1 Promotional Ordering with the Classic Eagle System Quick Reference The new Promotional Ordering Process incorporates 6-digit Promotion item numbers, eliminating the need for Book/Page/Line ordering with the exception of the auto-ship programs. When creating and sending Promotional orders, you must use the 3-digit Promotion number, not the 2-digit Relay number. However, the Eagle screens will still display the word "Relay". Auto-Ship End Caps and Bargain of the Month will continue on the old relay system of Book/Page/Line ordering and when sending these orders, you should use the 2-digit relay number. Creating Promotion Orders using the Classic Eagle System (aka Legacy) Note: Prior to ordering, download the electronic promotional data and run the Direct Mail Relay Item Report. If you need assistance with these tasks, instructions are provided later in this document. Use the following instructions to create a Promotional Ordering order: 1. From the Function prompt, type MPO and press <Enter>. The Purchase Order screen displays. 2. Use the following information to fill in this screen. P.O. Number--Use the 5 alphanumeric spaces to enter the PO Number for this order. Vendor--Enter the Vendor Code you use for TruServ (such as TRU, COT, etc.) Order Type--Enter an R for relay order Reference Number-- Enter the appropriate 3-digit promotion number. Buyer s Initials--Use the 2 alphanumeric spaces to enter the buyer s initials for your reference 3. Press <Add>. The message PO HAS BEEN ADDED displays at the bottom of the screen. 2 4. Press <Next Screen>. The Purchase Order Detail screen displays. 5. Press <Tab> so that your cursor is in the Item Number field. 6. Type the item you want to order. 7. Press <Tab> again so your cursor is in the (Stk) QOO field, and type the quantity of the item you want to order. 8. Press <Add>. The item is added to the PO. 9. Press <Clear> to clear the screen. 10. Repeat steps 6-9 for the other items you want to order. the Book/Page/Line numbers that appears in the Mfg #/Spcl field are not relevant to Promotional Ordering orders. Please disregard these numbers. You cannot order from multiple promotions on one order (Relay 31, 32, and 33, for example). You must place an order for each promotion separately. You must either create and send your order using your TELXON ~or~ create and send your order using your computer using these instructions. 3 Sending Promotional Ordering Orders using the Classic Eagle System (aka Legacy) Use the following instructions to transmit a Promotional Ordering order: 1. From the Function prompt, type BTC and press <Enter>. The Transmission Controller screen displays. 2. At Transmission Control Stream, type COT and press <Enter>. 3. Use the following information to fill in the Purchase Order Transmission screen: Store Accept the system default shown in this field or type the appropriate store number (press <Home> to move your cursor to this field) P.O. Number From Use the 5 alphanumeric spaces to enter the appropriate PO Number to send. If you are sending a range of POs at this time, enter the start PO for the range at this field. P.O. Number To If you are sending a range of POs at this time, enter the end PO for the range at this field. Otherwise, enter the same PO number you entered in the PO Number From field. Vendor Code Enter the appropriate Vendor Code for TruServ. Ship-To Store Enter the appropriate Ship- To Store number. Purchase Order Type Enter an R for Relay Order. Relay Number Enter the Promotion number in this field. Make sure you use the entire number. Options Enter P to Send PO Number. 4. Press <Save> (or Alt-S). Your system will dial into the TruServ MCS computer and transmit your Promotional Ordering order. 4 Performing the Electronic Promotion Pricing Transmission (EPM) The Electronic Promotion Pricing Transmission (EPM) application allows you to download the available promotion items from the TruServ MCS to your Eagle System. Your system may be set up to automatically dial into TruServ for your Promotion Pricing files. If this is the case, you do not need to perform these steps. 1. From the Function prompt, type EPM and press <Enter>. The Electronic Promotion Pricing Transmission screen displays. 2. At Transmission Control Stream, type COTEPM. 3. Press <Run>. This will transmit the Promotion file from the TruServ MCS to your Eagle system. You can use the Direct Mail Relay Item Report (RDM) to print the promotion items that will be available and use the Promotion Pricing Report (REPM) to add a TruServ promotion to the Promotion file (MIP). If you want, you can use ASYMSG to check the progress of your transmission. This function will also show the number of promotion and relay files received. Printing the Direct Mail Relay Item Report (RDM) 1. From the Function prompt, type RDM and press <Enter>. The Direct Mail Item Report (RDM) displays. 5 2. Fill in the screen as you normally would. 3. When you are finished, press <Run>. The report will print the promotion items available to you. Printing the Promotion Pricing Report (REPM) 1. From the Function prompt, type REPM and press <Enter>. The Promotion Pricing Report displays. 2. Fill in the screen as you normally would. Be sure to press <Query> and select the appropriate promotion in order to fill in the Direct Mail ID # field. Manually typing the number in this field does not work. 3. When you are finished, press <Run> to add the promotion to the Promotion file (MIP). There will no longer be "Preliminary" and "Final" Promotion Price Files.
