1 OCEANWIDE INC. Aon Preferred Marine Cargo System Marine Broker/Approver User Guide

2 1 Introduction Aon has established a new, proprietary cargo insurance program and underwriting panel designed to deliver significant, value-added benefits to qualified cargo accounts. Eligible Business : All accounts generating up to $150,000 in premium. Lines of business to include are: Marine Cargo, War Risks, Inland Transit and Warehousing. Ineligible Business : Excluding bulk commodities, Retail Stock Throughputs, Freight Forwarding accounts (Shipper s Interest and Cargo Legal Liability). Participating Panel Insurers: For all eligible accounts: Allianz, Alterra, and Zurich. For Pharmaceutical and Technology accounts meeting above eligibility requirements: Allianz, Alterra, Zurich and Falvey. All eligible accounts should be submitted to all panel markets based on the above information. The submission is located in the Aon Preferred Cargo Submission system established for this program. The submission will go to all panel markets automatically when using the electronic system and Panel markets will quote through the system. Quotes will be based on the pre-agreed Aon Manuscript cargo form established exclusively for this program. There are also pre-agreed endorsements for many of the special exposures we can anticipate, such as: Storage Exhibitions Installations Contractor s Equipment Salesman Samples Control of Damaged Goods for Pharmaceutical accounts A library of these endorsements will be kept in the online system. It is important to code this business properly in order to capture the national additional agreed commission for this Program, as well as, to monitor submission flow and results. The special code for the Aon Preferred Cargo Line is JCPP.

5 4 Using the System This section details the general use and navigation of the system and common features. Click a link to jump to the appropriate section. 6 5 Accessing the System The uses a secure login page to control access to the system. Logging In Using an Access If this is your first time logging in, you should have received the URL of the website, as well as an containing an access link into the system. You will also receive an access when your password is reset by an administrator, or when you reset your own password through your user profile or the Forgot Your Password feature. Click the link in the access to open the Set Password page. Note: Some systems may break the link into multiple lines. If you have difficulties using the link, highlight the full link (not including the quotes) then copy and paste it into your web browser's address bar. Enter your address, and choose a New Password, then enter the same password in the Confirm Password field. Please note that passwords are case sensitive, and must be entered exactly the same way in both fields. Next, you will need to read and accept the Terms Of Use. In the Terms of Use menu, select if you accept the terms or do not accept. You will need to accept the terms in order to use the system. Click Submit. If the New Password is not acceptable, an error message will appear detailing what must be changed. Enter a new password into both fields and click Submit again.

7 6 Normal Login Once a password has been defined, you can access the system normally through the login page ( Enter your address and Password, then click Logon. Note: For ease of access, a bookmark to the login page can be made in your favorites. However, the bookmark should be created before logging in. Using a bookmark created after login, or using the history option to return to the site, may try to access a page that no longer exists. Resetting a Password There are two ways to reset your own password. Click Profile in the main menu to view your profile information. Click the Assign Password button to reset your password and send an access to your registered address. On the login page, click the Forgot Your Password? link. Enter your address, and click Submit to reset your password and send an access to your registered address. See the instructions above for Logging In Using an Access . Logging Off When you have completed your work, click Log Off in the main menu to exit the system and close the session. If you close the window without logging off, your session will remain active until the system times out. To maintain the security of your account, you should Log Off.

8 7 Profile The Profile page is used to manage your personal information and preferences, as well as resetting your password. Click Profile in the main menu. The Profile page opens. First Name/Last Name Phone The name in the account will be linked to any work done using the account. Both fields are required. The address is required, and should be kept current. This address will be used to send any notifications, as well as new access links if the password is forgotten. The phone number is not required, but is recommended. Use Browser Settings If checked, the system will format language, date, and currency values according to the settings in your browser. If unchecked, the system will use the settings chosen in the Cultural Settings field. This allows custom settings to be chosen without affecting other websites. Cultural Settings If Use Browser Settings is not checked, you may select a language from the list. The system will format date and currency values to match the standards of the selected language. Click Save to save the current settings, Close to return to the home page without saving the changes, or Save & Close to save the settings and return to the home page. Click Assign Password to reset your password and send an access to your registered address. See the section on Logging In Using an Access for details. Click Company Info to view your company's profile information.

9 8 Using Calendar Lookups The Calendar feature appears throughout the system, marked with the icon. The date may be manually typed in the text box or it may be selected by using the Calendar lookup. Note: Due to differences in international date formats, entering a date manually in the wrong format could result in an incorrect date. Using the calendar lookup ensures that the correct date is being entered. 1. Click the lookup icon to open the calendar (Image 1 below). Go forward or back one month at a time using the arrows in the top right and left. 2. To select a specific month, click the month at the top of the window. The Month Selection opens (Image 2 below). Go forward or back one year at a time using the arrows in the top right and left, then click the month to select it. 3. To select a specific year, click the year at the top of the window. The Year Selection opens (Image 3 below). Go forward or back ten years at a time using the arrows in the top right and left, then click the year to select it. Image: 1 Image: 2 Image: 3 4. At any time, the Today link at the bottom of the window will return to the current date. 5. Click the day in the calendar to close the window and insert that date in the field.

10 9 Using Grids to Filter and Sort Data While some sections include simple tables of data that can be sorted by clicking the header, other sections may have multiple pages of complicated information that requires specific control. This is achieved using the advanced filter and sorting options of the grid. Setting Filters The filter option can be used to filter the data in a column, displaying entries that match or do not match a specified option or text. Note: If the filter options are not shown, right click any column header and select Filter Bar from the menu. 1. Click the filter icon to open the filter menu. The available options will depend on the type of data in the column. Not Set Greater Than Greater Than or Equals To Less Than or Equals To No filter will be applied to the column. For dates and numerical values, displays entries that exceed the filter value. For dates and numerical values, displays entries that match or exceed the filter value. For dates and numerical values, displays entries that match or are less than the filter value.

11 10 Less Than Equals To Does Not Equal To Like Does Not Like Contains Does Not Contain Is Null Is Not Null Is Empty Is Not Empty Apply All Filters Clear This Filter Clear All Filters For dates and numerical values, displays entries that are less than the filter value. Only displays entries that match the filter text exactly. Only displays entries that do not match the filter text exactly. Displays all entries that start with the filter text. Displays all entries that do not start with the filter text. Displays all entries that contain the filter text. Displays all entries that do not contain the filter text. Displays entries that do not include the field being filtered. Displays entries that include the field being filtered, even if that field is empty. Displays entries that include the field being filtered, but the field is empty. Displays entries that contain any value in this column. If the data has been changed, this option will refresh the filters. Clears the filter text and sets the filter type to Not Set. Clears all filter text on the current page and sets all filter types to Not Set. 2. Click in the space to the left of the filter icon to enter the filter text. Results will be displayed based on the chosen filter type in relation to this text. If the column is for dates, then a calendar lookup can be opened using the down arrow icon. 3. Press Enter when the filter text is in place, and the filter will be applied. 4. The filter text and filter type can be modified as needed to locate the desired entries. Note: Columns containing links cannot be filtered. Sorting Data Clicking the header of a column once will sort the data in ascending order, marked by an up arrow. Clicking the column again will sort by descending order, marked by a down arrow. Clicking a third time will remove the sorting, restoring the data to its default order.

12 11 The sorting options can also be reached by right-clicking any column header. Sort A to Z Sorts the column in ascending order. Sort Z to A Sorts the column in descending order. Navigating Multiple Pages of Data If the data in a grid extends to multiple pages, the navigation buttons in the bottom right of the table can be used to move from page to page. Go to the beginning or end of the list using the First Page or Last Page buttons. Move forward or backward one page at a time using the Previous Page or Next Page buttons. Click the down arrow next to the page number to select a specific page. Configuring Grids The grids can be adjusted to suit your personal preferences. The width of the columns, and even what columns to include or exclude, can all be set. To manually adjust the width of the columns, click on a dividing line between the column headers and drag it left or right to the desired width. To automatically widen a column, right-click on the column header and select Best Fit. The column will be widened to fit the longest entry in that column.

13 12 Columns can be added and removed as necessary. To quickly remove a column, right-click on the column header and select Remove This Column. To choose which columns to include or exclude, right click on any column header and highlight Select Columns. A list of available fields will expand. Select or de-select any columns, then choose Apply Changes. The grid will be reset with the chosen columns. Choose Reset to return the grid to its default configuration.

14 13 Policy Submission: Policy Submission is the core function for handling the booking of policies. The coverage and risk details are entered, reviewed by a Marine Broker/Approver, and then submitted to the Insurers for their quotes. Once all quotes are received and reviewed, an insurer can be selected and the policy can be bound. Click a link to jump to the appropriate section. 15 14 Submission Review and Approval Once the Aon Local Broker/AE has completed the submission form and sent the Submission Review Request , the submission is ready for review and approval by an Aon Marine Broker/Approver. The will include a link to the system, the Submission ID number, and the name of a preferred Broker/Approver if one was selected. Accessing the Submission If you are already logged into the system, the link in the notification will bring you to the appropriate submission. Otherwise, you will need to login (Logging In) before being brought to the submission. If you have difficulties using the link, the will include the submission number which can be found manually, as follows. 1. Click Submissions/Policies in the main menu. A full list of submissions and policies available to your account is displayed. 2. The filters and sorting options can be used to locate a specific submission. See the section on Using Grids to Filter and Sort Data for detailed instructions. 3. Click the link corresponding to the submission ID# from the in the ID / Policy No column to open the submission or policy. Communicating With the Aon Local Broker/AE If any questions arise about the content of the submission, the Aon Local Broker/AE can be contacted by sending an internal that will be attached to the submission for review and tracking purposes. 1. Next to the Send button, select Broker - Broker from the dropdown list and click Send . The Message page opens with a preview of the Make any necessary changes to the .

Approving the Submission 1. When the submission is suitable to be sent to the underwriters for review and quoting, complete the Submission Approval panel by (1) checking the Submission Approved checkbox, (2) indicating the name of the approver form the Submission Approved By drop down, and (3) providing and comments or suggestion in the Marine Broker Suggestions text area.

Attaching Notes to a Submission or Policy Notes can be added to a submission or policy to provide additional information or to serve as a reminder if any actions need to be taken at a later date. The Notes section displays all notes attached to the current submission. Click Add to create a new note. The Note page opens. Submission ID Policy No Assured Policy Transaction Text Follow-Up This field identifies the attached submission. If the attached policy is bound, this will display the policy number. Displays the name of the assured for the attached submission. Displays the business category of the attached submission or policy. Enter the note text. Enter a date to schedule a follow-up, or select it from the lookup.

19 18 Click Add to save the note but remain in the note page, click Add & Close to save the note and return to the submission/policy page, or click Close to return to the submission/policy page without saving the note. The note will be added to the notes list, and can be accessed by clicking the link in the Created On column. Once the note has been saved, the Mark Completed button becomes available when viewing the note. Click Mark Completed to indicate that the purpose of the note has been handled, and go to the submission/policy attached to the note. The Notes panel in the submission/policy will show the name of the user who completed the note and the date that it was completed. Note: The ability to mark notes as complete is dependent on specific access rights, and may not be available. Attaching Files to a Submission or Policy Documents and pictures can be attached to a submission or policy to provide additional information. The Attachment List section displays all files attached to the current submission/policy. Click Add to attach a new file. The Attachment page opens.

20 19 Description Type Enter a description of the file. Select the type of attachment. File Indicates the attachment is a generic file or document. Picture Indicates the attachment is a picture. Certified This box may be used to certify an official attachment. Click the Browse button to open a standard file selection window. Select the file to be attached and click Open. The full path and filename will be displayed in the File field. Click Add to attach the file but remain in the attachment page, click Add & Close to attach the file and return to the submission/policy page, or click Close to return to the submission/policy page without attaching the file. The file will be added to the attachment list. To view the attachment details, click a link in the File Name column. The attachment page will open with the settings chosen when the file was attached. Click Close to return to the submission/policy page. To download the attached file itself, click a link in the Download column. A standard file download window will open. Click Open to view the document immediately, Save to save the file, or Cancel to discard the document. Check the box for any particular file to mark it for deletion, or check the box in the header line to mark all attachments for deletion. Click Delete to remove all checked files. Note: The ability to delete attachments is dependent on specific access rights, and may not be available.

21 20 Managing Endorsements Once a policy is bound, no changes can be made to that transaction. If the coverage needs to be modified, then an endorsement must be created. The Aon Local Broker/AE creates the endorsement, and makes any necessary changes. The endorsement is submitted to the Marine Broker/Approvers for review and approval. Once approved, the details are sent to the Insurer for review. The insurer may choose to accept the changes without any modifications to the premium or terms, or may reply with a quote for adjustments. Once the terms are agreed upon, the insurer will generate an acceptance document, and the endorsement can be bound. Click a link to jump to the appropriate section. 22 21 Endorsement Review and Approval Once the Aon Local Broker/AE has completed the endorsement changes and sent the Endorsement Review Request , the endorsement is ready for review and approval by an Aon Marine Broker/Approver. Otherwise, you will need to login (Logging In) before being brought to the endorsement.
