and add reporting group.

5 Create Reporting group by providing the name of Reporting Group, define Group In charge and save configuration. Step3: Assign Reporting Group to Team members i.e. to Jessica James (User ID: 201) and John Doe (User ID: 202). Go to Home Page Users User Configuration Group.

7 Step4: Enable ESS for Team members i.e. to Jessica James (User ID: 201) and John Doe (User ID: 202). Go to Home Page Users User Configuration Group.

8 Step5: Enable Alert messages via mail for Leave Approval, Leave Rejection and Leave Application. Go to Home Page Admin Masters Alert Messages. Leave Approval and Leave Rejection alert messages will be useful to inform the team members whether the leave is approved or rejected via mail. Leave Application alert messages will be sent to Reporting Group In Charge in case if the team members applies for any Leave/Tour. Enable flag for mail and click on save button for desired alert messages. System Administrator can also program header and footer of the mail alert message.

10 Enable Approval links so that team leader can get the mail with approve/deny link Step6: Enable Alert messages via mail for Leave Approval, Leave Rejection and Leave Application. Go to Home Page Admin Utility Assign Alerts.

11 Select Event from the list, enable Mail in message selection option and click on Save. Select Users to which you want to assign alerts and click OK.

12 Saved Successfully message will be displayed as shown below: Step7: Let s configure SMTP settings on Matrix COSEC Alerts.

13 Click on Alerts Enter Credentials and click Log in

14 Click on Stop Service Configure settings and click Save

15 Click on Test mail button, define E-maid ID to send test mail and click on test mail 12/12/2013

16 Click on Start Service now Test mail sent successfully, click OK Step8: Member 1 Jessica James is logging in to ESS and applying leave now.

17 Enter Login credentials required for ESS login Go to ESS Leave Application click on New.

18 Once leave is applied and save button is clicked, mail for leave approval will be sent to Team leader s mail ID Step9: Leave Application mail is now received by Team Leader on his/her E mail ID. Team Leader can Approve or Deny Leave by clicking on Appropriate button. Team leader can approve or deny Leave by clicking on appropriate button

19 Once Approve or Deny button is clicked, you will get below window with some random digits programmed. Don t change anything in subject line and click on send button. Do not change the subject line when replying an E mail. It is advisable not to keep the signature in message body. If user (Team member) is assigned Leave approval or rejection alert via E mail then he will get below mail response for Approved Leave. If user (Team member) is assigned Leave approval or rejection alert via E mail then he will get below mail response for Rejected Leave.
