1 Oceanaires Accounts and the ActiveSingers Mailing List At the August, 2015, Oceanaires Board meeting a motion was approved to give all Oceanaires chapter members an Oceanaires domain account, and further to restrict the ActiveSingers mailing list to only Oceanaires domain accounts. Oceanaires domain accounts are accounts that are hosted by our web hosting account with HostGator, can be created and administered by the Oceanaires webmaster, and have addresses that end in '@Oceanaires.org'. These are fully functioning accounts - just like gmail or HotMail. It's up to each member whether they want to reserve this account for Oceanaires business only, use it for multiple purposes, or even adopt it as their sole and only address. Similar to gmail and HotMail, Oceanaires accounts may be accessed by webmail - logging into your account through a web browser - or by setting up your account in an client on your computer or mobile device - such as Windows Live Mail on Windows or the Mail application on an ipad or iphone. accounts addresses will be assigned using the format: Firstname (or Nickname) plus Lastname. For instance, the address for Chuck Bevitt is 'ChuckBevitt@Oceanaires.org'. Each chapter member will be notified via their currently listed when their Oceanaires domain account has been created. The member's Oceanaires account will be added to our ActiveSingers mailing list and all other (non Oceanaires) accounts for the member will be deleted from the mailing list. If you want to continue to receive ActiveSingers s at another account, see the section below on forwarding from your account. All new accounts will have the default password; 'Pass#Word123'. This is case sensitive! Please change the password the first time you log into the account. Using your Oceanaires account: When you first receive your Oceanaries account, please log into it and change the password. To log into your account, browse to: Which takes you to the login dialog. Enter: Address: {your new Oceanaires address including the '@Oceanaires.org'} Password: 'Pass#Word123' {your default initial password} And click 'Log in'. This will take you to the administrative module for your account. Click the 'Change Password' icon to change your password. Using your account via webmail: Click one of the client icons to go into your via webmail (using a browser over the internet). Unfortunately, HostGator gives you a choice of three different webmail server clients (as if we're not already technically challenged enough). There are the three large icons in the middle portion of the

2 admin module - 'horde', 'roundcube', and 'SquirrelMail'. Just pick one. I have no idea why one is better than another. A couple of things to note: once you go into one of the webmail clients, you can't get back to the admin module without closing your browser then logging in again as above. Also, SquirrelMail requires a short additional configuration screen the first time you use it. After clicking one of these clients to get into webmail, you'll be in a fairly standard client window where you can read and send . You can set up your account to automatically go to any one of these three webmail clients by using the 'Enable AutoLoad' link under each one. This will prompt you for how many seconds after logging in do you want to automatically go into this client. The next time you log in you'll see a dialog that will count down the seconds with a 'Stop' button to stay in the admin module instead. The reason for this is that once you're in one of the webmail clients there's no way to get back to the admin module without logging in again - without the delay there'd be no way to ever get into you admin module again. Personally, I wouldn't bother with it - just log in and click the client you want. Set up your account on computer or mobile device. Many of us find it more convenient to access our via a local client application running on our computer or mobile device rather than logging into webmail. Some of the benefits are being able to set up multiple accounts in one client and not having to log in each time to check . Smart phones and tablets usually come with an client - you just have to set up the account. If you're using a Windows computer and don't already have an client, I'd recommend Windows Live Mail ( - it works pretty good and the price is right (free). To begin setting up a local client, log into your account (the admin module) and click the 'Configure Mail Client' icon. This will take you to a screen with instructions on the settings you need to set up the account on your local client manually and also with links that will ATTEMPT to set up your account on your local device automatically (they may or may not work). If you want to try to set up your account automatically, log into your webmail admin module from that device and go to the 'Configure Mail Client' page. Then find your device / client on the left hand side under 'Application' and click the corresponding link on the right hand side. If it doesn't work you'll have to set the account up manually. To set up you account manually on your local device, use the manual settings given in the 'Configure Mail Client' page and go through the manual setup process on your device. Using the ActiveSingers (and Board) mailing list: The ActiveSingers mailing list allows any chapter member to send an to all other members by sending an to: ActiveSingers@Oceanaires.org

3 To receive ActiveSingers s, the member's address must be added (subscribed) to the mailing list. Most importantly to send ActiveSingers s, the MUST come from an account in the mailing list. s that are not from a subscribed address are discarded. This is a critical protection against spam - if outside accounts could post to it, the mailing list would become inundated with ads for Viagra. etc. Note that moving forward only Oceanaires accounts will be allowed in the ActiveSingers mailing list. Remember: to send an to ActiveSingers, you must use your Oceanaires account. s you send from another account will be discarded. When your new Oceanaires account is added to ActiveSingers, you will receive an welcoming you to the mailing list. It will also contain some information on settings you can change on your mailing list subscription - play with these if you want, but there should be no reason to change any of them. Is there any way I can still get ActiveSingers s sent to another account? If you want ActiveSingers s to be sent to another account in addition to your Oceanaires account, you can set up your Oceanaires account to forward to that other address. To do so, log into the webmail admin module and click the 'Forwarding Options' icon. This will take you to a screen where you can set up your Oceanaires account to forward all to one or more other accounts (the s will still be in your Oceanaires account). Click 'Add Forwarder', enter the other address, then click 'Add Forwarder' again. Repeat for additional addresses. Remember: you still have to send outgoing to ActiveSingers from your Oceanaires account. What if forwarding doesn't work? Unfortunately, forwarding will the responsibility of each member to work out - the Webmaster will only confirm that ActiveSingers s are reaching the member's Oceanaires account. One of the core problems we've had is that some Internet Service Providers have been blocking from ActiveSingers as spam. It has turned out to be impossible to work with each member to go through their local client settings, their webmail settings, or contact their Internet Service Provider to have ActiveSingers mailing list s flagged as safe. You may have the same problem with forwarded from your Oceanaires account - if so, it will be your responsibility to work through how to have them flagged as safe in your other account.
