1 The San Diego Gas & Electric (SDG&E ) Benchmarking Data Request Portal User Guide is designed to provide you with step-bystep instructions on how to make an energy usage data request to SDG&E for benchmarking your property(ies) in ENERGY STAR Portfolio Manager. ENERGY STAR Portfolio Manager ENERGY STAR Portfolio Manager is the Environmental Protection Agency's (EPA) online energy management and tracking tool which enables you to measure and track the energy and water performance of any building over time. All Benchmarking usage data requests to SDG&E begin with the Requestor creating or having a Portfolio Manager account. Let s get started 1

2 1. New to Portfolio Manager? Register Now Click here to create an account. If you already have an account you can skip to Step 2 and log in to your account. 2

6 3. Connecting to SDGE 1. Click Contacts - this step will allow user to enter SDGE as data provider Click Add Contact 6

7 Enter SDGE Benchmarking in Name field (Note: do not add & or other characters) 2. Click Search Click Connect 7

8 Review Terms & Conditions 2. Click I Agree to my providers (SDGE Benchmarking) Terms of Use 3. Click Send Connection Request 3.5 Connection Request Sent You have successfully sent a connection request to SDGE Benchmarking. 8

9 4. Add a Property 1. Click Add a Property 9

10 4.1 Update Property Information 1. Populate property information Note: Campus Guidance - There are 5 property types that constitute a campus: K-12 School Multifamily Housing Hospital Hotel Senior Care Community. For other property types, each individual building must be benchmarked and certified individually. 10

11 Set up a Property by entering Basic Property Information Complete property profile 2. Click Continue 11

12 4.4 Note: Adding Another Type of Use (see below) - Portfolio Manager uses the term Type of Use to characterize the various spaces within a building. Your building may have one or more property use types. For example, an office building might have occupied office space, a computer data center, and parking. Each of these should be entered as a separate Type of Use and will require different information. If more than 10% of a building s gross floor area is vacant, the vacant square footage should be described as a distinct space type. Links to more information on how these space types are defined can be found in the Portfolio Manager Online Help section. 12

15 5. Sharing Properties 1. Click Sharing tab Click Share (or Edit Access to) a Property 15

16 Select Number of Properties ( Multiple Properties example below) 2. Click Select Properties 16

18 Select SDGE Benchmarking (SDGE) from Contacts list 2. Click Personalized Sharing & Exchange Data 3. Click Continue 18

20 Set Property Information to Full Access. If any Meter Information is shown, set applicable meters to Full Access 2. Set Goals, Improvements, & Checklists to the applicable level 3. Set Recognition to the applicable level Set Share Forward to the applicable level 2. Click Apply Selections & Authorize Exchange 20

21 Repeat as applicable for each property and/or meter 2. Select Share Property(ies) 5.9 Congratulations you have successfully shared your properties. 21

22 5.10 You will receive a Notification from SDGE Benchmarking when your Share has been accepted and verified. 22

23 6. Benchmarking Portal Step 1 - Online Benchmarking Request System Internet browser settings best viewed at 150%. 1. Indicate who is completing the Benchmarking Data Request 2. Click Next 23

24 7. Benchmarking Portal Step 2 - Requestor Information 1. Enter Requestor details 2. Enter Requestor s Business Address or Mailing information (if different from business address) 3. Enter Requestor Organization Name (optional) Example Note: Typing ahead will display address options - select correct options and valid address will populate remaining fields. (see below). 1. 25 8. Benchmarking Portal Step 3 - Building Information 1. Enter Portfolio Manager Username 2. Click to read and agree with Terms and Conditions (properties will not be retrieved unless terms are agreed to) 3. Click checkbox to agree with Terms & Conditions (this will enable you to retrieve shared properties from Portfolio Manager ) 4. Click Retrieve Shared Properties (Note: Property retrieval times vary according to number of properties in Portfolio Manager ) 5. Click Next 25

28 Aggregated One-Time Example - Select/De-Select Buildings & Meters 1. Select Properties to include in the request 2. Select Request Type - Aggregated 3. Select One-Time 4. Select/de-select meters to be included in request Click Benchmarking Period Information to view sharing timelines - Aggregated/One-Time Requests are defaulted. 28

29 Non-Aggregated Recurring Example - Select/De-Select Buildings & Meters 1. Select Buildings to include in the request 2. Select Request Type - Non-aggregated 3. Select Recurring 4. Click Benchmarking Period Information to view sharing timelines and select Start and End Dates to share data with Portfolio Manager. 5. Select/de-select meters to be included in request 29

30 Additional Meters Located - Select/De-Select If we found additional meters at the service address, we will include them. You can select/de-select meters to be included in your benchmarking request. 8.4 If your results include an address not verifiable error message, please review and modify your building address in Portfolio Manager to USPS format and retrieve shared properties again. Otherwise, you may contact Benchmarking@semprautilities.com and the administrator may verify the building addresses and provide you with usage data directly. 1. Click Next 30

Benchmarking Portal Step 4 - Customer Authorization If Customer Authorization is needed for listed service accounts, there are two different processes to verify that you are authorized to receive the Customer of Records usage data: Letter of Authorization (LOA) Account Validation Letter of Authorization Click Next and SDG&E will look to see if we have a completed LOA on file between you and the Customer(s) of record in SDG&E s Consent to Share system. If there is no LOA on file, an will be sent to the requestor to begin the LOA process. 31

This will begin the Letter of Authorization look-up or create process. Account Validation-Meter Trio Data 1. Enter 10-digit, numeric SDG&E Account Number 2. Enter 8-digit, numeric SDG&E Meter Number 3. Enter Last Billed Amount 4. Click OK 5. Click Next 32
