3 INTRODUCTION We hope you have enjoyed your time in your University of Exeter residence. To assist you in moving out of your residence we have produced this moving out guide. This guide reminds you of your responsibilities for clearing and cleaning your room, prior to departure, to avoid you paying additional charges for cleaning or damage. You may find it useful to print the checklist. We would like to take this opportunity to wish you all the very best for the future and hope you enjoy your summer holidays. WHEN DO I NEED TO VACATE MY ROOM? CONTRACT LENGTH DEPARTURE DATE 40 WEEKS SAT 22 nd JUNE 42 WEEKS SAT 6 th JULY 44 WEEKS SAT 20 th JULY 51 WEEKS SAT 7 th SEPTEMBER As Residential Services staff will be working throughout the weekends to clean the accommodation, all areas need to be completely clear. If you have arranged to stay in University accommodation over the summer, it will be necessary to move rooms. You must therefore vacate your room, at the end of your current contract. We aim to have your new room ready by 4pm, on the day your contract ends; Keys for your new accommodation can be collected from the Reception area detailed in the Guide to Services and Facilities. If you have been allocated your original room there is no need to clean or clear your room, however, all communal areas, including kitchens, will be deep cleaned. It is important that you clearly label all food, crockery and cooking items kept in communal areas, otherwise they may be disposed of. - 1-

5 WHAT DO I HAVE TO DO ON/BEFORE DEPATURE? 1. ALL PERSONAL PROPERTY MUST BE REMOVED. This includes posters and stickers from walls. The University will not be held responsible for left property. Ensure that you remove all clothing from the laundry room. Charges will be made to remove any item/s, please refer to the removal of items charges in the Guide to Facilities and Services. 2. KEYS must be handed in and signed out at the RECEPTION AREA on departure. Any keys found missing the Monday after your departure date, will be charged to you automatically. Charges will be made for the costs for replacing keys and cards, if they are not returned. Please refer to the charges listed in Guide to Facilities and Services. Swipe cards and PIN code access will be disabled. Please contact the Reception if you are planning to depart when the Reception Area is closed. They will be able to advise, where you can hand in your keys. 3. BICYCLES. All bicycles must be removed from University property. If you are unable to do this please contact the Residence Manager. 4. RUBBISH. Please dispose of ALL rubbish and unwanted items from your room in the bulk bins and skips adjacent to your building. Please ask your cleaner if you require black plastic sacks. Before disposing of the sack please tie it up securely. A charge of 5 per bag will be made for any waste that Residential Services have to dispose of from your accommodation. All personal posters on notice boards must be removed. Please recycle any cardboard, bottles, cans and paper in the bins near your residence. Electrical items must not be disposed of at any of the University facilities. Please take electric items home with you. 5. UNWANTED ITEMS. In order to reduce the amount of waste sent to landfill, Reuse Collection Points will be set up to accept donations from Friday 24 th May at: Cornwall House, Rowancroft, St. David s & Holland Hall. This is part of the Student Reuse Project -3-

6 Leave items, which are clean & in good working condition, such as unwanted pots, pans, cutlery, books, clothes etc. These items go to a local charity Hospiscare and to students next year. LOOK OUT for Posters in your area 6. MAIL. Please make sure that everyone concerned knows your forwarding address. We are unable to forward or keep mail: any mail that arrives will be returned to sender. You might like to consider the mail redirection operated by the Post Office ( Also remember to exchange addresses and contact details with your flatmates. The Data Protection Act means that we cannot give your address to anyone else. 7. CLEANING OF FLAT, ROOMS, KITCHENS AND COMMUNAL AREAS. You will be expected to clean your bedroom, shower/bathroom, kitchen, lounge and other communal areas thoroughly before leaving. You will need to arrange with your flatmates who will be cleaning the various communal areas. A charge will be made for any extra cleaning which may be needed as a result of the room not having been left in a clean and tidy state. -4-

YOU MAY BE CHARGED FOR LEFT PROPERTY, DAMAGE THAT IS NOT WEAR AND TEAR OR IF ANY CLEANING IS REQUIRED. USE THIS FORM WHEN YOU CONTACT THE MAIN OFFICE TO ARRANGE A VISIT BETWEEN 9.00AM 5.00PM FOR A ROOM INSPECTION BEFORE YOU LEAVE. THIS IS TO ENSURE NO EXTRA CHARGES ARE INCURRED. OFFICE LOCATION: LOPES HALL ADDRESS: exeterhalls@exeter.ac.uk TELEPHONE NO: Empty room bin and dispose of any other rubbish in your room Clean bedroom and en-suite including cleaning the furniture and vacuuming carpet underneath the furniture Check wardrobe, drawers, safe, locker box and under the bed for any items remaining Please remove belongings from communal areas including lounge, laundry and kitchens. Clean as appropriate and remove items from cupboards and fridge/freezers Restore all items of furniture to their original place Make arrangements for forwarding of mail and correspondence Return any loaned items to the relevant department Remove personal non-university tags and key rings from the keys ensuring that the official University key disc is attached Remove bicycle/car from site Windows and doors must be shut and locked Once you have removed all of your belongings please return the keys to the Reception.
