1 GAIC Builders Risks Residential System - Agent User Guide Welcome to the GAIC online Builders Risk Reporting System! Before you begin to use the system you will need to ensure that your user account has been set up, and that you have activated your account by following the instructions in the password set up sent by the system. For questions regarding your user account please contact the Business Developer or Underwriter. Their names and contact information is on the last page of this document. Once that is done please logon to the system by following the URL: Please note that Agent Users only have access/visibility to those policies that are managed by their Agency. Agents have the ability to create new policy requests (requests need to be approved by a GAIC Underwriter), submit monthly reports, send preconfigured system s, view open/closed location list, view monthly & term location premium amounts and generate policy and reporting documents. For a complete description of system security and access management please refer to the Bridge Technology Security document located under the Help Link. Creating a New Policy Submission Request or Report Once you are logged into the system you will find yourself on the Home page. To create or access submissions, please hover on Policies and click Search/List on the top menu bar of the page. Here you will find a list of all submissions/policies within the system. To continue reporting on an existing submission, click the Term ID/Policy No. for the associated submission within the table.

2 Completing an online application for a New Reporting Policy To submit an application for a new reporting policy quote, click on the Create button at the bottom of the page. Select the Product based on whether you are creating a Standard Policy (Excluding Texas) or a Texas Policy. Please note Texas policies have the option of including New Mexico as a state of business. Next, select the Insured Company from the list or create a new Insured Company. If you choose to skip the Insured selection, you will be able to complete the submission form but you will not be able to Submit the policy for a Quote.

3 You will now be brought to the online submission form. Please note - all fields marked with * are required fields and you will not be able to proceed without providing a response. To set up a new policy, it is necessary to first identify the policy Effective Date by using the date picker. It is important to note that the month of the effective date will dictate the month of the first monthly report (i.e. for a February 1 through 28, 2012 Effective date, the first declaration month will be February 2012). Please note that it is the month and not the day that drives the Reports. Next you will need to identify the Coverage Information. As an Agent, only certain fields are available for you to respond to. The read-only fields are fields that need to be completed by the GAIC Underwriter as part of their approval process. Next complete the Underwriting Information. This section is only editable by the Agent and is a view only for the GAI Underwriter & staff.

4 If the Contractor has suffered losses in the past 5 years please complete the 5 Year Loss History section. Note that you will need to click on the panel to expand it as it is collapsed by default. Then provide the States in which the Insured does business. Click on the panel to expand it as it is collapsed by default. You will also need to provide the Applicable Rates by indicating what coverage rate types are associated to the policy and providing the rates for both protection classes. Click on the panel to expand it as it is collapsed by default. (A minimum of one rate type is required to submit the application)

5 A GAIC Underwriter will complete the Report/Month Correlation for each of the 12 reports. Remember that the month of Report 1 is the month of the Effective Date of the policy. Once all of the above steps are complete click the Validate button at the bottom of the page. You can also click the Save button at any time to save your progress. Clicking Validate will trigger the system to validate the data entered against all business guidelines that have been programmed into the system. If any validations are thrown, a message will be displayed at the top of the page in red providing explanation of the guidelines(s) and needed correction. You can correct the error(s) or make changes to the form and then click Revalidate. Once all validations have been cleared, you will receive a message indicating that your submission is ready for GAIC Underwriter approval. If you continue to make changes to the form then you will need to click recalculate quote to ensure that no validation guidelines have created errors by those changes. Once you are satisfied with your submission, you can click Request Bind at the bottom of the page to send it to GAIC for review and approval. Once the policy has been bound, you will receive a Policy Ready for Reporting confirmation from a GAIC Underwriter, indicating that this policy is ready for monthly reporting Report 1.

6 Creating a Monthly Report When your submission is ready for reporting, you will receive a "Policy Ready for Reporting" which includes your monthly reporting information breakdown. To create monthly report/s, log into the system and hover on Policies and click Search/List on the top menu bar of the page. This will take you to a list of all submissions/policies associated with your agency. You may narrow the search by typing policy information in the white box below the grey title bar, i.e. Term ID/Policy you can type the GAI 7 digit policy number or Insured you can type the entire or partial name and hit enter. This will display only the policies matching your search criteria. Select the policy that you wish to report on by clicking the Term ID/Policy No. (This is a combination of the Great American Policy number - the System Sequence Number the GAI term MOD number.) Make sure to choose the correct policy term by reviewing the Effective Date and Status (last transaction) columns. Within the Online submission form, you will need to locate the Actions Widget on the bottom left of the screen and click the New Report button.

7 This will create a new transaction and be shown as a Report Incomplete in the Policy Information Widget on the right side of the screen. Scroll to the bottom of the Report Selection panel and select either the report number that corresponds to the monthly Report that you are submitting, or the Report number for a previously submitted report that you wish to Amend. Once you have selected the appropriate report, click Validate at the bottom of the screen. Clicking Save at any time will save your progress and allow you to come back later to complete your report.

8 Once the page has refreshed, the submission status will change to Report - Quoted. Now you can add or update locations in the Insured Locations List panel. You will need to indicate whether you are declaring Activity, No Activity, or an Amendment for this report as follows: In the Report # dropdown make the appropriate selection. If you wish to add a location, select Report Activity. If there are no locations to report and no required changes to previously reported locations, select Report NO Activity. If you have made an error and need to amend a report that was previously submitted, select Amendment. Note that all amendments will be referred to Great American for review and approval.

9 To view an existing location click on the hyperlink associated with its address in the table, or click the Add button to add a new location. Both actions will open the location details modal pop-up where you can complete the necessary location information. Any changes to an existing location (address, Rate Type, etc.) must be carried out as an Amendment and referred to a Great American Underwriter. Complete one entry for each location. Click Save & Close once complete or Save & New to save and add another location without leaving the screen. After entering in all locations, click the Revalidate button at the bottom of the page. You can also click the Save button at any time to save your progress. Upon clicking Revalidate, the system will process all data entered to ensure the submission falls within the scope of the policy. If any validations or referrals are thrown, a message will be displayed at the top of the page providing explanation of the guideline(s) and your entry that will need adjusted. You can correct the associated error(s) in the form and click Revalidate until all validations are resolved. If a Referral validation is thrown, please refer to the Referral section of this document. Please note, once validated, the Quote Information panel will show the premium (breakdown) that will be charged. Once you are satisfied and all validations have been resolved, click on the Submit button to confirm your report.

10 Referring a Report for Underwriter Review The system has been configured to recognize specific conditions whereby a GAIC Underwriter must review a submission/report before it can be successfully submitted. When one of these conditions is triggered, a Referral is thrown indicating that an Underwriter must review your submission before you can proceed with completing the report. There are two ways to deal with your referral: 1. Remove the referral condition by making changes to the erroneous report details and clicking Revalidate. If all referrals and validations have been successfully cleared then clicking Revalidate will move the submission to Report Quoted Status and you can now return to the bottom of the page and click Submit to complete the report. 2. Click the Request Quote button to move the submission/report to Report - Referred status and send notification to a GAIC Staff Underwriter for review. Once referred, a GAI Underwriter will review and respond via notification informing you if your request has been accepted or declined. If your request is accepted, the GAIC Underwriter will have issued a quote. When you return to the system you can accept the issued quote by clicking the Submit button to complete the report. Note - If a Referral is declined, the current report transaction is cancelled and no coverage is in place for that location at this time. Great American recommends that you contact your Underwriter to discuss the referral issue and your location coverage options. You may then generate all associated documents for your transaction/report.

11 Generating Documents The documents associated to this product for Agents are: Remittance Slip will be available to download and/or print after a report has been successfully submitted, and the system transaction is in Report Bound status. The Remittance slip is automatically generated and attached to the transaction upon each submitted report. It is located in the Common Screens widget under Remittance Slips/Documents. Evidence of Property Insurance (ACORD Form 27) will be available for generation after a report has been successfully submitted, and the system transaction is in Report Bound status and there is at least one (1) open location. The Agent is required to complete and sign this document. Invoice(s) will be available for generation after a report has been successfully submitted, and the system transaction is in Report Bound status and there is at least one (1) open location. To generate documents, locate the Actions widget and click Print Document. Select the document you would like to print and follow the on screen directions as they will vary according to your browser.

12 Once a document has been generated, it is automatically attached to the submission and accessible to authorized users in the Remittance Slips/Documents hyperlink pop-up modal by clicking the hyperlinked document name. Sending s At any time in the process of creating and completing a report there is a manual emai l available for you to send a question or comment to a GAIC Underwriter. Click s in the Common Screens widget and click Send . You will then select the Agent/Insured Question or Comment template from the associated drop down at the bottom of the page and click Send . You will be brought to the details page where you can: Select if you want a copy of the to be sent to you by checking the associated checkbox. Type your specific question or comment by selecting and overwriting the text INSET YOUR QUESTION OR COMMENT HERE. It is not recommended that you remove or overwrite any of the default text as it contains specific information about your policy/report that the GAIC Underwriter will refer to. Once you are satisfied with your , click Send.
